Out-of-policy trip approval

How do we get an out-of-policy trip approved by the right person, inside or outside the company, before the ticket is issued?

Route the policy break to its approver with the policy in front of them. When a booking breaks the corporate travel policy (a fare above the lowest logical fare, a cabin above the entitlement, a hotel above the city cap, a booking inside the advance purchase window, a destination that needs sign-off), Callvu classifies the break against the policy and the traveler's profile, identifies the approver the policy names (the line manager, a cost center owner, the travel manager, or a client-side approver outside the company), puts the case in the Decision Desk with the policy clause, the compliant alternative and the cost difference, holds the ticket until the decision, and writes the approval or the rejection with the reason to the booking system before ticketing.

The problem today

The ticket was issued on Friday, the manager approved on Tuesday, and the finance team found the gap at month end.

Today, without Callvu

Corporate travel policies name who may approve a break, but the approval usually happens by email after the ticket is issued, because the fare would have gone up while everyone waited. The approver sees a forwarded itinerary, not the policy clause or the compliant alternative. The travel manager reconciles the exceptions a month later from the agency's report.

A policy break is a classification: which clause, by how much, for which traveler, with which approver. The approver needs three things to decide quickly: the clause, the compliant option and the cost difference. The ticketing time limit is the clock. An approver outside the company (a client who pays for the trip, a sponsor) needs a link, not an account.

An approval decided before ticketing with the policy in view is the only kind that controls spend.

How it runs

From the requestto the system of record.

A booking in the online booking tool or with an agent breaks the corporate travel policy. Callvu opens the approval before ticketing.

Traveler or arranger
Gives the reason for the break and sees the status.
Approver
Decides in the Decision Desk with the policy clause and the alternative; an outside approver opens the case from a link.
Travel manager
Owns the policy and sees every exception.
Callvu
Classifies the break, routes, holds the ticket, and writes the decision.
  1. Classify the break

The booking is compared with the policy for the traveler's grade and the trip's purpose: the fare against the lowest logical fare, the cabin against the entitlement, the hotel rate against the city cap, the booking date against the advance purchase window, the destination against the approval list; each break is classified with its clause, the compliant alternative and the cost difference, and the traveler enters the reason.

  2. Route to the approver

The policy names the approver for the break type and the amount (the line manager, the cost center owner, the travel manager, a client-side approver); the case goes to them in the Decision Desk with the clause, the alternative, the cost difference and the reason; an approver outside the company opens it from an emailed or texted link without an account.

  3. Decide before ticketing

The approver decides with only the allowed outcomes: approve as booked, approve the compliant alternative instead, or reject with the reason; the ticketing time limit is the clock, with reminders and an escalation to the delegate the policy names before the limit expires.

  4. Write back

The decision, the approver, the clause and the reason are written to the booking system against the trip, the ticket is issued or the alternative booked, and the exception is recorded for the exception reporting process.

Where it ends: The break was decided by the named approver before the ticket was issued, with the policy clause and the alternative in view, and the booking system holds the decision for the exception report. The Decision Trace shows the classification and the decision; the Audit Trace shows the routing, the reminders and the write.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The online booking tool or the agent; the traveler gives the reason in the flow; the approver decides from a link or the Decision Desk.

The back office

The travel manager sees exceptions as they are decided, not at month end.

The Decision Desk

  • The break goes to the named approver in the Decision Desk with the clause, the alternative and the cost, and only approve as booked, approve the alternative, or reject with the reason.

Questions

What buyers ask next,answered plainly.

Who approves an out-of-policy booking?

The person the policy names for the break type and amount: a line manager, a cost center owner, the travel manager, or a client-side approver, resolved by the classification.

What does the approver see?

The policy clause, the compliant alternative, the cost difference and the traveler's reason, in the Decision Desk or from a link if they are outside the company.

What happens to the fare while the approver decides?

The ticket is held to the fare's ticketing time limit, with reminders and an escalation to the delegate before it expires.
