Commercial lines submission intake
How do we turn a broker's commercial submission, sent by email or portal, into a complete file with the applications, loss runs, schedules and financials in place and routed to the right underwriter?
Treat the submission as a case that is complete only when every document the line needs is in and checked. Callvu takes the submission from the broker's email or the portal, classifies the lines, the class of business and the size, lists the documents the carrier's appetite and the line require, chases the broker for each missing or stale item with a deadline, reads the applications, loss runs and schedules on arrival and checks them against each other, and routes the complete submission to the underwriter with the right authority and appetite, with the triage written to the underwriting system.

The problem today
The underwriter opened the email on day nine and found loss runs for the wrong years and a schedule of values with no addresses.
A broker sends a submission: a cover email, an ACORD application, a few attachments, a promise that the loss runs will follow. It lands in a shared mailbox. Someone triages it when they can; it goes to an underwriter whose authority does not cover the class; the underwriter asks the broker for the missing pieces one at a time. By the time the file is complete, the broker has bound with another market.
A commercial submission is a defined set of documents: the ACORD applications for each line, currently valued loss runs for the carrier's required number of years, a schedule of values or vehicles or payroll by class, financial statements above a size, supplemental applications for the class, and the broker's cover with the target premium and the expiration date. The carrier's appetite and authority rules decide who can quote it. Each is a check the mailbox cannot run.
Speed to a complete file is the whole competition in commercial lines.
How it runs
From the requestto the system of record.
A broker sends a submission by email, through the broker portal or through an AI agent. Callvu opens the submission case and reads what came in.
- Broker
- Sends the submission and provides the missing documents through a link with the deadline visible.
- Submission desk
- Resolves classification questions the rules cannot settle.
- Underwriter
- Receives the complete submission and quotes or declines.
- Callvu
- Classifies, lists the requirements, chases the broker, reads and checks, routes and writes.
Classify the submission
The email or portal entry is read: the insured, the lines requested, the class of business, the state, the expiration date, the target premium and the broker; the carrier's appetite rules classify it as in appetite, referral or decline, and the authority rules identify the underwriter or team; a clearance check against existing submissions for the same insured is run.
List and chase the requirements
The lines and the class set the document list: the ACORD applications for each line, loss runs currently valued within the carrier's window for the required years, the schedule of values with addresses and construction, the vehicle schedule or the payroll by class code, financial statements above the size threshold, and the class supplementals; each missing or stale item is requested from the broker through a link with the deadline tied to the expiration date, and reminders go out until it arrives.
Chase and verify the documents
Each document is read on arrival and checked against the others: the loss runs cover the years and are valued within the window, the schedule totals match the application, the named insured and the locations match across documents, the signatures and dates are present; a discrepancy is sent back to the broker with the specific item.
Decide and write back
A submission that is complete and in appetite is routed by rule to the underwriter with the authority; a submission the rules cannot classify, or one in referral appetite, goes to the submission desk in the Decision Desk to decide the routing or the decline; the triaged submission with its documents and the clearance result is written to the underwriting system as the system of record, and the broker sees the status.
Where it ends: The underwriter opens a complete, checked submission on the day it is complete, from a broker who was asked once per item with a deadline, and the underwriting system holds the file and the triage. The Decision Trace shows the classification and the routing; the Audit Trace shows every request, document and check.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The broker's email, the portal or an AI agent; the broker provides documents through a link with the deadline in view.
The back office
Underwriters receive complete submissions in their authority; the submission desk sees only what the rules could not route.
The Decision Desk
- A submission in referral appetite or one the rules cannot classify goes to the submission desk in the Decision Desk with the file and only route to a named underwriter, request more from the broker, or decline with the reason.
