Technician job completion and customer sign-off

How do we record a technician's work, photos and the customer's sign-off on site, and write the result to work management and billing?

Close the job where it happened. Callvu prefills the completion from the job record on the technician's device (the work type, the premise, the meter, the parts reserved, the checklist the work type requires), captures the work done, the readings and the serial numbers (the old and new meter reads and numbers, the pressure test result, the photos the checklist asks for), the parts used against the reservation, the time on site, any follow-up needed, and the customer's sign-off on the device where they are present (or the door hanger photo where they are not), chases a missing checklist item before the job can close, routes a defect found or a scope change to the field supervisor in the Decision Desk, and writes the completion to the work management system, the CIS and billing the same day so the next process (a billing change, a final read, an inspection release) starts from it.

The problem today

The meter was exchanged on the second; billing found out on the nineteenth, from a paper ticket with the serial number transposed.

Today, without Callvu

The job's result is the most valuable data the technician produces, and it is often written on paper in the truck and keyed by someone else days later: a serial number transposed, a read missing, no photo of the installation, no record of who signed. Billing estimates the bill until the paper arrives; the next job finds the old meter number on the account; a customer disputes work nobody can show was done.

The completion has a structure the work type defines: the checklist (what must be recorded and photographed), the readings and serials that change the account, the parts used, the time, the follow-up, and the customer's acknowledgment. Captured on the device at the moment, checked against the checklist before the job closes, and written to the work management system, the CIS and billing the same day, the result is the record the next process needs.

A job closed on site is a bill that is right.

How it runs

From the requestto the system of record.

A technician finishes a field job (dispatched through the field process). Callvu opens the completion on their device from the job record.

Technician
Records the work, the readings, the serials, the parts and the photos, and takes the customer's sign-off on the device.
Customer
Signs off the work where present, or receives the completion notice.
Field supervisor
Decides defects, scope changes and checklist exceptions in the Decision Desk.
Callvu
Prefills, captures, checks the checklist, chases, routes and writes.
  1. Prefill the completion

The job record (the work type, the premise, the meter and the service records, the parts reserved, the checklist for the work type, the safety requirements) is prefilled on the technician's device, with the fields that change the account (the meter reads and numbers, the service size, the pressure test, the seal numbers) presented for capture with validation (a read in the expected range, a serial in the expected format, a scan where the meter has a barcode).

  2. Capture and chase the checklist

The technician records the work done, the readings and serials, the parts used against the reservation (with the variance explained), the photos the checklist asks for (the installation, the meter face, the seal, the site made safe), the time on site, and any follow-up (a further job, a hazard, a repair) ; a missing checklist item is chased on the device before the job can close, and a photo that fails the check (unreadable, wrong meter) is retaken.

  3. Chase and verify the sign-off and decide

The customer signs off on the device where present (the work described in plain terms, the readings shown, the signature and the name), or a door hanger with the completion and the contact is logged with a photo where they are not; a defect found, a scope change, a safety issue or a checklist item that cannot be met goes to the field supervisor in the Decision Desk with the capture and only the allowed outcomes (close as completed, close with a follow-up job, reopen, or escalate).

  4. Write back

The completion is written to the work management system, the readings and serials to the CIS, the system of record for the premise, and the charges or the service changes to billing, the same day; the parts usage goes to inventory, the follow-up job is created, and the customer receives the completion notice with the readings where the policy sends one.

Where it ends: The job closed on site with the checklist met, the readings and serials validated, the photos and the sign-off captured, and the work management system, the CIS and billing updated the same day so the next process started from the real result. The Decision Trace shows the checklist checks and any supervisor decision; the Audit Trace shows the capture, the sign-off and the writes with time and location.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The customer signs off on the technician's device, or receives the completion notice.

The back office

Billing and the CIS are updated by the process the same day; the supervisor sees only exceptions.

The Decision Desk

  • A defect found, a scope change, a safety issue or a checklist item that cannot be met goes to the field supervisor in the Decision Desk with the capture and only close as completed, close with a follow-up, reopen, or escalate.

Questions

What buyers ask next,answered plainly.

What does the technician record?

The work done, the readings and serials (validated and scanned), the parts used, the photos the work type's checklist asks for, the time on site, any follow-up, and the customer's sign-off, on the device on site.

What if the customer is not there?

A door hanger with the completion and the contact is logged with a photo, and the customer receives the completion notice with the readings.

When does billing see the result?

The same day, so a meter exchange or a service change is prorated from the real date and no estimated bill is needed.
