Access and safety notices
How do we deliver the notices required before field work, such as access requests and planned outage notices, in the right form and on the right clock, and record the delivery?
Classify the notice from the work and deliver it from the record. When field work is planned that affects customers (a planned outage for maintenance, an access request to a meter or an easement, a service interruption for a connection, tree work, a gas pressure test), Callvu classifies the notice the tariff, the commission's rules or the policy require (the type, the recipients from the affected premises, the content, the advance period, the channels), generates it with the work's details (the date and window, the reason, the duration, the contact), delivers it by the channels the rules and the customer's preferences allow (text, email, letter, a door hanger logged by the crew), records each delivery against the premise in the CIS, chases a required acknowledgment where the notice needs one, and holds the work if the notice period has not run.

The problem today
The planned outage notice went to the mailing addresses; the tenants who lost power for six hours had never seen it.
Before many field jobs the utility must tell the people affected: a planned outage, a crew that needs to enter the yard, a gas main test, tree trimming near the house. The notices are produced by different groups in different ways, sent to the account's mailing address rather than the premise, and nobody can prove who received what. The commission's complaint arrives with the words 'no notice'.
The requirements are specific: the commission's rules and the tariff set the advance period for a planned interruption (commonly a set number of days), the content, and the customers who must be told (including life-support and medical customers by a specific method); the easement and the tariff give the right of access with reasonable notice; the policy sets the door hanger and the text. The work order knows the premises affected and the date. The notice should be classified from the work and recorded per premise.
A notice the work order generates and the record proves is a notice that was given.
How it runs
From the requestto the system of record.
A work order is planned that affects customers' service or requires access. Callvu classifies the notice required from the work order.
- Affected customers and occupants
- Receive the notice in their channel and acknowledge where required.
- Operations and the crew
- Supply the work details and log door hangers; the work waits for the period.
- Callvu
- Classifies, generates, delivers, records, chases and holds.
Classify the notice
The work type and the premises affected (from the work order and the network model: the feeder's customers for a planned outage, the premise for an access request, the properties along a line for tree work) classify the notice required: the type, the recipients (including the premise occupants, not only the account's mailing address, and the life-support and medical customers by their required method), the content, the advance period and the channels the rules and the customers' preferences allow.
Generate and deliver
The notice is generated with the work's details (the date and the window, the reason, the expected duration, the contact, the safety instructions where relevant) and delivered by the allowed channels (text and email under consent, a letter where the rule requires it, a door hanger the crew logs on their device with a photo), with the life-support customers' notice by the method the rule sets and a confirmation of receipt attempted.
Record and chase
Each delivery is recorded against the premise in the CIS, the system of record, with the channel, the time and the content version; where the notice requires an acknowledgment (an access consent, a tree work response), it is chased on the schedule through the relevant process; a changed work date regenerates the notice and restarts the period.
Hold and write back
The work order is held in the work management system until the advance period has run and the required deliveries are recorded; an exception (a premise with no reachable channel, a life-support customer not confirmed, an emergency that cannot wait) goes to the operations supervisor in the Decision Desk with the record and only the allowed outcomes.
Where it ends: Every affected premise received the required notice in an allowed channel on the advance period, the deliveries are recorded against the premises, the life-support customers were reached by the required method, and the work did not start before the period ran. The Decision Trace shows the classification and any decision; the Audit Trace shows each delivery with channel and time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The notice in the customer's channel; the crew logs door hangers on their device.
The back office
Operations see the hold and its release; nobody produces notices by hand.
The Decision Desk
- A premise with no reachable channel, an unconfirmed life-support customer, or an emergency that cannot wait for the period goes to the operations supervisor in the Decision Desk with the record and only the allowed outcomes.

Questions
What buyers ask next,answered plainly.
Who gets the notice?
The premises affected by the work from the network model, including the occupants and not only the account's mailing address, with life-support and medical customers reached by the method the rule requires.
How is delivery proven?
Each delivery is recorded against the premise with the channel, the time and the content version, including door hangers the crew logs with a photo.
Can the work start early?
No. The work order is held until the advance period has run and the required deliveries are recorded, except an emergency the operations supervisor decides.
