Travel supplier and agency onboarding

How do we onboard a hotel, a ground operator or an agency partner with the contracts, the insurance certificates and the bank details collected, checked and set up?

Run partner onboarding as a checklist the partner clears through a link, with the contract as the source of the rules. Callvu classifies the partner type (a hotel or a chain, a ground or tour operator, a travel agency or an affiliate, a technology supplier) and the requirements its agreement and the company's policy set (the signed contract and its rate or commission schedule, the business verification and the licenses the destination requires, the liability insurance certificate with the limits and the company as additional insured, the health and safety or the duty of care attestations, the data processing terms, the bank details with ownership verification, the tax forms), collects each through the partner's link, reads and checks each document against the requirement, routes a missing license, an insurance shortfall or a sanctions hit to the partnerships desk in the Decision Desk, and writes the active partner with its contract terms, its rates, its payment terms and its expiry dates to the booking system and the finance system so bookings and payments run only within the agreed terms.

The problem today

The excursion operator was live in the booking system for a season before anyone noticed the insurance certificate named a different company.

Today, without Callvu

Travel companies run on partners: the hotels, the ground operators, the excursion companies, the agencies that sell for them. Each is onboarded by the commercial team in a hurry with a contract in an email and a certificate in a folder. The partner goes live; the certificate expires or was never right; the duty of care attestation was a checkbox; the bank details came from a message. When a traveler is hurt on a tour, the file is what the lawyers read.

The agreement sets the rules (the rates, the payment terms, the insurance the partner must carry, the standards it must meet, the data it may process) and the company's policy adds the verifications (the business and its owners, the destination's licenses, the sanctions screening, the bank ownership). Each is a document with a check, and the booking system should carry the partner only within those terms. The duty of care the company owes its travelers starts with the partners it chooses.

A partner onboarded against its contract is a partner the company can book, pay and defend.

How it runs

From the requestto the system of record.

The commercial team signs or proposes a new partner. Callvu opens the onboarding from the contract.

Partner
Provides the documents, the certificates, the bank details and the attestations through a link, and signs the contract where not yet signed.
Partnerships desk
Decides missing licenses, insurance shortfalls, sanctions hits and exceptions in the Decision Desk.
Commercial, legal and finance
Own the contract terms, the data terms and the payment setup respectively, and see the checklist.
Callvu
Classifies, collects, checks, routes and writes.
  1. Classify the partner and the requirements

The partner type, the destinations, the services and the contract classify the requirements: the signed agreement with its rate or commission schedule and payment terms, the business registration and the owners, the licenses the destination requires for the service (a tour operator license, a transport operator permit, a hotel license), the liability insurance certificate with the minimum limits and the company named as additional insured, the health and safety or duty of care standards attestation with the evidence the policy requires (vehicle inspections, guide certifications, an incident procedure), the data processing terms where the partner receives traveler data, the bank details and the tax forms.

  2. Chase and verify

Each item is collected through the partner's link and read on arrival; each is checked against the requirement: the contract signed by an authorized signatory with the schedule attached, the registration against the registry and the owners against the sanctions and adverse media lists, the licenses against the issuing authority where lookup exists and their expiry, the insurance certificate's insured name, limits, period and the additional insured wording, the attestation's evidence, the data terms signed, the bank account's ownership matched to the partner; what is missing or wrong is chased with the specifics, and the checklist shows the status to the commercial team.

  3. Decide

A partner whose checklist passes is activated by rule for the services and destinations the evidence supports; a missing or expired license, an insurance shortfall or a wrong insured name, a sanctions or adverse media hit, a bank owner mismatch, or an attestation without evidence goes to the partnerships desk in the Decision Desk with the results and only the allowed outcomes (activate, activate with limited services or a condition by a date, hold, or decline with the reason).

  4. Write back

The active partner with its contract terms, its rates and commissions, its payment terms and the verified bank account, its services and destinations, its insurance and license expiry dates and its data terms is written to the booking system, the system of record, and the finance system, so bookings and payments run only within the agreed terms, and the expiry chases are scheduled before each date.

Where it ends: The partner was activated only after every document the contract and the policy require was collected and checked, the exceptions were decided by the partnerships desk, and the booking and finance systems carry the partner within its terms with the expiries tracked. The Decision Trace shows the classification, each check and any decision; the Audit Trace shows each upload, each check and the write with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The partner's link from the contract; the commercial team sees the checklist.

The back office

The partnerships desk decides only exceptions; legal and finance see their items; the booking system enforces the terms.

The Decision Desk

  • A missing or expired license, an insurance shortfall or wrong insured name, a sanctions hit, a bank owner mismatch or an attestation without evidence goes to the partnerships desk in the Decision Desk with the results and only activate, activate with limits or a condition, hold, or decline with the reason.

Questions

What buyers ask next,answered plainly.

What is collected from a new partner?

The signed contract and its schedule, the business registration and owners, the destination's licenses, the liability insurance certificate with the required limits and wording, the duty of care attestation with evidence, the data terms, the bank details and the tax forms, through the partner's link.

How is the insurance checked?

The certificate's insured name, the limits against the contract's minimums, the period and the additional insured wording, with the expiry tracked and chased before the date.

What happens when a license or a certificate lapses?

The affected services are suspended by rule until a renewed document passes the check, and the partnerships desk decides any exception.
