Future travel credit redemption

How do we apply a traveler's future travel credit to a new booking with its value, expiry and rules checked, and the balance updated?

Treat the credit as a stored instrument with rules the booking must satisfy. When a traveler holding a credit books, Callvu prefills the credits on their profile (the issuing carrier or supplier, the value and the currency, the expiry for booking and for travel, the name restriction, the fare classes and the routes it applies to, the residual rules), checks the new booking against the credit's rules (the same carrier, the passenger name, the travel dates inside the validity, the fare permitted), applies the credit to the booking with the residual value and the fare difference computed, routes a credit the rules do not fit (a name mismatch, an expired credit with a waiver request, a credit from a supplier that needs manual redemption) to the agent in the Decision Desk, and writes the redemption, the balance and the new ticket to the booking system with the traveler told the remaining value and its expiry.

The problem today

The credit expired on the booking date, not the travel date, and nobody told the traveler until the ticket was priced.

Today, without Callvu

Travel credits pile up: from cancellations, from schedule changes, from unused tickets. Each carries its own rules (who can use it, on what, by when, whether the booking or the travel must happen before the expiry, what happens to a residual), and they live in the carrier's system, the agency's profile and the traveler's inbox. The agent discovers the rules at pricing; the traveler loses the value.

A credit is an instrument: a value, an expiry (sometimes two), a name, a scope and a residual rule under the fare rules that created it. The redemption is a check of the new booking against those rules, an application of the value, and an update of the balance in the system that holds it. Done at the start of the booking, the credit is used; done at the end, it is argued.

A credit shown with its rules before the search is a credit that gets redeemed.

How it runs

From the requestto the system of record.

A traveler with a credit on their profile starts a booking, or asks to use a credit on a booking in progress. Callvu prefills the credits and opens the redemption.

Traveler
Sees the credits and their rules, chooses which to apply, and confirms the booking with the credit applied.
Agent
Decides credits the rules do not fit and manual redemptions in the Decision Desk.
Carrier or supplier
Holds the credit and confirms the redemption through its channel.
Callvu
Prefills, checks the rules, applies the credit, routes and writes back.
  1. Prefill the credits

The credits on the traveler's profile and in the carriers' systems are prefilled with their rules: the issuer, the value and the currency, the booking-by and travel-by dates, the name restriction, the fare classes, the routes or the products, the combinability, the residual rule (retained as a new credit, forfeited, or refundable) and the fee rules; the credits nearest expiry are shown first.

  2. Check the booking against the rules

The new booking is checked against the chosen credit's rules by rule: the same issuer, the passenger name matches, the booking and the travel dates fall inside the validity, the fare and the route are permitted, the combination with other credits or payment is allowed; the application is priced with the fare difference, any fee under the fare rules and the residual value shown to the traveler before confirmation.

  3. Decide exceptions

A booking that fits is confirmed with the credit applied by rule; a name mismatch, an expired credit with a waiver request, a credit that the issuer's system requires an agent to redeem, a corporate credit with an approval rule, or a residual the rules forfeit above a threshold goes to the agent in the Decision Desk with the rules and only the allowed outcomes (redeem with the issuer's waiver, redeem manually, apply to a different booking, or decline with the alternatives).

  4. Write back

The redemption is confirmed with the issuer, the new ticket is issued with the credit as the form of payment and the fare difference collected on a secure screen, the credit's balance (the residual as a new credit with its own expiry, or zero) is updated on the profile and in the issuer's system, and the booking, the redemption and the balance are written to the booking system with the traveler told the remaining value and its expiry.

Where it ends: The traveler used the credit with its rules checked before the booking, the residual was handled under the fare rules, and the booking system and the profile hold the redemption and the balance. The Decision Trace shows the rules checked and any decision; the Audit Trace shows the prefill, the confirmation and the writes with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The booking tool or the app with the credits shown, or a call with a link; the traveler confirms on a secure screen.

The back office

The agent decides only exceptions and manual redemptions; the balance updates by rule.

The Decision Desk

  • A name mismatch, an expired credit with a waiver request, a manual redemption, a corporate approval rule or a forfeited residual above the threshold goes to the agent in the Decision Desk with the rules and only redeem with the waiver, redeem manually, apply to a different booking, or decline with the alternatives.

Questions

What buyers ask next,answered plainly.

What rules does a credit carry?

The issuer, the value, the booking-by and travel-by dates, the name restriction, the fare classes and routes, the fee on reuse, the residual handling and the combinability, from the fare rules that created it; all are shown before the search.

What happens to the leftover value?

Under the fare rules it is retained as a new credit with its own expiry, forfeited, or refundable; the pricing shows the residual before confirmation, and a forfeited residual above the threshold goes to the agent.

Can an expired credit be used?

Only with the issuer's waiver, which the agent requests from the Decision Desk; the process reminds the traveler before expiry so it does not come to that.
