Property manager unit move-in and move-out

How do we let a property manager report tenant move-ins and move-outs for many units so each is processed with the right billing party and written to CIS?

Give the property manager one authorized channel and process each unit by rule. Callvu verifies the property manager's authority for the properties (the management agreement or the landlord's authorization) and prefills the properties, the units, their service points, the current accounts and the continuous service flags, takes the move-ins and move-outs (one at a time or as a list) with the dates and the tenant's details where the manager is authorized to provide them, classifies each unit event (a move-out to the landlord's account under a continuous service agreement, a move-out to a disconnect, a move-in by a tenant who must open their own account, a move-in on the landlord's account), chases the tenant for their own application and identity where the rules require the tenant to be the account holder, routes a unit with a balance, a disputed date or a missing authorization to the service desk in the Decision Desk, and writes each event with the right billing party and date to CIS and the billing system with the confirmation to the manager and the tenant.

The problem today

The manager's spreadsheet moved forty tenants out on the first of the month; twelve had not left, and the utility billed the landlord for the lot.

Today, without Callvu

Property managers handle turnover in volume, and the utility handles it one call at a time. A manager emails a list; a representative keys each unit; a tenant who stayed is cut off; a tenant who moved in is never set up and uses service on the landlord's account for months; the landlord disputes the bill. Authority is unclear: can the manager open an account in a tenant's name, or stop a tenant's service?

The tariff's rules on the account holder, the landlord agreements, the notice before a disconnection and the identity verification of a new account holder decide what a manager may do and what the tenant must do themselves. The manager's events are a feed of unit changes; each unit's handling depends on its agreement and its occupant; the tenant's own application is a chase. The portal is the authorized channel, and the classification is the work.

A unit event classified by its agreement and its occupant is one billed to the right party.

How it runs

From the requestto the system of record.

A property manager submits move-ins and move-outs through the property manager portal, a list upload or a call. Callvu verifies their authority and opens the events.

Property manager
Submits the unit events with dates and the tenant's details where authorized, and sees each unit's status.
Tenant
Completes their own application and identity verification where the rules make them the account holder.
Service desk
Decides balances, disputed dates and authorization gaps in the Decision Desk.
Callvu
Verifies authority, prefills, classifies each event, chases tenants, routes and writes.
  1. Verify authority and prefill

The manager's authority for each property is verified (the management agreement, the landlord's authorization, the portal's registered properties); the properties, the units, their service points, the current accounts and holders, the continuous service flags and any balances are prefilled, so the manager sees each unit's state before submitting.

  2. Take and classify the events

The move-ins and move-outs are captured with the unit, the date and the occupant's details where the manager is authorized; each is classified: a move-out on a unit with a continuous service agreement (transfer to the landlord's account by rule), a move-out on a unit without one (the tenant's stop under the tariff's notice and the final bill, or a disconnect on the date), a move-in by a tenant who must hold the account (the tenant's own application and identity verification chased through a link), a move-in on the landlord's account where the lease includes utilities.

  3. Chase and verify, and decide

Tenants who must hold the account are chased for their own application and identity verification on the move-in date clock, with the manager seeing the status; a unit with a balance on the outgoing account, a date the current holder disputes, a move-out the manager is not authorized to make for a tenant who is the holder, or a unit with a protected status goes to the service desk in the Decision Desk with the record and only the allowed outcomes (process, process on the landlord's account, hold for the holder's confirmation, or decline with the reason).

  4. Write back

Each event is written to CIS and the billing system with the right billing party, the date, the meter read and the final or opening bill, the manager receives the confirmation per unit with what is pending on a tenant, and the tenant receives their own confirmation where they hold the account.

Where it ends: Every unit event was processed under its agreement and its occupant's rights, the tenants who must hold accounts applied themselves, the exceptions were decided, and CIS and the billing system bill the right party for every unit. The Decision Trace shows the authority, each unit's classification and any decision; the Audit Trace shows the submission, the tenant chases and the writes with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The property manager portal or a list upload; the tenant on their own phone for their application.

The back office

The service desk decides only exceptions; CIS is written per unit by the process.

The Decision Desk

  • A unit with a balance, a disputed date, a move-out the manager cannot make for a tenant of record, or a protected status goes to the service desk in the Decision Desk with the record and only process, process on the landlord's account, hold for confirmation, or decline.

Questions

What buyers ask next,answered plainly.

What can the property manager do?

Report move-ins and move-outs for the properties they are verified for, within what the rules allow an agent to do; a tenant who must hold the account applies and verifies themselves.

What happens on a move-out?

On a unit with a continuous service agreement, service transfers to the landlord's account by rule; otherwise the tenant's stop and final bill run under the tariff's notice, with occupant protections applied.

How does the tenant get set up?

They receive a link to their own application and identity verification on the move-in date clock, and the manager sees the status without the tenant's data.
