Contract amendment and renewal

How do we amend or renew a business contract with the changes to rates, term or lines drafted from the account, approved internally, signed by the customer and written to billing?

Draft the amendment from the record and route it through the approvals before the customer sees it. Callvu prefills the existing agreement (the term, the rates, the commitments, the lines and sites, the addenda, the renewal date) from the BSS and the contract repository, takes the requested changes (new rates, an extended term, added or removed lines or sites, a new product addendum) from the account team or the customer, computes the commercial effect (the revenue, the commitment, the discount tiers, the early termination exposure), routes the internal approvals in the Decision Desk by the pricing and legal authority matrix, generates the amendment from the approved terms, chases the customer's authorized signer for the signature with their authority checked, and writes the amended terms to the billing system and the contract repository from the effective date, with the renewal clock reset.

The problem today

The renewal was signed on a version with last year's rates, and billing kept charging this year's.

Today, without Callvu

Business contracts change constantly: a rate card renegotiated, a term extended, lines added at a new site, a product addendum. The account manager edits a document from an old template, the pricing approval is an email, legal sees it late, the customer signs a version that does not match what billing was told, and the first invoice after the amendment is a dispute.

An amendment has a source (the agreement as it stands in the repository and the BSS), a commercial effect (the revenue, the commitment, the discount tier, the termination exposure) that the pricing authority must approve, legal terms that legal must approve when they change, a signer on the customer's side whose authority matters, and a billing record that must change on the effective date. Each is a step with an owner; the document should be generated from the approved terms, not edited toward them.

An amendment generated from the approved terms is one billing and the customer read the same way.

How it runs

From the requestto the system of record.

The account team or the customer requests a change to an agreement, or the renewal date approaches. Callvu opens the amendment on the account and prefills the agreement.

Account team
Requests the changes and sees the approvals' status.
Pricing and legal approvers
Approve in the Decision Desk by the authority matrix.
Customer's authorized signer
Reviews and signs on their own screen with authority verified.
Callvu
Prefills, computes, routes approvals, generates, chases the signature and writes.
  1. Prefill and take the changes

The agreement's term, rates, commitments, discount tiers, lines and sites, addenda, signers and renewal date are prefilled from the contract repository and the BSS; the requested changes are taken in a structure (rates by plan, term, lines or sites added or removed, a new addendum, a changed billing arrangement) with the effective date.

  2. Compute and decide the approvals

The commercial effect is computed (the revenue change, the commitment and the tier, the early termination exposure, the margin where the carrier models it) and the changes are classified against the authority matrix; the approvals route in the Decision Desk to the pricing authority and, where terms other than commercial ones change, to legal, each with only the allowed outcomes (approve, approve with changes, decline with the reason).

  3. Generate, chase and verify the signature

The amendment is generated from the approved terms on the current template with the agreement's references, sent to the customer's authorized signer on their own screen with their authority checked against the account's signers (or a resolution chased where the signer is new), and the signature is chased on the schedule with the renewal date in view; a countersignature by the carrier's authorized signer follows.

  4. Write back

The amended terms are written to the billing system from the effective date (the rates, the commitments, the lines and sites, the discount tier), the executed amendment is filed in the contract repository against the agreement with its version, the renewal clock is reset, and the account team and the customer see the same terms.

Where it ends: The amendment was drafted from the agreement, approved by the people the matrix names, signed by a signer whose authority was checked, and written to the billing system, the system of record, on the effective date with the repository holding the executed version. The Decision Trace shows the commercial effect, each approval and the signer's authority; the Audit Trace shows the changes requested, the approvals, the signatures and the write with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The account team's request or the renewal clock; the customer's signer on their own screen.

The back office

Pricing and legal approve in the Decision Desk; billing and the repository are written from the executed amendment.

The Decision Desk

  • The approvals route by the authority matrix in the Decision Desk with the commercial effect and only approve, approve with changes, or decline with the reason.
