Easement and right-of-way agreement
How do we get an easement or right-of-way agreement drafted, signed by the landowner, recorded with the county and its status written to the project?
Run the easement as a chase against the landowner with the recording as the end. When a project needs facilities on land the utility does not own, Callvu prefills the parcel and the owner of record from the county data, classifies the instrument the project needs (a distribution easement, a transmission right-of-way, a temporary construction easement, an access license) and the consideration under the policy, generates the instrument with the legal description and the exhibit, sends it to the landowner for review and signature with notarization, chases the signature on the project's clock, routes a landowner's objection, a title defect or a negotiated term to the real estate desk in the Decision Desk, submits the signed instrument for recording, and writes the recorded easement with its reference to the project record and the land rights system of record.

The problem today
The line was built across a parcel whose owner had died, and the easement signed by the tenant was worthless.
A project needs to cross private land. The right-of-way agent finds a name, drafts an easement from a template, mails it, follows up by phone, and construction waits. The signer turns out not to be the owner of record; the legal description has a typo; the notary block is wrong; the county rejects the recording; the project's schedule has already moved twice. Years later the facility sits on land with no recorded right.
An easement is a real estate instrument: the owner of record from the county, the legal description that matches the deed, the consideration under the policy, the signature of the owner with notarization, the recording with the county's requirements and fees, and the record in the utility's land rights system. The chase is against the landowner, and the project's schedule is the clock.
An easement recorded before the trench is dug is the only kind worth having.
How it runs
From the requestto the system of record.
A project's design identifies facilities on land the utility does not own (a new connection, a line extension, a relocation, a system project). Callvu opens the easement case from the project.
- Landowner of record
- Reviews the instrument, negotiates where the policy allows, signs with notarization on a controlled screen or in person, and receives the consideration.
- Real estate desk (right-of-way agent)
- Decides objections, title issues and negotiated terms in the Decision Desk.
- County recorder
- Records the instrument and returns it.
- Callvu
- Prefills, classifies, generates, chases, routes, submits for recording and writes.
Prefill and classify
The parcel, the owner of record, the vesting deed and the legal description are prefilled from the county data and the title search where ordered; the project's facilities classify the instrument (a permanent distribution easement, a transmission right-of-way, a temporary construction easement, an access license), the width and the area from the design, and the consideration under the policy (nominal, appraised, or a schedule).
Generate and send
The instrument is generated with the legal description, the exhibit drawing from the design, the rights granted and the restrictions, the consideration and the notary block for the state; it is sent to the owner with a plain explanation, the project's schedule and the contact, for review and signature with notarization (a remote online notary where the state allows, or an in-person signing arranged).
Chase and verify, and decide
The signature is chased on the project's clock; the signed instrument is read and checked (the signer against the owner of record, the notarization, the legal description, the date); an owner who objects, a title defect (a lien, an estate, a co-owner), a request for compensation or a term beyond the policy, or an unresponsive owner goes to the real estate desk in the Decision Desk with the case and only the allowed outcomes (negotiate within authority, order an appraisal, re-route the design, or refer to counsel for condemnation where the policy allows).
Record and write back
The signed instrument is submitted for recording with the county's fees, the recorded instrument with its reference is received and checked, the consideration is paid, and the recorded easement is written to the project record and the land rights system of record with the parcel, the rights and the restrictions, so construction is released and the facilities' rights are findable for the life of the asset.
Where it ends: The easement was taken from the owner of record on an instrument that matched the deed and the design, signed with notarization, recorded and paid, and the project and the land rights system hold the recorded right before construction started. The Decision Trace shows the classification, the checks and any decision; the Audit Trace shows the sending, the signature, the recording and the write with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The landowner receives the instrument with a plain explanation and signs with notarization, remotely where the state allows.
The back office
The real estate desk decides only objections and defects; recording and the land rights write run from the signed instrument.
The Decision Desk
- An objection, a title defect, a compensation request beyond the policy or an unresponsive owner goes to the real estate desk in the Decision Desk with the case and only negotiate within authority, order an appraisal, re-route the design, or refer to counsel.

Questions
What buyers ask next,answered plainly.
Who signs the easement?
The owner of record from the county data, all owners where title is joint, with notarization; the signer is checked against the record before recording.
What is in the instrument?
The legal description from the deed, the exhibit drawing from the design, the rights granted and the restrictions, the consideration and the state's notary block, generated rather than retyped.
When can construction start?
After the recorded easement with its county reference is on the project record and the land rights system.
