Cruise pre-boarding check-in and health declaration
How do we complete a cruise's pre-boarding check-in weeks before sailing, with the documents, the emergency contacts, the health declarations and the onboard account cards collected and written to the reservation?
Run the check-in as a chain each guest completes on their phone before the cut-off. From the booking, Callvu prefills each guest's record, classifies the requirements for the sailing (the passport or the identity document the itinerary allows, the visas for the ports under the destination entry requirements, the vaccination or health declarations the line and the ports require, the emergency contact, the onboard account with a card on a secure screen, the arrival time and the luggage tags, the minors' guardian details), asks each guest for their part, reads and checks the documents (the passport validity against the ports' rules, the name against the booking), chases the outstanding items on the schedule counted back from the line's check-in cut-off, routes a document problem or a health answer to the line's desk in the Decision Desk, and writes the completed check-in to the reservation in the booking system so boarding is a scan.

The problem today
The terminal queue was two hours long because half the guests had not completed the online check-in and the other half had the wrong passport validity.
A cruise check-in is a set of per-guest tasks with a cut-off: the identity document the itinerary allows, the visas for the ports, the health declarations, the emergency contact, the onboard account with a card, the arrival time. Lines send reminder emails; guests wait until the week before; the terminal becomes the place where the data is typed and the documents are discovered to be wrong.
Each requirement is a rule of the line and the ports: closed-loop itineraries allow certain documents, foreign ports require passports with validity rules and sometimes visas, the line's health policy sets the declarations, the onboard account needs a card captured securely, the terminal needs an arrival window. Asked per guest on their phone with the documents read and checked, and chased back from the cut-off, the check-in is done before the week before.
Boarding should be a scan, and the scan should be the result of a process that ran weeks earlier.
How it runs
From the requestto the system of record.
A cruise is booked and the line's check-in window opens. Callvu opens the pre-boarding chain for each guest on the reservation.
- Guests
- Each completes their part on their phone: documents, health declaration, emergency contact, onboard card, arrival time.
- Lead booker
- Sees every guest's status and can nudge the others.
- Cruise line's guest desk
- Decides document problems and health answers in the Decision Desk.
- Callvu
- Prefills, classifies, asks, reads, checks, chases, routes and writes.
Prefill and classify
Each guest's record is prefilled from the booking and any profile; the sailing's itinerary classifies the requirements: the identity document allowed (a passport for foreign ports, with the validity rule, or the alternatives a closed-loop itinerary accepts), the visas for the ports by nationality under the destination entry requirements, the line's and the ports' health declarations and vaccination requirements, the emergency contact, the onboard account card, the arrival window, the minors' guardian details, and any special assistance through its process.
Chase and verify per guest
Each guest receives their own link; the passport or the identity document is photographed and read (the name, the number, the expiry and the nationality) and checked against the booking and the ports' rules; the visas are tracked through the entry requirements process; the health declaration is answered; the emergency contact is captured; the onboard account card is entered on a secure screen that keeps it out of the line's agents' hands; the arrival window is chosen from the terminal's slots; each outstanding item is chased on a schedule counted back from the line's cut-off, and the lead booker sees every guest's status.
Decide
A complete guest proceeds by rule; a document that fails (an expiry inside the ports' rule, a name mismatch, a missing visa close to sailing), a health answer the line's policy flags, or a minor without the guardian documents goes to the line's guest desk in the Decision Desk with the record and only the allowed outcomes (accept with the alternative document, require a correction, refer to the medical desk, or deny boarding with the notice and the refund rule).
Write back
The completed check-in (the documents, the declarations, the contacts, the card token, the arrival window, the luggage tags) is written to the reservation in the booking system, the system of record, the boarding pass is issued, and the terminal's list shows each guest as checked in so boarding is a scan.
Where it ends: Every guest completed their own check-in on their phone weeks before sailing, the documents were checked against the ports' rules, the exceptions were decided by the line, and the reservation held everything the terminal needed. The Decision Trace shows the requirements per guest, the checks and the decisions; the Audit Trace shows each guest's steps and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Each guest's own link on their phone; the lead booker's view of the party.
The back office
The line's guest desk decides only exceptions; the terminal boards from the reservation.
The Decision Desk
- A failing document, a flagged health answer or a minor without guardian documents goes to the line's guest desk in the Decision Desk with the record and only accept with the alternative, require a correction, refer to the medical desk, or deny boarding with the notice.

Questions
What buyers ask next,answered plainly.
Does every guest have to check in separately?
Each guest completes their own part on their own phone (documents, health declaration, contact, card, arrival time), and the lead booker sees everyone's status.
What is checked on the passport?
The name against the booking, the expiry against the ports' validity rules and the nationality against the ports' visa requirements, at upload.
How is the onboard account card taken?
On a secure screen that tokenizes it, so the line's agents and the terminal never handle the card data.
