Completeness check before Processing
How do we stop an incomplete mortgage file from moving to Processing, with documents checked by type and a pass written to the LOS?
Put a gate in front of Processing that reads the file. When the loan officer or loan assistant submits, Callvu checks the required fields and the required document types for the program, matched by document type in the LOS and not by filename, tracks the TRID clocks on the file, writes a pass to the LOS that lets the file move, or sends the submitter a list of exactly what is missing and keeps the file out of Processing until it passes. The problem today
Processing receives the file, discovers the missing items, and the loan officer hears about it a day later by email.
The loan officer submits the file when it feels complete. Processing opens it, builds a needs list, and emails it. The file sits in Processing's queue while the loan officer chases the borrower. A document called 'paystub.pdf' is the wrong month; the LOS shows it as present because it has a filename.
For a TRID loan the clocks run regardless: the Loan Estimate from the application date, the revised estimate from each change. A file that bounces between origination and Processing on email is where those deadlines are missed.
The required items are known from the program. Checking them on submission, by document type, is a rule, not a review.
How it runs
From the requestto the system of record.
The loan officer or loan assistant submits the file to Processing in the LOS. Callvu picks it up at submission, before Processing sees it.
- Loan officer
- Submits and, on a fail, resolves the listed items.
- Loan assistant
- Prepares the file and resubmits with the missing items.
- Processor
- Receives only files that carry a pass.
- Callvu
- Checks fields and document types, tracks the clocks, writes the pass or the fail list, holds the file.
Classify the program
The loan's program and purpose set the required-field list and the required document types (the application, the credit authorization, income and asset documents by type, the purchase contract, the identification, the disclosures delivered) from the lender's checklist for that program.
Chase and verify by type
Each required field in the LOS is checked for a value; each required document is checked by its document type in the LOS, not by filename, and a document filed under the wrong type does not count. The TRID clocks (the Loan Estimate from the application date and any revised estimate from a change) are tracked on the file so an incomplete file is also a timed one.
Decide: pass or fail
A file with every field and type present gets a pass written to the LOS and moves to Processing. A fail stays out of Processing, and the submitter receives the list of exactly what is missing with the type each item must be filed under. Nothing is remembered from a prior attempt; the file passes on its own evidence.
Write back
The pass is written to the file in the LOS as the gate's release; every check result, pass and fail, is in the Audit Trace, so the history of what the gate caught is kept.
Where it ends: Processing receives files that passed, with the pass written to the LOS, and every submission's check results are on the record with the clocks tracked throughout. The Decision Trace shows the program rules and each check; the Audit Trace shows every submission and result.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The submission in the LOS; nothing changes for the loan officer except that the fail list is precise.
The back office
Processing only ever receives files with a pass. The email loop is gone.
The Decision Desk
- There is no Decision Desk step: the gate is deterministic. A lender that wants an exception path (a processor accepting a file with a listed item outstanding) adds it as a Decision Desk step with a named approver, and it shows in the Audit Trace.

Questions
What buyers ask next,answered plainly.
Why by document type and not filename?
Because a filename proves nothing. The LOS has a document type for every required item, and the check confirms a document is filed under it. That is what the investor's reviewer checks too.
Can the loan officer push a file through?
No. The file moves to Processing only when Callvu writes a pass. An exception path, if the lender wants one, is a Decision Desk step with a named approver.
What does the loan officer get on a fail?
The exact list of missing fields and document types, with the type each must be filed under, the moment they submit.
