Beneficiary changes

How do we take a beneficiary change by phone, web or agent with identity verified, the disclosures delivered and the policyholder's signature captured before anything changes in policy administration?

Make the change a signed instruction from a verified owner. Callvu identifies the policy owner with the step-up verification a beneficiary change warrants, prefills the policy and the current designations, checks who may change them (the owner, not the insured; an irrevocable beneficiary's consent; a community property spouse's consent where the state requires; an assignee's rights), takes the new designations with full names, relationships, dates of birth and shares that total, delivers the disclosures, captures the owner's signature (and the consents required) on their own phone, routes an exception to the service desk in the Decision Desk, and writes the change to policy administration with who verified, who signed and when. The problem today

The beneficiary change form arrived by mail with a signature that did not match, the week before the insured died.

Today, without Callvu

Beneficiary changes are small transactions with large consequences. A caller who is the insured but not the owner asks to change it; a form is mailed, returned with a share that totals wrong, filed without checking an irrevocable beneficiary's consent; the death claim becomes an interpleader. The insurer's file shows a change, not who made it or whether they could.

The right to change a beneficiary belongs to the policy owner under the state's insurance code and the contract; an irrevocable beneficiary and, in community property states, a spouse may have to consent; an assignee's rights come first; the designation must be unambiguous (names, relationships, dates of birth, shares, contingents, a trust's details) because ambiguity is litigated. The data security law requires authentication proportional to the risk, and the change needs a signature the insurer can prove.

A verified, signed, complete designation is the only kind worth writing.

How it runs

From the requestto the system of record.

A policy owner requests a beneficiary change by phone, on the web, in the app or through an agent. Callvu identifies them and opens the change.

Policy owner
Verifies identity, enters the designations, reads the disclosures and signs on their own phone.
Irrevocable beneficiary or spouse
Consents on their own phone where the rules require.
Agent or service desk
Sends the link on a call, sees status, and decides exceptions in the Decision Desk.
Callvu
Verifies, prefills, checks the right to change, validates the designations, delivers disclosures, captures signatures and consents, routes and writes.
  1. Verify and prefill

The requester is verified as the policy owner with step-up verification (a one-time code to the contact on file plus a knowledge or document check as the rules set), and the policy, the owner, the insured, the current primary and contingent beneficiaries, any irrevocable designation, any assignment and the state are prefilled.

  2. Chase and verify the right to change and the designations

The right to change is checked by rule (owner only; an irrevocable beneficiary's consent; a spouse's consent in a community property state for a policy with community funds; an assignee's priority); the new designations are entered with full names, relationships, dates of birth, contact details and shares that must total, with contingents, and a trust's name, date and trustee where named; the consents required are requested from the other parties on their own phones through a link.

  3. Disclose, sign and decide

The disclosures (the effect on an existing designation, the tax or estate notes the insurer provides, the revocability) are delivered and acknowledged, and the owner signs on their own phone with the signature evidence retained; a designation the rules flag (a minor without a trustee or custodian, an estate as beneficiary with a note, a share that cannot be resolved, a missing consent, a verification that failed) goes to the service desk in the Decision Desk with the record and only the allowed outcomes.

  4. Write back

The change is written to policy administration with the effective date, the new designations, who verified the owner and how, who signed and when, and the consents, and the confirmation goes to the owner at the contact on file (and the prior contact where it changed), with the signed designation retained as the document of record.

Where it ends: The beneficiary change was made by a verified owner with the right to make it, in a complete and unambiguous designation, signed and consented as the rules require, and written to policy administration, the system of record, with the evidence a claim will need. The Decision Trace shows the verification, the right-to-change checks and any decision; the Audit Trace shows the signatures, the consents and the write.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

Phone, web, app or an agent; the owner and any consenting party act on their own phones.

The back office

The service desk decides only flagged designations and failed verifications; policy administration is written with the evidence.

The Decision Desk

  • A minor without a trustee, an unresolved share, a missing consent or a failed verification goes to the service desk in the Decision Desk with the record and only the allowed outcomes.

Questions

What buyers ask next,answered plainly.

Who can change the beneficiary?

The policy owner, verified with step-up authentication; the insured, if different, cannot. An irrevocable beneficiary or a community property spouse must consent where the rules require.

What makes a designation complete?

Full names, relationships, dates of birth and contact details, shares that total, contingent beneficiaries, and a trust's name, date and trustee where a trust is named; the process will not accept a signature until it is.

What does the record show?

The signed designation, who verified the owner and how, who signed and when, and the consents, which is what a death claim will need.
