Tour and cruise payment plans
How do we set up a tour or cruise payment plan at booking, remind the traveler before each due date, and write every payment to the order management system?
Make the plan a schedule the traveler agrees to once and pays on a secure screen each time. At booking, Callvu prefills the plan from the booking (the deposit paid, the balance, the final payment date set by the supplier's terms, the installment options the policy allows), presents the schedule with the dates, the amounts and the consequence of a missed installment, captures the traveler's acceptance and the tokenized payment method on a secure screen, sends reminders before each due date with a link to pay or confirm the stored method, chases a failed or missed installment on the clock before the final payment date, routes a plan outside the policy or a repeated failure to the payments desk in the Decision Desk, and writes each payment to the order management system, the system of record, with the balance updated.

The problem today
The traveler missed the third installment, nobody noticed until the final payment date, and the cabin was released.
A cruise or a tour is booked a year ahead with a deposit and a balance. The operator offers installments; the agent writes the dates on the confirmation; the reminders are a calendar entry somebody owns. A card expires, an installment fails, and the booking reaches the supplier's final payment date unpaid. The cabin is released under the supplier's terms and the traveler, who thought they were paying, loses the deposit.
A payment plan is a schedule with a hard end: the supplier's final payment date, after which the booking terms cancel it with penalties. Each installment is a card-not-present payment that must be taken securely with the stored method's authorization; each reminder is a communication the traveler consented to; each failure is a chase with a deadline. The order management system holds the balance and must reflect every payment.
A plan the traveler accepted on a screen, with reminders that carry a payment link, is a plan that reaches the final payment date paid.
How it runs
From the requestto the system of record.
A traveler books a tour or cruise with a balance due later and chooses a payment plan, or the operator offers one. Callvu opens the plan from the booking.
- Traveler
- Accepts the schedule, enters the payment method on a secure screen, and pays or confirms each installment from the reminder.
- Agent
- Sends the plan on a call and sees the schedule's status.
- Payments desk
- Decides plans outside the policy and repeated failures in the Decision Desk.
- Callvu
- Prefills, presents, captures acceptance and the method, reminds, chases, routes and writes.
Prefill and present the schedule
The booking, the deposit paid, the balance, the currency, the supplier's final payment date and the installment options the policy allows for the product and the lead time are prefilled; the schedule (each date and amount, the last installment before the final payment date, any plan fee the terms allow, what happens on a missed installment under the booking terms) is presented in plain terms and the traveler accepts it on a secure screen.
Chase and verify the method
The traveler enters the card or the bank account on the processor's hosted fields with the recurring payment authorization, the method is tokenized, and its expiry is checked against the schedule (a card expiring before the last installment is flagged for an update before it matters).
Remind, collect and decide
Before each due date the traveler receives a reminder with the amount and a link to confirm the stored method or pay another way; the installment is taken on the date; a failure is retried on the policy and chased with a link, and the traveler is told the consequence and the final payment date; a plan outside the policy (a shorter lead time, a larger balance, a product the supplier excludes) or a repeated failure goes to the payments desk in the Decision Desk with the schedule and only the allowed outcomes (accept, re-schedule within the final payment date, convert to a single balance payment, or apply the booking terms).
Write back
Each payment is written to the order management system, the system of record, against the booking with the balance updated, the receipt goes to the traveler, the supplier's payment deadlines are met from the schedule, and the final payment process takes over when the last installment is due.
Where it ends: The traveler agreed to a schedule built from the booking and the supplier's deadline, paid each installment from a reminder on a secure screen, failures were chased before they mattered, and the order management system holds every payment. The Decision Trace shows the schedule's rules and any decision; the Audit Trace shows the acceptance, each reminder, each payment and the writes with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The booking flow, or a call with a link; the traveler accepts and pays on their phone.
The back office
The payments desk sees only plans outside the policy and repeated failures; finance sees every installment posted.
The Decision Desk
- A plan outside the policy or a repeated failure goes to the payments desk in the Decision Desk with the schedule and only accept, re-schedule within the final payment date, convert to a single payment, or apply the booking terms.

Questions
What buyers ask next,answered plainly.
When is the last installment due?
Before the supplier's final payment date, which the schedule is built around; a plan can never run past it.
What happens if an installment fails?
It is retried on the policy and the traveler is chased with a link to pay and told the consequence under the booking terms; a repeated failure goes to the payments desk before the final payment date.
Where is the card stored?
Nowhere in the operator's systems; it is tokenized by the processor from the secure screen, and each installment charges the token under the stored credential rules.
