Final balance collection before departure
How do we collect the final balance before departure with the traveler reminded, paying on a secure screen, and unpaid bookings handled under the cancellation rule?
Run the final payment date as a clock with a payment link at every reminder. Callvu identifies every booking whose final payment date approaches, prefills the balance and the date from the booking and the supplier's terms, reminds the traveler on the policy's schedule with the amount and a link to pay on a secure screen (or to confirm the stored method), reads each payment as it posts and chases what is still unpaid with the consequence stated, routes a booking still unpaid at the deadline (or a partial payment, a disputed balance, a traveler who asks for more time) to the payments desk in the Decision Desk with only the outcomes the booking terms allow, and writes the payment or the cancellation under the terms to the order management system, the system of record, with the supplier told.

The problem today
The final payment report was run on Monday; the supplier's deadline had been Friday.
The balance on a package, a cruise or a tour is due by a date the supplier sets, and the supplier releases or penalizes the booking when it is not paid. The operator's reminders are a report someone runs and a batch of emails; the payment requires a call; the unpaid list is worked after the deadline, which is too late for the traveler and expensive for the operator.
Final payment is a deadline on every booking, known at the time of booking. The reminders should carry the amount and a link to pay; the payments should post as they happen; the unpaid bookings at the deadline should be decided by the booking terms and a person, not by the supplier's release. The card data standard applies to every payment, and the order management system must reflect the result.
A deadline the process counts down to is a deadline the traveler meets.
How it runs
From the requestto the system of record.
A booking's final payment date approaches (the policy's lead time before the supplier's date). Callvu opens the collection on the booking.
- Traveler
- Receives the reminders and pays on a secure screen or confirms the stored method.
- Agent
- Sees the status and can send the link on a call.
- Payments desk
- Decides unpaid, partial and disputed balances at the deadline in the Decision Desk.
- Supplier
- Receives the payment by its deadline or the cancellation.
- Callvu
- Identifies, prefills, reminds, reads payments, chases, routes and writes.
Identify and prefill
Every booking with a final payment date inside the lead time is identified from the order management system; the balance, the currency, the supplier's deadline, the operator's own earlier deadline, the stored method where one exists and the booking terms' consequence of non-payment are prefilled.
Chase and verify
The traveler receives reminders on the policy's schedule (for example at thirty, fourteen and seven days and on the day, written in the schedule) with the amount, the deadline, the consequence and a link to pay on the processor's hosted fields or to confirm the stored method; each payment is read as it posts and the booking leaves the chase; a partial payment or a failed payment is chased with the specifics.
Decide at the deadline
A booking still unpaid at the operator's deadline, a partial payment, a disputed balance (a traveler who says the price changed), or a request for more time goes to the payments desk in the Decision Desk with the booking, the reminders sent and the booking terms, and only the outcomes the terms allow: a short extension within the supplier's date, a conversion to a payment plan where time allows, a cancellation under the terms with the penalty computed, or a hold for a dispute.
Write back
The payment with the receipt, or the cancellation with the penalty and the refund of any excess, is written to the order management system, the system of record, the supplier is paid or told by its deadline, the traveler receives the confirmation or the cancellation notice with the terms cited, and the booking's status is updated for the documents and the departure processes.
Where it ends: Every booking reached its deadline paid or decided by a person under the terms, the traveler was reminded with a way to pay each time, the supplier was paid or told on time, and the order management system holds the result. The Decision Trace shows the deadline, the reminders and any decision; the Audit Trace shows each reminder, payment and write with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The reminders by text and email with a link; a call with the same link; the app.
The back office
The payments desk decides only unpaid, partial and disputed bookings at the deadline; finance sees payments posted.
The Decision Desk
- An unpaid, partial or disputed balance at the deadline, or a request for more time, goes to the payments desk in the Decision Desk with the reminders and the terms, and only a short extension, a plan where time allows, a cancellation under the terms, or a hold for dispute.

Questions
What buyers ask next,answered plainly.
When are travelers reminded?
On the policy's schedule before the deadline, each reminder with the amount, the deadline, the consequence under the booking terms and a link to pay on a secure screen.
What happens to an unpaid booking at the deadline?
It goes to the payments desk with the reminders and the terms, and only the terms' outcomes are available: a short extension, a plan where time allows, a cancellation with the penalty computed, or a hold for a dispute.
Is the supplier paid on time?
The operator's deadline sits inside the supplier's, the decision happens before it, and the payment or the cancellation reaches the supplier by its date.
