Multi-site and summary billing enrollment
How do we enroll a business with many sites in summary billing with each account verified and linked, so one bill covers them all correctly?
Verify every account before it joins the summary. Callvu identifies the business and its authorized signer, prefills the accounts the utility already associates with the entity, takes the enrollment (the sites and accounts to include by account number and address, the summary bill's structure, the payment terms, the contacts for the summary and for each site), chases proof of the business's responsibility for each account it does not already hold (the lease, the ownership, the account holder's authorization), verifies each account's status and balance, routes an account with a different holder, a disputed balance or a credit question to the business services desk in the Decision Desk, and writes the summary billing group with its linked accounts, the terms and the contacts to CIS and the billing system so the next cycle produces one summary with the site detail.

The problem today
The summary bill included a store the chain had sold, and the buyer's usage was paid by the chain for a year.
A business with dozens or hundreds of locations wants one bill. The enrollment is a spreadsheet of account numbers from the customer's accounts payable team, keyed into a billing group by a business services representative. Accounts that belong to a franchisee, a sold location or a landlord end up in the group; accounts the business does hold are missed; the summary bill is disputed from the first cycle and the sites' payment histories are tangled.
Summary billing is a billing structure with a verification problem: each account linked must be the business's responsibility, its status and balance must be known, and the terms (the due date, the payment application, the detail) must be agreed. The accounts payable team's spreadsheet is a request; the verification is the control; the billing system holds the group.
A summary that covers exactly the accounts the business is responsible for is one it pays on time.
How it runs
From the requestto the system of record.
A business requests summary billing for multiple sites online, through its account manager or the business portal. Callvu identifies the business and opens the enrollment.
- Business (authorized signer and accounts payable contact)
- Lists the sites, provides proof of responsibility where needed, accepts the terms and provides the contacts on a secure screen.
- Business services desk
- Decides holder mismatches, disputed balances and credit questions in the Decision Desk.
- Callvu
- Prefills, takes the list, chases proofs, verifies each account, routes and writes.
Prefill and take the list
The entity, its verified signer and the accounts already associated with it are prefilled; the enrollment captures the sites to include (by account number and service address, uploaded as a list or selected), the summary's structure (one group or several by region or brand), the payment terms and the application of partial payments, and the contacts for the summary and for each site's notices.
Chase and verify each account
Each listed account is checked: the account holder against the entity (or its affiliates and prior names), the service address, the status (active, final, pending stop), the balance and any payment arrangement, the rate class and the deposits; an account held by another party requires proof of the business's responsibility (a lease, a deed, the holder's written authorization) chased through a link; an account not found is returned with the specifics.
Decide
Accounts that verify join by rule; an account with a different holder and no proof, a disputed balance, an account in collections, or a credit question on the group (a deposit for the combined billing) goes to the business services desk in the Decision Desk with the checks and only the allowed outcomes (link, link after the holder change through its process, exclude with the reason, or require a deposit).
Write back
The summary billing group with its linked accounts, the structure, the terms and the contacts is written to CIS and the billing system, the business receives the confirmation with the accounts included and excluded and why, the first summary cycle is set, and later additions and removals of sites run through the same verification.
Where it ends: The summary covers exactly the accounts the business is responsible for, each verified for holder, status and balance, with the terms agreed, and CIS and the billing system producing one summary with the site detail. The Decision Trace shows each account's checks and any decision; the Audit Trace shows the list, the proofs and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Online, the account manager or the business portal; the signer and the accounts payable contact act on a secure screen.
The back office
The business services desk decides only exceptions; billing produces the summary from the group.
The Decision Desk
- An account with a different holder and no proof, a disputed balance, an account in collections or a credit question goes to the business services desk in the Decision Desk with the checks and only link, link after the holder change, exclude, or require a deposit.

Questions
What buyers ask next,answered plainly.
What is checked on each account?
The holder against the entity, the service address, the status, the balance and any arrangement, the rate class and the deposits; an account held by another party needs proof of the business's responsibility.
What does the summary bill show?
One summary with each site's usage, rate, charges and period, meeting the billing rules for every account, with the agreed payment application.
How are sites added later?
Through the same verification, with the business seeing what was linked and what was excluded and why.
