Ownership change and collateral assignment
How do we record an ownership change or a collateral assignment on a life policy when the signed documents have to come from the current owner, the new owner, a lender or an attorney?
Run the transfer as one case with a signature link for each party. Callvu classifies the transaction (an absolute assignment to a new owner, a collateral assignment to a lender, a transfer to a trust, a release of an assignment), lists the documents and signatures each party must provide under the contract and the state's code, chases each party through their own link with identity verification and the disclosures, checks the documents (the owner's signature against the record, the trust's certification, the lender's legal name, the spousal consent where community property law requires it), routes the recording decision to the policy service analyst in the Decision Desk, and records the assignment in the policy system with the acknowledgment sent to every party.

The problem today
The assignment form came back signed by the new owner only, and the lender's lien was recorded against the wrong policy.
A policy owner assigns a policy to a bank as collateral for a business loan. The bank sends its form; the owner signs and mails it; the insurer records it. Later a second form arrives for a transfer to a trust, signed by the trustee but not by the owner. Nobody checks the trust certification, the spouse's consent in a community property state, or whether the bank's lien has to be released first. The claim, years later, has three claimants.
Ownership and assignment changes are governed by the policy's contract terms (the insurer is bound only by assignments it records), the state insurance code's provisions on assignments and insurable interest, trust law for a trustee's authority, community property law for a spouse's consent, and the insurer's own policy on what it will accept (an original or a certified copy, a notarization, the form's version). The parties are several and their signatures are each a condition.
A case with a link for each party is the only way to collect what each must give.
How it runs
From the requestto the system of record.
A request to change the owner or to assign or release the policy arrives from the owner, a lender, an attorney or an agent. Callvu opens the case on the policy.
- Current owner
- Signs the assignment or transfer with identity verification and reads the disclosures.
- New owner or trustee
- Accepts the ownership, provides the trust certification or identity documents, signs.
- Lender
- Provides its legal name, the loan reference and the assignment form, and signs a release when the loan is repaid.
- Service team
- The policy service analyst decides the recording in the Decision Desk.
- Callvu
- Classifies, lists requirements, chases each party, checks, routes and records.
Classify the transaction
The type (absolute assignment, collateral assignment, transfer to a trust, change to a business owner, release of assignment) and the policy's state and status classify the requirements: the form, the signatures (the current owner, any joint owner, the new owner's acceptance, the assignee), the consents (an irrevocable beneficiary, a prior assignee, a spouse under community property law), the identity documents, the trust certification or corporate authority, the insurable interest check for a transfer to an unrelated party, and the tax reporting consequences.
Chase and verify
Each party receives their own link with identity verification; the disclosures are read (the loss of control of the policy, the assignee's rights to the cash value and the death benefit, the tax effects of a transfer for value); each document and signature is checked on arrival against the policy record and the requirements; what is missing is requested from the party who owes it.
Decide
The policy service analyst decides the recording in the Decision Desk with the checked documents and only the allowed outcomes: record, record with a condition (a prior lien's release first), or return with the specific defect; a transfer that raises an insurable interest or a stranger-originated concern is routed to compliance.
Write back
The assignment, the new owner or the release is recorded in the policy system with the effective date and the documents attached, the acknowledgment is sent to every party (the insurer's acknowledgment of a collateral assignment is what the lender needs), and the beneficiary and premium notice records are updated as the transaction requires.
Where it ends: Every party signed what the contract and the law required on their own verified link, the documents were checked against the policy, the recording was decided with reasons, and the policy system holds the transaction with acknowledgments sent. The Decision Trace shows the requirements, the checks and the decision; the Audit Trace shows each party's signature and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any party's request; each party meets the process in their own link.
The back office
The analyst decides from checked documents; compliance sees only flagged transfers.
The Decision Desk
- The checked case goes to the policy service analyst in the Decision Desk with only record, record with a condition, or return with the defect; an insurable interest concern goes to compliance.
