Unaccompanied minor and parental consent

How do we collect the guardian details and the consent letters for a minor's booking, check them against the carrier's rules, and record them before travel?

Classify the minor's booking under the carrier's rules and collect each document from the right adult. When a booking includes a minor, Callvu prefills the booking and the minor's details, classifies the case (an unaccompanied minor under the carrier's age bands and its mandatory or optional service, a minor travelling with one parent, with a non-parent adult, or on a cruise or tour with its own rules) and the destination's requirements for minors, lists the documents (the carrier's unaccompanied minor form with the drop-off and pick-up adults, the parental consent letter from the non-travelling parent, notarized where the destination requires, the birth certificate or the custody order, the identity of the adults), collects each from the parent or guardian on a secure screen with signatures, checks them against the rules, routes an exception to the travel desk in the Decision Desk, and writes the records to the booking system before travel.

The problem today

The grandmother and the child were turned away at the border for want of a notarized letter from the parents.

Today, without Callvu

Minors travelling without both parents face two sets of rules: the carrier's unaccompanied minor service with its age bands, fees, forms and the named adults at each end, and the destinations' entry rules, which in many countries require a consent letter from the absent parent, often notarized, plus the birth certificate. Families learn these at the airport or the border; agencies mention them in passing.

The rules are a classification on the booking: the minor's age against the carrier's bands, who is travelling with them, the destinations' requirements. The documents have signers (the parents), formats (the carrier's form, a notarized letter) and deadlines (the carrier's cut-off for the service, departure for the letter). Collected from the right adults on their own phones with signatures, and checked, they are on the booking before anyone reaches the airport.

The letter the border wants is the one the process asked for a month earlier.

How it runs

From the requestto the system of record.

A booking includes a passenger under the age of majority travelling without both parents or guardians. Callvu classifies the case and opens the collection.

Parents or guardians
Provide the details, sign the forms and the consent letters on their own phones, and arrange notarization where required.
Drop-off and pick-up adults
Are named with identity details for the carrier's service.
Travel desk
Decides exceptions in the Decision Desk.
Callvu
Prefills, classifies, lists, collects, checks, routes and writes.
  1. Prefill and classify

The minor's age at travel, the itinerary and the accompanying adults are prefilled from the booking; the case is classified: an unaccompanied minor under the carrier's age bands (the service mandatory for some ages and optional for others, with its routing restrictions and fee), a minor with one parent, a minor with a non-parent adult, or a cruise or tour with the operator's own minor rules; each destination's requirements for minors (a consent letter from the absent parent, notarization, the birth certificate, a custody order where one applies) are added.

  2. Chase and verify

Each document is requested from its signer: the carrier's unaccompanied minor form with the drop-off and pick-up adults' identities and contacts, the parental consent letter in the wording the destination accepts, signed by the absent parent (and notarized where required, with the notarization uploaded), the birth certificate or the custody order, the adults' identity documents; each is read and checked (the names match the booking and the passports, the dates cover the trip, the signatures and the notarization are present, the named adults are of age).

  3. Decide

A complete case proceeds by rule; an exception (a parent who cannot be reached or refuses, a custody dispute, a routing the carrier's service does not allow, a notarization that cannot be obtained in time) goes to the travel desk in the Decision Desk with the documents and only the allowed outcomes (accept with the alternative document the rules allow, change the itinerary, or cancel through the cancellation process).

  4. Write back

The forms, the letters, the identities and the checks are written to the booking system, the system of record, the carrier's service is booked with the named adults where it applies, and the family receives the documents to carry with the reminders of what the border may ask for.

Where it ends: The minor's booking was classified under the carrier's and the destinations' rules, the right adults signed the right documents in time, the documents were checked and recorded on the booking, and the family carried what the airport and the border would ask for. The Decision Trace shows the classification and the checks; the Audit Trace shows each signature and the write.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The booking; the parents and guardians sign on their own phones.

The back office

The travel desk decides only exceptions; the carrier receives the service booking with the named adults.

The Decision Desk

  • An unreachable or refusing parent, a custody dispute, a routing the service does not allow or a notarization that cannot be obtained in time goes to the travel desk in the Decision Desk with the documents and only accept with the allowed alternative, change the itinerary, or cancel.
