Commercial renewal underwriting

How do we start commercial renewals early enough, get the updated exposures, loss runs and schedules from the broker, and issue renewal terms or the non-renewal notice on the state's clock?

Open every renewal on a calendar tied to the state's notice period and the expiration. Callvu prefills the renewal from the expiring policy (the exposures, the schedules, the loss history, the rating), classifies what must be updated by line and class, chases the broker for the updated exposures, loss runs and schedules through a link with the dates in view, reads and compares each update to the expiring values, rates the renewal with the changes, routes a renewal outside authority or with a changed risk to the underwriter in the Decision Desk, and writes the renewal terms, a conditional renewal or the non-renewal notice to the policy system inside the state's period.

The problem today

The renewal was quoted on last year's payroll because the broker's update arrived the day before expiration.

Today, without Callvu

Renewals are worked from a list sorted by expiration. The underwriter emails the broker for updates; the broker is busy with new business; the updates arrive late or not at all; the renewal is issued on expiring values; a non-renewal that should have gone out sixty days early goes out at forty and the policy has to be extended. The carrier renews risks it would not have written and loses the ones it wanted.

A commercial renewal has a calendar set by law: the state's notice period for non-renewal or for a conditional renewal with a material change in terms or a premium increase above a threshold, counted back from expiration. Inside that calendar the carrier needs updated exposures, current loss runs, revised schedules and anything the class requires, compared to the expiring policy so the changes stand out. The broker will respond to a specific request with a date.

A renewal is a submission with a known deadline and a known starting point.

How it runs

From the requestto the system of record.

A policy enters the renewal window the carrier sets (counted back from expiration past the state's notice period). Callvu opens the renewal from the expiring policy.

Broker
Provides the updated exposures, loss runs and schedules through a link with the dates visible, and places the renewal.
Underwriter
Decides renewals outside authority or with changed risk in the Decision Desk.
Callvu
Prefills from the expiring policy, classifies the updates needed, chases the broker, compares, rates, routes and writes.
  1. Prefill and classify

The renewal is prefilled from the expiring policy: the named insured and locations, the exposures (payroll, sales, vehicles, values), the schedules, the loss history on the carrier's own claims system, the forms and the rating; the line and the class classify what must be updated (exposures by line, loss runs for other carriers, a new schedule of values, a supplemental for the class) and the state sets the notice dates.

  2. Chase and verify the updates

The broker receives the list of updates with the dates through a link; each update is read on arrival and compared with the expiring value (a payroll change above a threshold, a new location, a loss that changes the loss ratio, a change in operations), and discrepancies or missing items are returned with the specific question.

  3. Rate and decide

The renewal is rated with the updated exposures and the filed rates; a renewal within authority with no material change is released by rule; a renewal with a changed risk, a loss ratio above the threshold, a premium change above the state's conditional renewal threshold, or outside authority goes to the underwriter in the Decision Desk with the comparison and only renew as rated, renew with changed terms (a conditional renewal), or non-renew with the reasons.

  4. Write back on the clock

The renewal terms, the conditional renewal notice with the changes, or the non-renewal notice with the reasons is written to the policy system as the system of record and delivered to the insured and the broker inside the state's period, and the broker places the renewal from the terms.

Where it ends: Every renewal was decided on updated, compared exposures and losses, and its terms or notice reached the insured inside the state's period, with the policy system holding the record. The Decision Trace shows the comparison and the decision; the Audit Trace shows the requests to the broker, the updates and the notice dates.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The broker through a link with the update list and the dates; the insured receives the terms or the notice.

The back office

Underwriters decide only renewals with changed risk or outside authority, with the comparison done; policy admin issues from the decision.

The Decision Desk

  • A renewal with a changed risk, a loss ratio above threshold, a premium change above the state's conditional renewal threshold or outside authority goes to the underwriter in the Decision Desk with the comparison and only renew as rated, renew with changed terms, or non-renew with the reasons.

Questions

What buyers ask next,answered plainly.

When does the renewal start?

On a calendar counted back from expiration past the state's notice period for non-renewal or conditional renewal, so the decision and the notice are never late.

What does the broker provide?

The updated exposures, current loss runs and revised schedules the line and class require, through a link with the dates, each compared with the expiring value on arrival.

When is a conditional renewal notice needed?

When the renewal carries a material change in terms, a coverage reduction or a premium increase above the state's threshold, delivered the state's number of days before expiration.
