Corporate client onboarding to a travel management company

How does a travel management company onboard a corporate client from the signed contract by collecting the policy, the approvers, the billing and the traveler lists, checking them, and configuring the booking tool?

Run the implementation as a checklist the client fills through a link. From the signed contract, Callvu lists the configuration the contract terms and the service require (the travel policy in structured form, the approval hierarchy and the delegates, the cost centers and the billing entities with the payment method, the traveler list with profiles, the preferred supplier agreements, the reporting recipients, the duty of care contacts), collects each from the client's contacts through their links, checks each against the contract and the tool's requirements (a policy rule that cannot be configured, a billing entity without a tax number, a traveler list with duplicates), routes gaps and conflicts to the implementation manager in the Decision Desk, configures the booking tool from the checked data, and records the configuration and the sign-off against the client.

The problem today

The go-live slipped six weeks because the policy arrived as a PDF, the approvers as an org chart, and the travelers as three spreadsheets.

Today, without Callvu

Onboarding a corporate client is a data collection exercise disguised as a project: the policy must become rules the booking tool can enforce, the approvers a hierarchy with delegates, the billing a set of entities with payment methods, the travelers a clean list with profiles. The client's contacts send what they have in the formats they have; the implementation manager retypes, asks again, and the go-live date moves.

The contract terms define the service, the tool and the data the client must supply; the booking tool defines what a configuration needs; each item has an owner at the client. A checklist with owners, formats and checks, filled through links, makes the project a process with a visible critical path.

The client who sees exactly what is outstanding and from whom goes live on the date.

How it runs

From the requestto the system of record.

A corporate client's contract is signed. Callvu opens the onboarding from the contract with the service scope and the go-live date.

Client contacts
Supply the policy, the approvers, the billing and the traveler lists through their links; the sponsor signs off.
Implementation manager
Decides gaps and conflicts in the Decision Desk and runs the go-live.
Callvu
Lists, collects, checks, routes, configures and records.
  1. List the configuration

The contract terms (the services, the booking tool, the online and offline channels, the reporting, the duty of care service) set the configuration items: the travel policy captured in structured form (fare, cabin, hotel, car, advance purchase, approval rules), the approval hierarchy with delegates, the cost centers and the billing entities with the payment methods and tax numbers, the traveler list with the profile fields, the preferred supplier agreements and negotiated rates, the reporting recipients, the duty of care contacts; each item gets a client owner and a deadline counted back from go-live.

  2. Chase and verify

Each owner receives a link with the item's format (structured forms for the policy and the hierarchy, a template for the traveler list, uploads for the supplier agreements); each submission is checked against the contract and the tool's requirements (a policy rule the tool cannot enforce, an approver not in the traveler list, a billing entity without a tax number or a payment method, duplicate or incomplete traveler rows, a negotiated rate without the supplier's confirmation), and what is wrong is returned with the specifics; the client sees the checklist's status.

  3. Decide

A gap near the go-live date, a policy rule that needs a workaround, a conflict between the contract and what the client supplied, or a scope change goes to the implementation manager in the Decision Desk with the item and only the allowed outcomes (accept, accept with a workaround documented, defer the item past go-live, or escalate to the account owner).

  4. Configure and write back

The booking tool is configured from the checked data (the policy rules, the hierarchy, the billing, the profiles through the profile process), the configuration is tested against the sample cases in the checklist, the sponsor signs off on their phone, and the configuration, the sign-off and the open items are recorded against the client in the booking system, the system of record, with the account team seeing the go-live status.

Where it ends: The client supplied the configuration through links in the right formats, each item was checked and decided, the booking tool was configured from checked data, and the client went live on the date with the sign-off recorded. The Decision Trace shows the checks and the decisions; the Audit Trace shows each submission, the configuration and the sign-off.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The client's contacts through their links; the sponsor signs off on their phone.

The back office

The implementation manager decides gaps instead of retyping; the account team sees the status.

The Decision Desk

  • A gap near go-live, a rule the tool cannot enforce, a conflict with the contract or a scope change goes to the implementation manager in the Decision Desk with the item and only accept, accept with a workaround, defer, or escalate.

Questions

What buyers ask next,answered plainly.

What does the client supply?

The policy in structured form, the approval hierarchy, the cost centers and billing entities, the traveler list, the supplier agreements, the reporting recipients and the duty of care contacts, each through a link in the tool's format.

How is the data checked?

Against the contract and the booking tool's requirements: enforceable policy rules, approvers who exist, billing entities with tax numbers and payment methods, clean traveler rows, confirmed negotiated rates.

What happens near go-live if something is missing?

The implementation manager decides in the Decision Desk: accept, accept with a documented workaround, defer the item, or escalate to the account owner.
