Corporate invoice dispute

How do we resolve a corporate client's dispute of an invoice line by assembling the booking record and the approvals, deciding it, and issuing the credit note?

Treat each disputed line as a case with its evidence attached. When a corporate client disputes an invoice line (a fee, a fare, a booking they say was not approved, a duplicate), Callvu matches the line to the booking, the traveler, the approval record and the contract's fee schedule, assembles the evidence (what the traveler booked and when, the policy check and the approver, the fare rules applied, the supplier's charge, the fee the contract allows), chases the client's contact for what only they hold (an internal reference, a cancellation they claim), routes the dispute to the account manager or finance in the Decision Desk with the evidence and only the allowed outcomes, issues the credit note or the explanation under the contract's dispute terms within its period, and writes the outcome to the billing system, the system of record, with the account's statement updated.

The problem today

The client disputed forty lines on the monthly invoice, and the account manager spent a week reconstructing each booking from emails.

Today, without Callvu

A travel management company invoices its corporate clients monthly: hundreds of lines of fares, hotels, fees and changes. The client's accounts payable disputes a batch: a fee they do not recognize, a booking they say nobody approved, a change charged twice. The account manager digs through the booking tool, the approval emails and the supplier charges; the payment is held for the whole invoice; the relationship frays.

Every line has a record: the booking with its timestamps, the policy check and the approver's decision, the fare rules and the supplier's charge, the fee the contract's schedule allows for that transaction type. The contract sets how disputes are raised, the period to respond, and when a credit note is due. The evidence exists; the case is assembling it and deciding.

A disputed line with its evidence attached is decided in minutes; without it, in weeks.

How it runs

From the requestto the system of record.

A corporate client disputes one or more invoice lines through the client portal, an email or a call. Callvu opens a case per line from the invoice.

Client contact
Raises the dispute with the reason, supplies what only they hold through a link, and receives the outcome.
Account manager or finance
Decides the dispute in the Decision Desk with the evidence.
Callvu
Matches, assembles, chases, routes, issues and writes.
  1. Match and assemble

Each disputed line is matched to the booking, the traveler, the transaction type and the date; the evidence is assembled from the records: the booking's timestamps and channel, the policy check and the approver with the approval time, the fare or rate rules applied, the supplier's charge, the fee from the contract's schedule for that transaction type, any change or cancellation and its charges, and prior credits on the line.

  2. Chase and verify the client's facts

The client's reason is classified (fee not recognized, booking not approved, duplicate, wrong traveler, service not delivered, price differs from the quote) and what only the client holds is requested through a link (the internal reference, the cancellation they claim, the approver they say declined); the response is read and checked against the record.

  3. Decide

The account manager or finance decides in the Decision Desk with the line, the evidence and the contract's terms, and only the allowed outcomes: uphold the line with the explanation, issue a credit note in full or in part with the reason, or escalate under the contract's dispute clause; a dispute within the contract's tolerance for a known error type may be credited by rule.

  4. Issue and write back

The credit note or the explanation is issued to the client within the contract's dispute period, the outcome is written to the billing system, the system of record, against the invoice line with the evidence attached, the account's statement and the ageing are updated so the undisputed balance is not held, and the pattern (fees disputed by type, approvals missing) feeds the account review.

Where it ends: Every disputed line was matched to its booking and its approval, decided on the evidence under the contract within its period, and the billing system holds the credit note or the explanation with the evidence. The Decision Trace shows the match, the evidence and the decision; the Audit Trace shows the dispute, the client's response and the issue with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The client portal, email or a call; the client's contact supplies what only they hold through a link.

The back office

The account manager or finance decides with the evidence attached; the billing system issues the credit note.

The Decision Desk

  • Each disputed line goes to the account manager or finance in the Decision Desk with the evidence and the contract's terms, and only uphold with explanation, credit in full or part, or escalate under the dispute clause.

Questions

What buyers ask next,answered plainly.

What evidence is assembled?

The booking's timestamps and channel, the policy check and the approver, the fare or rate rules, the supplier's charge, the fee from the contract's schedule, and any changes or prior credits on the line.

Is the whole invoice held?

No. The undisputed balance stays due on the contract's terms; only the disputed lines are in dispute, each with its own case.

How fast is the response?

Within the contract's response period, with the credit note or the explanation issued from the decision and written to the billing system.
