TRID loan processing handoff

How do we run the handoff from origination to processing on a TRID loan so the Loan Estimate and changed-circumstance clocks are tracked across teams, not lost between them?

Make the handoff a step on record with the clocks attached. When a file passes the completeness gate, Callvu hands it to Processing with the application date, the Loan Estimate delivery record, every change event and its deadline, and the open conditions, assigns it by work type and due date, keeps the disclosure desk in the loop on every change the processor records, and holds every team to the same clock the examiner will read. The problem today

The loan officer knows the lock date, the processor knows the appraisal came in low, and the disclosure desk learns both on Friday.

Today, without Callvu

A TRID loan passes through three teams: origination, processing and the disclosure desk. The clocks belong to the whole loan, but the facts that start them are known to one team at a time. The handoff is an email or a status change, and the clock starts, in practice, when the next team reads it.

TRID's deadlines are measured from the day the lender received the information, whichever team received it. A change the processor learns of on Tuesday and the disclosure desk learns of on Friday is a revised Loan Estimate that is late by three days. The examiner reads the file's dates, not the teams' inboxes.

The handoff needs to carry the clocks, and every team needs to record what it learns, where the others can see it, on the day.

How it runs

From the requestto the system of record.

The completeness check writes a pass to the LOS. Callvu hands the file to Processing with the loan's clock record and assigns it.

Loan officer
Hands off on the pass and records what they learn later (a lock, a borrower request) on the day.
Processor
Works the assigned file and records every change the day it is known.
Disclosure desk
Receives every change event with its deadline and issues the revised disclosures.
Callvu
Hands off on record, carries the clocks, assigns, watches every change and routes it to the desk with its deadline.
  1. Classify and assign

On the pass, the file is classified by program, complexity and due dates (the closing date, the lock expiry, the open disclosure clocks) into a unit of work with a skill and a due date, and assigned to a processor by the lender's rules. The handoff record carries the application date, the Loan Estimate delivery and receipt, every change event so far, and the open conditions.

  2. Chase and verify across teams

Conditions and documents are chased from the parties as in the document collection process. Every fact a team learns that could be a changed circumstance (a value, a fee, a program change, a borrower request, a lock) is recorded on the file the day it is known, by the team that knows it, through the process.

  3. Keep the clocks

Each recorded change goes to the changed-circumstance process, which classifies it and starts the three-business-day clock from the recorded date; the disclosure desk sees the deadline in its queue; the processor and the loan officer see the status. The Loan Estimate, the intent to proceed and the Closing Disclosure timing are visible on the one file.

  4. Write back

The handoff, the assignment, each change event, and each disclosure issued are written to the LOS, so the file's timeline is one record across the teams, and the back office report shows what is due and for whom.

Where it ends: The loan moved from origination to processing with its clocks, every team recorded what it learned on the day, and the disclosure desk met every deadline from the recorded dates, on one file the examiner can read. The Decision Trace shows the assignment and each clock; the Audit Trace shows every team's entries and dates.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The pass from the completeness gate; the teams meet the process in their queues and the one file.

The back office

Processing receives an assigned file with its clocks; the disclosure desk receives every change with its deadline; the manager sees what is due and for whom.

The Decision Desk

  • A change that is ambiguous or at risk goes to the disclosure desk in the Decision Desk as in the changed-circumstance process; an assignment exception (a skill not available, a due date that cannot be met) goes to the processing manager.

Questions

What buyers ask next,answered plainly.

What does the handoff carry?

The application date, the Loan Estimate delivery and receipt, every change event so far with its deadline, and the open conditions, on the one file in the LOS.

How are changes kept on the clock across teams?

Every team records a change the day it is known, through the process, and the disclosure desk receives it with the three-business-day deadline from that date.

How are files assigned?

By work type, skill and due date from the lender's rules, so the back office sees the week from the handoff.
