Activity waivers and terms acceptance
How do we get an activity waiver and the terms reviewed and signed by each participant before an excursion or a tour, and store the signed record against the booking?
Make the waiver a signed record for each participant, collected before the activity and kept with the booking. Before an excursion or a tour that requires one, Callvu identifies the participants on the booking, selects the waiver version and the terms for the activity and the jurisdiction (the operator's release, the assumption of risk, the medical fitness declaration, the photo consent where included, the minor's version signed by a parent), sends each participant their own link to read and sign on their phone with the identity confirmed and the signature evidence captured, chases the unsigned ones on the schedule counted back from the activity, routes a refusal, a minor without a parent or a medical answer that fails the operator's rule to the operator's desk in the Decision Desk, and stores each signed waiver with its version against the booking in the booking system where a dispute or a claim can find it.

The problem today
The claim arrived two years later, and the signed waiver was a clipboard page nobody could find.
Excursions, tours and adventure activities run on waivers: the release and assumption of risk, the medical fitness declaration, the terms of participation. They are signed at the bus or the dock on a clipboard, by one person for a family, without reading, sometimes by a minor. When an injury leads to a claim, the operator needs the signed waiver for that participant, with the version in force that day, and the evidence that they read and signed it. The clipboard is not that.
A waiver's enforceability depends on the jurisdiction's rules (clear language, conspicuous terms, no waiver of gross negligence, special treatment of minors), on the participant's own signature with evidence, and on the record. Electronic signature laws make a phone signature valid when the consent to electronic records and the evidence are captured. The participant list is on the booking, the activity sets the version, and the activity date is the deadline.
A waiver signed per participant, in advance, with evidence, is the one that holds.
How it runs
From the requestto the system of record.
A booking includes an excursion, a tour or an activity the operator requires a waiver for. Callvu opens the waiver chain for the participants.
- Participants
- Each reads and signs their own waiver on their phone; a parent signs for a minor.
- Operator's desk
- Decides refusals and flagged answers in the Decision Desk.
- Callvu
- Selects the version, sends links, captures signatures with evidence, chases, routes and stores.
Select the waiver and the participants
The activity and the jurisdiction select the waiver version in force (the release and assumption of risk, the medical fitness declaration, the conduct terms, the photo consent where included, the minor's version requiring a parent's signature); the participants are listed from the booking with their ages, so each adult gets their own and each minor's goes to the parent or guardian on the booking.
Chase and verify the signatures
Each participant receives their own link; the waiver is presented in full in their language with the key terms conspicuous, the consent to electronic records is captured, the identity is confirmed (the name and the date of birth against the booking), the medical declaration is answered, and the signature is captured with the evidence (time, device, the version shown); the unsigned are chased on the schedule counted back from the activity date, and a medical answer the operator's rule flags is recorded for the decision.
Decide
A signed, complete waiver proceeds by rule; a participant who refuses, a minor without a parent on the booking, or a medical answer that fails the operator's participation rule goes to the operator's desk in the Decision Desk with the record and only the allowed outcomes (accept with a condition, require a medical certificate, offer an alternative activity, or exclude with the refund rule).
Store and write back
Each signed waiver with its version, the signer's identity, the evidence and the answers is stored against the booking in the booking system, the system of record, retained for the limitation period, and retrievable by participant and date for a claim; the operator's manifest for the day shows who has signed.
Where it ends: Every participant signed their own waiver in the version in force, in advance, with the evidence a claim will need, and the booking system holds the records retrievable by participant and date. The Decision Trace shows the version selection and any decision; the Audit Trace shows each signature with its evidence and the storage.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Each participant's own link on their phone before the activity; a tablet at the meeting point as the fallback.
The back office
The operator's desk decides only exceptions; the day's manifest shows who has signed.
The Decision Desk
- A refusal, a minor without a parent on the booking or a flagged medical answer goes to the operator's desk in the Decision Desk with the record and only accept with a condition, require a certificate, offer an alternative, or exclude with the refund rule.

Questions
What buyers ask next,answered plainly.
Does one signature cover a family?
No. Each adult signs their own waiver and a parent or guardian signs each minor's, so every record is attributable to its participant.
Is a phone signature enforceable?
Yes, where the consent to electronic records, the identity confirmation and the signing evidence are captured and the record is retained, which the process does.
What if a medical answer is flagged?
The operator's desk decides before the activity: accept with a condition, require a certificate, offer an alternative, or exclude under the refund rule.
