Workers compensation and general liability premium audit
How do we run the premium audit after a workers compensation or general liability term, get the payroll and sales records from the insured, and write the final premium to billing without a dispute?
Make the audit a document request the insured can answer in one sitting. Callvu opens the audit at expiration from the policy's exposures and class codes, classifies the audit type the rules allow (self-reported, phone, physical) by premium size and class, sends the insured a list of the records the audit needs (payroll by employee and class, overtime, tax filings, subcontractor certificates, sales by location) through a link with the deadline, reads the records and reconciles them to the estimated exposures, routes a variance above the threshold or a reclassification to the auditor in the Decision Desk, and writes the final premium with the audit worksheet to billing and the bureau.

The problem today
The audit letter asked for 'all payroll records', the insured sent a bank statement, and the carrier estimated the premium at twice the deposit.
The policy expires and an audit letter goes out. It asks for records in auditor's language. The insured, a contractor, does not know what a quarterly tax filing has to do with insurance and ignores it. After two letters the carrier bills an estimated audit premium under the policy's non-compliance provision; the insured disputes it, the agent gets involved, and the audit is finally done nine months later on records that were available on day one.
Premium audit is written into the policy and the manuals: the carrier's right to audit, the records the insured must keep and produce, the definition of remuneration by class, the treatment of overtime, officers and subcontractors with and without certificates, the time limit for the audit, and the estimated premium and penalties for non-compliance in states that allow them. The insured's accountant or payroll provider can produce every record on the list if the list is specific.
An audit that asks for the right records once is an audit that closes.
How it runs
From the requestto the system of record.
A workers compensation or general liability policy expires or is cancelled. Callvu opens the audit from the policy's estimated exposures.
- Insured
- Provides the payroll, sales and subcontractor records through a link, with help from their accountant or payroll provider.
- Premium auditor
- Reviews variances and reclassifications and decides in the Decision Desk; conducts the physical audit where required.
- Callvu
- Classifies the audit, lists and chases the records, reconciles, routes and writes the final premium.
Classify the audit
The policy's premium size, the classes, the state and the carrier's rules classify the audit type (self-reported with records, phone audit, physical audit) and set the record list: payroll by employee with class and location, overtime and the state's overtime rule, officer and owner payroll with the limits and elections, the quarterly tax filings for the term, subcontractor payments with certificates of insurance, and sales or receipts by location for general liability.
Chase and verify the records
The insured receives the list in plain words with examples and a link to upload each record, with the deadline and the consequence stated; the records are read on arrival (the tax filings, the payroll registers, the certificates), checked for the term and the entity, and what is missing or inconsistent is requested with the specific item; a payroll provider or accountant can be given the link directly.
Reconcile and decide
The audited payroll by class and the sales are reconciled to the tax filings and to the policy's estimates; class assignments are checked against the operations and the manual's rules; uninsured subcontractor payments are added as the rules require; a variance above the threshold, a reclassification, a disputed class or a non-responsive insured goes to the auditor in the Decision Desk with the records and only accept the audit, adjust with the stated basis, schedule a physical audit, or bill an estimated premium under the policy's provision.
Write back
The final premium with the audit worksheet (the audited exposures by class, the rates, the adjustments) is written to billing as the system of record and to the bureau's unit statistical report, the additional or return premium is billed or refunded, and the insured receives the worksheet with the right to dispute under the state's rules.
Where it ends: The audit closed on the insured's own records, requested once in plain words, reconciled to the tax filings, decided by the auditor only where it needed judgment, and billed from a worksheet the insured can read. The Decision Trace shows the classification, the reconciliation and the decision; the Audit Trace shows the requests, the records and the write to billing.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The insured's phone or their accountant's screen, from a link with the plain-word list.
The back office
Auditors decide variances and reclassifications from reconciled records; physical audits are scheduled by rule, not by default.
The Decision Desk
- A variance above the threshold, a reclassification, a disputed class or a non-responsive insured goes to the premium auditor in the Decision Desk with the records and only accept, adjust with the stated basis, schedule a physical audit, or bill an estimated premium under the policy's provision.

Questions
What buyers ask next,answered plainly.
What records does the audit ask for?
Payroll by employee with class and location, overtime, officer payroll, the quarterly tax filings for the term, subcontractor payments with certificates, and sales by location for general liability, listed in plain words with a link the accountant can use.
What if the insured does not respond?
Reminders go out with the deadline and the consequence; a non-responsive insured goes to the auditor in the Decision Desk, who may schedule a physical audit or bill an estimated premium under the policy's provision.
How is the final premium delivered?
Written to billing with the audit worksheet showing the audited exposures by class and the rates, with the insured's right to dispute under the state's rules.
