Tour departure cancellation by operator
How do we handle a tour departure the operator cancels, offering each booked traveler a transfer, a credit or a refund, releasing the suppliers, and updating the booking system?
Treat the cancelled departure as one event with one case per traveler. When an operator cancels a departure (low numbers, a safety or destination event, a supplier failure), Callvu classifies the cancellation under the operator's terms and the package rules (the traveler's right to a full refund, the alternatives that may be offered, the compensation where the law requires it), identifies every booking on the departure with its components and its payments, notifies each traveler on a secure screen with the options (a transfer to another departure with the price protection, a credit, a full refund), chases the choice and the refund details before the deadline, releases the hotels, the guides and the transport under their terms, routes a disputed refund or an unanswered booking to the agent in the Decision Desk, and writes the choices, the refunds and the releases to the booking system.

The problem today
The departure was cancelled for low numbers; the refunds were promised in writing and took eleven weeks; the hotel was still holding the rooms.
When an operator cancels a departure, every traveler on it has a right and a choice, and every supplier on it has a release deadline. The operator's team phones the travelers one by one, offers whatever comes to mind, and the refunds run through a queue with no clock; the suppliers hold rooms and vehicles that cost money until someone remembers to release them.
The package travel rules are exact: a traveler whose package is cancelled by the organiser gets a full refund within fourteen days under the EU Directive, and compensation unless the cancellation was for the stated reasons (minimum numbers with the required notice, unavoidable and extraordinary circumstances); the operator's terms set the alternatives and the credits; each supplier's contract sets the release terms. Done as one event, the cancellation is a notification, a choice and a set of releases on clocks.
The traveler who gets a choice and a refund on time books the next tour.
How it runs
From the requestto the system of record.
The operator decides to cancel a departure. Callvu classifies the cancellation and opens a case per booking.
- Traveler
- Receives the notice, chooses on a secure screen, confirms the refund details and receives the refund or the credit.
- Suppliers (hotels, guides, transport)
- Receive the releases under their terms and confirm.
- Agent or operations
- Decides disputed refunds, unanswered bookings and supplier disputes in the Decision Desk.
- Callvu
- Classifies, maps the bookings and the suppliers, notifies, chases, releases, routes and writes back.
Classify the cancellation
The reason (minimum numbers with the notice period met or not, a safety or destination event, a supplier failure, the operator's decision) is classified under the operator's terms and the package rules: the refund right and its clock, the compensation where the law requires it, the alternatives the operator may offer (another departure, a different tour with price protection, a credit with its validity); every booking on the departure is listed with its components, its payments and any insurance.
Notify and capture the choice
Each traveler receives a link with the cancellation in plain terms, the reason, their rights, and the options (transfer to another departure, a credit, a full refund) with what each means; they choose and confirm the refund details (the original payment method) on a secure screen; reminders go out before the deadline.
Chase and verify, and decide
A traveler who has not answered is chased; an unanswered booking at the deadline defaults to the refund the law requires; a disputed refund amount, a request outside the options, a group or a traveler with a connected booking the operator did not sell goes to the agent in the Decision Desk with the classification and only the allowed outcomes (refund, transfer with the price protection, credit with the validity, or escalate).
Release the suppliers and write back
The hotels, the guides, the transport and the activities are released under their contract terms before their cutoffs with the confirmations captured and any cancellation cost recorded, the choices, the refunds on the fourteen-day clock, the credits and the transfers are written to the booking system with the confirmations, and the operator's departure manifest is closed.
Where it ends: Every traveler on the cancelled departure was told at once with their rights and a choice, the refunds ran on the legal clock, the suppliers were released before their cutoffs, and the booking system holds the choices, the refunds and the releases. The Decision Trace shows the classification, the options and the decisions; the Audit Trace shows each notification, choice, release and refund with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
A link to each traveler's phone with the cancellation, the rights and the choice.
The back office
The agent decides only disputes and exceptions; the refunds and the releases run by rule on their clocks.
The Decision Desk
- A disputed refund, a request outside the options, a group or a connected booking goes to the agent in the Decision Desk with the classification and only refund, transfer with price protection, credit, or escalate.
