Group deposit and rooming list collection
How do we collect the deposits and the rooming list for a group block from the organizer and each member by the deadline, and confirm or release the block?
Give the organizer one view and each member their own link. When a group block is held, Callvu prefills the block from the booking and the supplier's contract (the rooms or seats held, the deposit per person, the deadlines for deposits, names and the rooming list, the attrition and release terms), gives the organizer a view of the block with every member's status, sends each member a link to enter their names as on their passport, their room share and preferences and to pay their deposit on a secure screen, chases members and the organizer on the contract's clock, routes a short block at the deadline (fewer deposits than the contract requires, a rooming list incomplete) to the groups desk in the Decision Desk with the contract's options, and writes the confirmed block, the names and the payments to the booking system with the supplier's list sent.

The problem today
The organizer collected deposits by bank transfer in a spreadsheet, and the rooming list reached the hotel two days after the release date.
A group booking (a wedding party, a school trip, a sports team, a company offsite) holds rooms or seats under a contract with deadlines: the deposits by a date, the names by another, the rooming list before the release date, with attrition penalties for unsold rooms. The organizer is a volunteer with a spreadsheet; the members pay late and spell their names differently from their passports; the operator chases the organizer who chases the members. The block is released or the attrition bill arrives.
The group contract is a set of clocks and quantities the process can track: the deposits received against the minimum, the names received against the rooms, the rooming list against the supplier's cutoff. Each member can pay and enter their own details on their own link; the organizer needs the view, not the collection. The supplier's deadlines bind the operator, and the booking system must reflect the block as confirmed, reduced or released.
A group block managed from the contract's clocks is a block that is confirmed on time with the right names.
How it runs
From the requestto the system of record.
A group block is held with a supplier under a contract and an organizer. Callvu opens the block from the booking and the contract.
- Organizer
- Sees the block's status, invites the members and confirms the final list.
- Group members
- Each enters their names, room share and preferences and pays their deposit on their own link.
- Groups desk
- Decides short blocks and exceptions at the deadlines in the Decision Desk.
- Supplier
- Receives the deposits, the names and the rooming list by its deadlines.
- Callvu
- Prefills, invites, collects, chases, routes and writes.
Prefill the block
The rooms or seats held, the deposit per person, the deadlines (deposits, names, rooming list), the attrition and release terms and the minimum numbers are prefilled from the booking and the supplier's contract; the organizer's view shows the block with each place's status and the next deadline.
Chase and verify the members
Each member receives a link (from the organizer's list or a shareable link the organizer sends) to enter their names as on their passport, their date of birth where the supplier requires it, their room share and preferences, and to pay their deposit on the processor's hosted fields; each entry is read and checked (the name format, the room share matching another member, the deposit against the per-person amount), and members are chased on the contract's clock with the organizer seeing who is outstanding.
Decide at the deadlines
A block that meets the contract at each deadline proceeds by rule; a short block (fewer deposits than the minimum, names missing, a rooming list incomplete at the cutoff) goes to the groups desk in the Decision Desk with the contract's options and only those outcomes (reduce the block to the paid places within the attrition terms, request an extension from the supplier, release the unpaid places, or hold the block with the organizer's guarantee).
Write back
The confirmed block with the names, the room shares and the deposits is written to the booking system, the rooming list and the deposit are sent to the supplier by its deadlines in its format, each member receives their confirmation, and the final payment process takes over for the balances.
Where it ends: The block was collected from each member on their own link, tracked against the contract's deadlines and quantities, decided by a person where it fell short, and confirmed to the supplier on time with the right names, with the booking system holding it. The Decision Trace shows the contract's terms and any decision; the Audit Trace shows each member's entry and payment, the chases and the supplier submissions with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The organizer's view and the members' links, on their phones.
The back office
The groups desk decides only short blocks at the deadlines; the supplier submissions run from the booking system.
The Decision Desk
- A short block at a deadline goes to the groups desk in the Decision Desk with the contract's options and only reduce within attrition, request an extension, release unpaid places, or hold on the organizer's guarantee.

Questions
What buyers ask next,answered plainly.
Does the organizer collect the money?
No. Each member pays their own deposit on a secure screen from their own link and enters their own names; the organizer sees who has paid and who is outstanding.
What happens if the block is short at the deadline?
The groups desk decides under the contract's options: reduce within the attrition terms, request an extension, release the unpaid places, or hold on the organizer's guarantee.
How does the supplier get the rooming list?
From the booking system, in the supplier's format, before its cutoff, with the names as the members entered them against their passports.
