Name change on a policy
How do we change a policyholder's name on a policy from any channel, verify identity and the supporting document, and update the policy system once?
Make the name change a verified document request. Callvu verifies the policyholder, prefills the policies the person holds, takes the new name and the reason (marriage, divorce, a court order, a correction), lists the supporting document the reason requires, collects it through a link, reads and checks it (the names on the document against the record and the request, the issuing authority, the date), routes a document that does not match to the service analyst in the Decision Desk, and writes the new name to the policy system across every policy the person holds with the revised documents issued and the identity record updated.

The problem today
The name was changed on the auto policy and not on the home policy, and the claim check came back in the wrong name.
A policyholder marries and calls to change their name. The agent updates the policy on the screen in front of them. The second policy, the billing account and the identity record keep the old name. Months later a claim check is issued to a name the bank will not accept, and the policyholder sends the marriage certificate for the third time.
A name change is an identity event. The insurer's know-your-customer and anti-fraud policy requires a document for the reason (a marriage certificate, a divorce decree, a court order, a government identity document for a correction), and privacy law requires the person asking to be the person on the policy. The change must reach every record that carries the name, and the revised documents must issue.
Asked once, checked once, written everywhere.
How it runs
From the requestto the system of record.
A policyholder requests a name change in any channel. Callvu verifies the person and opens the change on their relationship.
- Policyholder
- Requests the change, uploads the supporting document and receives the revised documents.
- Service analyst
- Decides mismatches in the Decision Desk.
- Callvu
- Verifies, lists the document, chases, checks, routes and writes across the policies.
Verify and list the document
The person's identity is verified against the policy record; the new name and the reason are captured; the reason sets the supporting document (a marriage certificate, a divorce decree or court order restoring a name, a government identity document showing the corrected or legally changed name) and the policies, the billing account and the identity record that carry the name are listed.
Chase and verify
The document is uploaded through a link, read and checked: the prior name matches the record, the new name matches the request, the issuing authority and date are present, and the document is a type the policy accepts; a document that does not pass is returned with the specific reason and a reminder follows on the schedule.
Decide exceptions
A passing document applies by rule; a mismatch (a name that differs from both the record and the request, a document from an authority the policy does not accept, a change that affects an insured other than the requester) goes to the service analyst in the Decision Desk with the document and only the allowed outcomes.
Write back
The new name is written to the policy system on every policy the person holds, to the billing system and the identity record, the revised declarations and identity cards are issued, and the request with the document and the checks is kept on the relationship.
Where it ends: The person's name was changed once on a checked document and written to every record that carries it, with the revised documents issued. The Decision Trace shows the document check and any decision; the Audit Trace shows the request, the upload and the writes. The Callvu moves in this process are chase and verify and write back.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel; the policyholder uploads the document through a secure link.
The back office
The analyst sees only mismatches; the writes happen from the check.
The Decision Desk
- A document that does not match the record and the request, or a change affecting another insured, goes to the service analyst in the Decision Desk with the document and only apply, return with the reason, or hold.

Questions
What buyers ask next,answered plainly.
What document is needed?
The one the reason requires: a marriage certificate, a divorce decree or court order, or a government identity document for a legal change or a correction, uploaded through a secure link and checked.
Does the change reach every policy?
Yes; the new name is written to every policy the person holds, the billing account and the identity record in one write, with the revised documents issued.
Why not change it on the phone?
A name change without a document is an account takeover risk; the document and the identity verification are the controls, and the regulator and the lender expect them.
