Store and contact center employee onboarding

How do we onboard store and contact center employees so the HR paperwork, the training attestations and the system access requests happen in one process before the first shift?

Run the hire as one chain from the offer to the first shift. Callvu prefills the onboarding from the offer and the applicant record, classifies the requirements for the role, the location and the jurisdiction (the employment eligibility verification with its deadline, the tax and payroll forms, the policy acknowledgments, the training the role requires before customer contact such as CPNI, PCI and the consumer protection rules, the background check consent, the uniform and equipment, the system access by role), collects each from the new hire on their phone in order, chases the outside items (the background check result, the eligibility documents examined in person where required) on the start-date clock, routes a failed check or a missing item near the start to HR or the store manager in the Decision Desk, and writes the employee record, the attestations and the access provisioning to the HR system, the system of record, and the BSS and the store systems with the manager seeing readiness.

The problem today

The new hire sold a phone on day one without the CPNI training, the I-9 was completed on day five, and the store manager had emailed three teams for a login.

Today, without Callvu

Retail stores and contact centers hire in volume and fast, and every new hire touches customer accounts, identity documents and payment data from the first shift. The onboarding is a pile: the HR forms, the eligibility verification, the background check, the trainings the carrier's compliance program requires before customer contact, the system access that needs three approvals. The manager chases it all by email, and the new hire is on the floor before it is done.

The rules are dated: the employment eligibility verification within three business days of the start, the training the CPNI rules and the card data standard require before access to customer data, the background and sanctions screening the policy sets, the tax forms, the access provisioned to the role. The HR system is the record, and the store and the contact center systems should open only when the chain is complete.

A new hire who finishes the chain on their phone before the first shift is one who can serve a customer legally on day one.

How it runs

From the requestto the system of record.

An offer is accepted for a store or contact center role. Callvu opens the onboarding from the offer with the role, the location, the jurisdiction and the start date.

New hire
Completes the forms, uploads documents, completes the trainings and attests, and requests nothing by email.
HR
Examines the eligibility documents, verifies the checks and decides failures in the Decision Desk.
Store or contact center manager
Approves the access and the schedule and sees readiness.
Callvu
Prefills, classifies, collects, chases, routes and writes.
  1. Prefill and classify

The onboarding is prefilled from the offer and the applicant record; the role (sales, service, supervisor), the location, the employment type and the jurisdiction classify the requirements: the employment eligibility verification with its deadline and the document examination method, the tax withholding and payroll forms, the state new hire reporting, the policy acknowledgments, the trainings required before customer contact (CPNI and customer authentication, card data handling, the consumer protection and sales practice rules, the accessibility and the privacy rules), the background check consent, the equipment and the uniform, and the system access by role.

  2. Chase and verify

Each item is collected from the new hire on their phone in order, with the documents read on arrival (the identity and the work authorization documents for the eligibility verification, examined by HR in person or by the permitted remote procedure, the tax forms validated); the outside items (the background check result, the sanctions screening, the prior employment verification where the policy requires) are chased from their holders on the start-date clock; the trainings are completed and attested, and the chain shows the manager and HR what is outstanding.

  3. Decide

A chain that completes inside the rules proceeds; a failed background check, a work authorization document problem, a training not completed before the start, or a late outside item near the start goes to HR or the manager in the Decision Desk with the record and only the allowed outcomes (clear, clear with conditions such as no customer contact until the training is done, delay the start, or withdraw).

  4. Write back

The employee record, the forms, the attestations and the check results are written to the HR system, the system of record, and the payroll system, the access to the BSS and the store or contact center systems is provisioned from the role and the manager's approval only when the required trainings are attested, the readiness view shows the hire complete before the start date, and a termination from the HR system removes the access the same day.

Where it ends: The new hire completed one chain from the offer on their phone, the eligibility verification and the checks ran on the start-date clock, the required trainings were attested before any customer data access, and the HR system holds the record with the access provisioned from it. The Decision Trace shows the requirement classification, each check and any decision; the Audit Trace shows each form, upload, attestation and chase with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The link from the offer; the new hire completes on their phone before the first shift.

The back office

HR examines documents and decides failures; the manager approves access and sees readiness; provisioning follows the attestations.

The Decision Desk

  • A failed background check, a work authorization document problem, an incomplete training or a late outside item near the start goes to HR or the manager in the Decision Desk with the record and only clear, clear with conditions, delay, or withdraw.

Questions

What buyers ask next,answered plainly.

What does the new hire complete?

The eligibility verification, the tax and payroll forms, the policy acknowledgments, the required trainings with attestations, the background check consent and the equipment requests, in one chain on their phone from the offer.

When is system access granted?

From the role and the manager's approval, only after the trainings the CPNI and card data rules require are attested, and never before the eligibility verification is on its clock.

What is the I-9 deadline?

Section 1 by the first day of employment and Section 2, with the documents examined, within three business days of the start; the chain schedules both against the start date.
