Tree trimming access and consent
How do we notify property owners near the lines about tree trimming, record whether they grant or refuse access, and schedule crews only on the recorded responses?
Run the trimming cycle as a notice and a response per property. For each span in the cycle, Callvu lists the properties from the network model and the parcel data, generates the notice the policy and the state rules require (the work, the window, the standards, the owner's choices, the contact), delivers it by the channels available (a letter, a door hanger the arborist logs, text and email where consented), gives each owner a link to grant access, ask for a consultation, request the wood or the chips, or refuse, chases the responses on the cycle's clock, classifies each property (access granted, consultation needed, refused, no response after the period), schedules the crews on the granted and the no-response properties under the easement, routes refusals and hazard trees to the forester in the Decision Desk, and writes every notice, response and work completion to the vegetation management system and the CIS.

The problem today
The crew trimmed the oak the owner had refused in a letter the contractor never saw, and the complaint reached the commission.
Vegetation management keeps the lights on and is the most complained-about field activity: a tree cut harder than expected, a crew in a yard without warning, a hazard tree left because the owner refused. The notices go out from one system, the responses come back to a mailbox, the contractor's crews work from a map. Nobody matches the response to the property before the saw starts.
The utility has the right to trim within the easement and the duty to maintain clearances under the reliability and safety standards; the state rules and the policy set the notice before routine trimming, the owner's options, the consultation, the handling of refusals and hazard trees, and the records. The properties are known from the network model and the parcels. A response recorded per property is what the crew's schedule should read.
The trim that follows the recorded response is the one the commission will not hear about.
How it runs
From the requestto the system of record.
A trimming cycle or a hazard inspection creates work on a span. Callvu lists the properties and opens the notice and response per property.
- Property owner or occupant
- Receives the notice, responds on the link (grant, consult, refuse, request the wood), and is told the schedule.
- Utility forester
- Consults, decides refusals and hazard trees in the Decision Desk.
- Tree crew contractor
- Works the scheduled properties from the recorded responses and logs the completion.
- Callvu
- Lists, generates and delivers, chases, classifies, schedules, routes and writes.
List and notify
The properties along the span are listed from the network model and the parcel data with the owners and occupants; the notice (the work and the clearance standard, the window, the owner's options, the easement basis, the forester's contact) is generated per property and delivered by the channels available (a letter, a door hanger the arborist logs with a photo, text and email where consented), with the delivery recorded per property.
Chase and verify the responses
Each owner responds on their link: access granted, a consultation requested, the wood or the chips requested, a specific tree concern, or a refusal; the responses are chased on the cycle's clock (a reminder, a second notice where the policy requires), and each response is checked against the property and the owner.
Classify and decide
Each property is classified: granted (scheduled), consultation (the forester visits and records the agreed scope), refused (the forester decides under the easement and the policy: the agreed alternative, the clearance required for safety, or escalation to legal), no response after the period (scheduled under the easement with the notice recorded), hazard tree (the forester decides the removal under the safety standard regardless of the cycle); refusals and hazard trees go to the forester in the Decision Desk with the property record and only the allowed outcomes.
Schedule and write back
The crews are scheduled on the granted, the agreed and the no-response properties, the contractor's crew sees the recorded response and the agreed scope per property on their device, logs the completion with photos and any wood left as requested, and every notice, response, decision and completion is written to the vegetation management system and the CIS, the system of record for the premise, for the reliability program's records and any complaint.
Where it ends: Every property on the span was noticed with delivery recorded, every owner could respond on a link, refusals and hazard trees were decided by the forester, and the crews worked only from the recorded responses with the completion on the record. The Decision Trace shows each property's classification and the forester's decisions; the Audit Trace shows the deliveries, the responses and the completions with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The notice in the owner's channel with a link to respond; the arborist's device for door hangers.
The back office
The forester decides refusals and hazard trees; the contractor's crews work from the recorded responses.
The Decision Desk
- A refusal or a hazard tree goes to the forester in the Decision Desk with the property record and only agree an alternative scope, require the safety clearance, remove the hazard tree, or escalate to legal.

Questions
What buyers ask next,answered plainly.
Does the owner get a say?
Yes. The notice offers a link to grant access, request a consultation with the forester, ask for the wood or the chips, raise a specific tree, or refuse; the response is recorded per property and the crew works from it.
What happens on a refusal?
The forester decides under the easement and the safety standard: an agreed alternative scope, the clearance required for safety, or escalation; the decision is on the property's record.
What about a dangerous tree?
A hazard tree is decided and removed on the safety standard's timeline regardless of the cycle, with the owner told.
