Initial disclosure package
How do we assemble and send the full initial disclosure package from the LOS and chase every acknowledgment until the package is complete?
Build the package from the loan, send it once, and chase by item. Callvu assembles the initial disclosures the loan requires from the LOS (the Loan Estimate, the written list of providers, the homeownership counseling list, the servicing disclosure, the affiliated business disclosure, the appraisal notice, the credit score disclosure, the state disclosures and the lender's own), delivers them by the consented method inside each item's deadline, tracks each acknowledgment separately, reminds the borrower for the ones outstanding, and writes the package and each acknowledgment to the LOS.

The problem today
The package went out on day three, the borrower signed four of nine documents, and the file shows 'disclosures sent'.
The disclosure desk assembles a package from templates, sends it through the e-signature tool, and marks the file. The borrower signs what the tool shows first and stops. Weeks later the processor finds the servicing disclosure unsigned and the counseling list missing, and the state disclosure for the property's state was never in the package.
Each initial disclosure has its own source, its own deadline and its own acknowledgment rule: the Loan Estimate within three business days, the homeownership counseling list within three business days, the servicing disclosure within three business days, the appraisal notice within three business days, the affiliated business disclosure at referral, the state's own on its schedule. 'Sent' is not 'delivered and acknowledged'.
The package is derived from the loan. Assembling it by hand is where items are missed; tracking it as one object is where acknowledgments are lost.
How it runs
From the requestto the system of record.
The application date is recorded. Callvu derives the initial disclosure package for the loan and opens a case with each item's deadline.
- Borrower
- Receives each disclosure by the consented method and acknowledges each one, on their own device; each co-borrower does the same.
- Disclosure desk
- Reviews the package where the policy requires and sees each item's status.
- Callvu
- Derives, assembles, delivers, tracks each acknowledgment, chases and writes to the LOS.
Prefill and derive the package
The loan type, program, property state, lien position, the referral of affiliated businesses and the lender's policy derive the list: the Loan Estimate, the written list of providers, the homeownership counseling organizations list, the servicing disclosure statement, the affiliated business arrangement disclosure, the notice of the right to receive the appraisal, the credit score disclosure, the state-specific disclosures, and the lender's own. Each is prefilled from the LOS.
Deliver inside each deadline
The items are delivered by the method each borrower consented to, inside each item's deadline (most within three business days of the application), with the delivery time recorded per item and the receipt rule applied.
Chase and verify each acknowledgment
Each item that requires an acknowledgment is tracked separately per borrower; reminders go out for the items outstanding, and the desk sees the package's status item by item, not as 'sent'.
Write back
Each disclosure, its delivery time, its receipt and its acknowledgment are written to the LOS under its document type, and the package is complete only when every required item is delivered and, where required, acknowledged.
Where it ends: Every initial disclosure the loan required was delivered inside its deadline and acknowledged where required, by each borrower, and the LOS holds each item with its times. The Decision Trace shows the derived package and each deadline; the Audit Trace shows every delivery, reminder and acknowledgment.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The application date; the borrower meets the package in the consented channel, one item at a time.
The back office
The disclosure desk sees item-level status and reviews only what the policy reserves.
The Decision Desk
- A package item the derivation cannot resolve (an unusual program, a state requirement under review) goes to the disclosure desk in the Decision Desk with the deadline and only approve or correct.

Questions
What buyers ask next,answered plainly.
What is in the package?
What the loan requires: the Loan Estimate, the provider list, the counseling list, the servicing disclosure, the affiliated business disclosure, the appraisal notice, the credit score disclosure, the state's disclosures and the lender's own, derived from the loan and the property's state.
How are acknowledgments tracked?
Per item and per borrower, with reminders for the outstanding ones; the package is complete only when every required acknowledgment is in.
Do all items share one deadline?
No. Each has its own, mostly three business days from the application, and the process delivers inside each.
