Cruise itinerary change and port substitution
How do we notify passengers of a cruise itinerary change or a port substitution, let them keep, move or cancel, apply the credits by rule, and update the reservation?
Run the change as a notification with a choice, by booking. When a sailing changes (a port substituted, a port dropped, an embarkation date moved, a ship swapped), Callvu classifies the change against the cruise ticket contract (a substitution the contract permits without compensation, a material change with a credit or a refund right, a cancellation by the line), identifies every affected booking and its shore excursions, transfers and pre-and-post hotels, notifies each passenger on a secure screen with the change in plain terms and the options the contract and the line's policy allow (keep with any credit, move to another sailing, cancel with the refund or the credit), captures the choice before the line's deadline, routes a group, a disputed credit or an unanswered booking to the agent in the Decision Desk, and writes the choice, the credits and the excursion changes to the reservation in the booking system.

The problem today
The port was dropped three weeks out; the passengers found out from a forum; the excursion refunds took two months.
A cruise line changes an itinerary for weather, a port closure or an operational reason, and the change ripples through every booking on the sailing: the shore excursions booked for the dropped port, the transfers timed to the old arrival, the hotels before and after. The notification goes out late or not at all, the passengers call, and the credits the line's policy promised are applied by hand, inconsistently.
The cruise ticket contract defines what the line may change without liability and what triggers a credit, a refund or a right to cancel; the line's policy sets the goodwill credits; each affected component has its own refund rule; and the passenger's choice (keep, move, cancel) must be captured before the line's deadline. Applied by rule across the sailing, the change is a notification and a choice, not a call center event.
A passenger told first, with a choice they can make on their phone, keeps the booking.
How it runs
From the requestto the system of record.
The cruise line issues an itinerary change for a sailing. Callvu classifies it and opens one case per affected booking.
- Passenger
- Reads the change, chooses keep, move or cancel on a secure screen, and receives the credits and the updated reservation.
- Cruise line
- Issues the change and the policy credits, and confirms the moves and cancellations.
- Agent
- Decides groups, disputed credits and unanswered bookings in the Decision Desk.
- Callvu
- Classifies, maps the affected components, notifies, captures the choice, applies the credits, routes and writes back.
Classify the change
The change is read against the cruise ticket contract and the line's policy: a port substitution or a sea day the contract permits, a material change (a shortened cruise, a changed embarkation port or date, a ship swap) with the contract's or the policy's remedy (an onboard credit, a prorated refund, a right to cancel with a full refund), or a cancellation by the line; the remedies and the deadline for the passenger's choice are set.
Map the affected components
Every booking on the sailing is identified with its affected components: the shore excursions in the dropped or changed port (refundable by rule under the line's terms), the transfers timed to the old schedule, the pre-and-post hotels, the flights where the embarkation changed (through the disruption process), and the travel insurance dates.
Notify and capture the choice
Each passenger receives a link with the change in plain terms, the effect on their components, the remedies they are entitled to and the options (keep the sailing with the credit, move to another sailing with the price protection the policy gives, cancel with the refund or the credit), and chooses before the deadline; reminders go out on the schedule; a group booking, a disputed credit, an unanswered booking at the deadline or a passenger with special needs goes to the agent in the Decision Desk with the options and only the allowed outcomes.
Write back
The choice is executed with the line (the credit applied, the move booked with the confirmation, the cancellation and the refund processed), the excursions and the transfers are refunded or rebooked by rule, the flights and the hotels are adjusted through their processes, and the reservation in the booking system is updated with the choice, the credits and every component change, with the passenger receiving the updated documents.
Where it ends: Every passenger on the sailing was told the change and their remedies first, chose before the deadline, and the booking system holds the updated reservation with the credits and the component changes applied by rule. The Decision Trace shows the classification, the remedies and the decisions; the Audit Trace shows each notification, choice and write with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
A link to each passenger's phone with the change, the remedies and the choice.
The back office
The agent decides only groups, disputed credits and unanswered bookings; the credits and the component changes run by rule.
The Decision Desk
- A group booking, a disputed credit, an unanswered booking at the deadline or a passenger with special needs goes to the agent in the Decision Desk with the options and only keep with the credit, move, cancel with the remedy, or escalate to the line.

Questions
What buyers ask next,answered plainly.
What are passengers entitled to when a port is dropped?
Usually a refund of the line's excursions for that port and whatever the ticket contract and the line's policy provide (often an onboard credit); a material change such as a new embarkation date or port gives a right to cancel with a refund.
How do passengers choose?
On a secure screen from a link, with the change, the effect on their components and the options (keep with the credit, move, cancel) in plain terms, before the line's deadline.
What about the flights and hotels?
They are mapped as affected components and adjusted through the disruption and cancellation processes under their own rules, with everything written to the reservation.
