Field technician dispatch end to end

How do we run a field job end to end, from capturing the need with the customer's access notes to dispatching the right technician with the right parts and closing it with the result in the work and billing systems?

Run the job as one record from the customer's request to the close. Callvu captures the field need in any channel with the customer's details, the premise and the access notes (the meter location, the gate, the dog, the contact on the day), prefills the premise, the meter and the open orders from the CIS and the work management system, classifies the job (the work type, the skill, the parts, the duration, the safety requirements, the appointment window the service quality rules allow), schedules it with the customer on their phone, chases the prerequisites (an access confirmation, a permit, a locate, a landlord's permission), dispatches the technician with the record and the parts, captures the completion on site, routes a job that cannot be completed or needs a change to the field supervisor in the Decision Desk, and writes the result to the work management system, the CIS and billing.

The problem today

The technician arrived with the wrong meter, could not reach the customer, and the job was rebooked for three weeks out.

Today, without Callvu

A field job touches the customer, the scheduler, the dispatcher, the warehouse and the technician, and each has a different system. The request is typed from a call without the gate code; the scheduler books a window the customer did not confirm; the parts are picked from the job type, not the premise; the technician finds a locked meter room and nobody to call. The truck roll is wasted, and the service quality standard for appointments is missed.

The job has a structure the systems can share: the premise and its history, the work type with its skill, parts and duration, the safety and access requirements, the prerequisites that must exist before dispatch, the appointment window and the customer's confirmation, the completion evidence and the billing consequence. The commission's service quality rules set the appointment windows and the credits for a missed one. One record from the request to the close is what the truck roll needs.

The job that reaches the technician complete is the one that closes on the first visit.

How it runs

From the requestto the system of record.

A field need arises: a customer request, a service order from another process (a start of service, a meter exchange, a repair), or a work order from operations. Callvu opens the job record.

Customer
Gives the access notes and the contact for the day, confirms the appointment on their phone, and signs off the completion.
Scheduler and dispatcher
See the classified job with its prerequisites and dispatch from the record.
Technician
Receives the job with the premise, the notes and the parts, and captures the completion on site.
Field supervisor
Decides incomplete jobs and changes in the Decision Desk.
Callvu
Captures, prefills, classifies, schedules, chases, dispatches, routes and writes.
  1. Capture and prefill

The need is captured in any channel with the customer's details and the access notes (the meter location, gate codes, a locked room, pets, the contact on the day, hazards); the premise, the meter and the service records, the open orders and the job history are prefilled from the CIS and the work management system so the request is not typed twice.

  2. Classify and schedule

The job is classified: the work type, the skill and the crew size, the parts and the equipment from the premise's records (the meter type, the service size), the estimated duration, the safety requirements, and the appointment window the service quality rules allow; the customer picks a slot on their phone from the capacity, confirms it, and receives the reminders through the appointment process.

  3. Chase and verify the prerequisites and dispatch

The prerequisites the job type needs are chased before dispatch: the access confirmation, a permit, a one-call locate, a landlord's or a property manager's permission, an inspection release, a parts reservation; the job is dispatched to the technician with the full record, the route and the parts; a prerequisite that fails near the date reschedules with the customer rather than wasting the roll.

  4. Complete, decide and write back

The technician captures the completion on site (the work done, the readings, the photos, the parts used, the customer's sign-off) through the completion process; a job that cannot be completed (no access, a safety issue, a scope change, a defect found) goes to the field supervisor in the Decision Desk with the technician's notes and only the allowed outcomes (reschedule, change the scope, escalate, close as not done with the reason); the result is written to the work management system, the CIS, the system of record for the premise, and the billing system for any charge or credit.

Where it ends: The job ran as one record: captured with the access notes, classified by skill and parts, scheduled and confirmed by the customer, dispatched with the prerequisites met, completed on site and closed in the work, customer and billing systems. The Decision Trace shows the classification, the prerequisites and any decision; the Audit Trace shows the capture, the confirmation, the dispatch and the completion with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

Any channel; the customer gives access notes, picks the slot and confirms on their phone.

The back office

The scheduler and the dispatcher work classified jobs with prerequisites met; the technician has the whole record on site.

The Decision Desk

  • A job that cannot be completed (no access, a safety issue, a scope change, a defect) goes to the field supervisor in the Decision Desk with the technician's notes and only reschedule, change scope, escalate, or close as not done with the reason.

Questions

What buyers ask next,answered plainly.

What is captured from the customer?

The need, the access notes (the meter location, gate codes, locked rooms, pets, hazards) and the contact for the day, with the premise and the meter prefilled from the CIS.

How are the parts chosen?

From the work type and the premise's records (the meter type, the service size), reserved before dispatch, so the technician arrives with the right ones.

What happens if the technician cannot complete the job?

The field supervisor decides from the technician's notes: reschedule, change the scope, escalate, or close as not done with the reason, and the customer is told.
