Deceased account holder

How do we handle a deceased account holder so the family submits the death certificate once, the account is closed or transferred, the final bill is handled, and the numbers are kept if asked?

Open one case from the family's first contact and let it carry every outcome. When a death is reported, Callvu captures the report and the reporter's relationship once, applies the account protections (collection paused, marketing stopped, a flag on the account), chases the death certificate and the reporter's authority through a link (the executor's letters or the next of kin's statement as the policy allows), classifies each line on the account (the deceased's own line, lines used by family members, financed devices, a business line), routes the decisions to the account desk in the Decision Desk with only the allowed outcomes (close the account, transfer lines to a family member through the transfer process with the number kept, waive the early termination and the device balance under the policy, settle the final bill with the estate), writes each outcome to the BSS, the system of record, and sends the family one confirmation. The problem today

The widow was asked for the death certificate by the store, the contact center and the collections agency, and the number she wanted to keep was recycled in the meantime.

Today, without Callvu

A death reaches the carrier through whoever calls first: a son cancelling a line, a daughter asking about the bill, an executor closing accounts. Each contact is a ticket; the account keeps billing; collections calls the house; the family member's own line on the plan is at risk; the number the family wants to keep for the memorial calls is released when the account closes.

The outcomes are known: close or transfer, keep or release each number, waive the fees the policy waives, settle the final bill with the estate under the state's rules, protect the family from collection in the meantime. The documents are two: the death certificate and the reporter's authority. The carrier's bereavement policy sets the waivers and the transfers; the CPNI rules govern who may act on the account; the state's estate rules govern the final bill.

One case, one certificate, one confirmation.

How it runs

From the requestto the system of record.

A family member, an executor or an attorney reports the account holder's death in any channel. Callvu opens the bereavement case on the account.

Family member or executor (the reporter)
Reports once, provides the death certificate and their authority through a link, and chooses the outcome for each line.
Account desk (the bereavement team)
Decides the outcomes in the Decision Desk.
Callvu
Captures, protects, chases the documents, classifies the lines, routes, writes to the BSS and billing, and confirms.
  1. Capture and protect

The report is captured with the reporter's identity, relationship and contact and the date of death; the account is flagged, collection and dunning are paused, marketing and the automatic payments are stopped as the policy sets, and the numbers on the account are protected from release while the case is open.

  2. Chase and verify

The death certificate and the reporter's authority (the executor's letters, or the next of kin's statement where the policy accepts it for a personal account) are requested through a link, read on arrival (the deceased's name against the account holder, the date, the issuing authority, the executor's name on the letters) and what is missing is chased with the specifics; the reporter is never asked twice, and the certificate is attached to the case for every outcome.

  3. Classify and decide

Each line is classified (the deceased's own line to close or keep for a period, lines used by family members to transfer, financed devices with balances, a business line, add-ons and subscriptions) and the reporter chooses the outcome for each; the account desk decides in the Decision Desk with the documents and the policy and only the allowed outcomes: close the account with the final bill to the estate, transfer the lines to a family member through the transfer process with the numbers kept and the credit check as the policy provides, waive the early termination fees and the device balances under the bereavement policy, keep a number on hold for the period the policy allows, or hold for a missing document.

  4. Write back and confirm

Each outcome is written to the BSS, the system of record, and billing (the closure or the transfer, the waivers, the final bill computed to the date of death or the closure as the policy sets, the refund of credits to the estate), the collection pause becomes a closure or a transfer, the family receives one confirmation listing every line's outcome, and the case is retained with the certificate and the authority.

Where it ends: The family reported once and provided the certificate once, the account was protected from the first contact, each line got the outcome the family chose within the policy, the numbers were kept where asked, and the BSS and billing hold the results with one confirmation sent. The Decision Trace shows the classification, the documents and the decisions; the Audit Trace shows the report, the protections, the documents and the writes with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

Any channel; the reporter provides the documents and chooses the outcomes on their phone.

The back office

The bereavement team decides with the documents and the policy; collections and billing read the case.

The Decision Desk

  • Each outcome (closure, transfer, waiver, number hold, estate billing) goes to the bereavement team in the Decision Desk with the documents and only the allowed outcomes; a missing document holds the case.

Questions

What buyers ask next,answered plainly.

What documents does the family need?

The death certificate and the reporter's authority (the executor's letters, or the next of kin's statement where the policy accepts it), provided once through a link and attached to every outcome.

Can the family keep the number?

Yes. The numbers are protected from release while the case is open, a line can be transferred to a family member with the number kept, and a number can be held for the policy's period.

What happens to the final bill and the fees?

The early termination fees and the device balances are waived under the bereavement policy, and the final bill is computed and sent to the estate under the state's rules, with collection paused in the meantime.
