Post-closing quality control
How do we run the post-closing quality control audit on a sample of closed loans, re-verify against a checklist and route findings for remediation and reporting?
Sample by rule, re-verify by process, report from the record. Callvu selects the post-closing sample the lender's quality control plan requires (random and targeted), re-verifies each loan's income, employment, assets, occupancy and appraisal through fresh requests to the employer, the depository and the appraisal review, re-reads the file against the checklist, records each finding with its severity and defect category, routes findings to the operations manager for remediation and response in the Decision Desk, and produces the quality control report for management and the investor.

The problem today
The quality control report is due, the re-verifications are letters that never came back, and the findings are in a spreadsheet.
The quality control team pulls a sample, mails re-verification letters to employers and banks, re-reads files when the letters return (or do not), writes findings in a spreadsheet, and emails them to operations. The report to management is late and thin; the investor's audit asks for the re-verification responses and the remediation.
The agencies require a post-closing quality control program with a defined sample, re-verification of key data through independent sources, a checklist review, defect rating, a response from operations, trend analysis and reporting within set timeframes. It is a process with parties (employers, banks, appraisers) and clocks (the cycle, the report deadline), run on paper at most lenders.
The re-verifications are the slow part, and they are requests to third parties, which the process already knows how to run.
How it runs
From the requestto the system of record.
The quality control cycle starts (monthly or as the plan sets). Callvu applies the selection rule to the closed loans and opens an audit case per selected loan.
- Quality control
- Reviews each loan against the checklist in the Decision Desk and rates findings.
- Operations manager
- Responds to findings with remediation and root cause in the Decision Desk.
- Employers, depositories and appraisers
- Respond to the re-verification requests through links (or the lender's verification services).
- Callvu
- Selects, sends re-verifications, re-reads, records findings, routes responses and reports.
Classify and select
The sample is selected by the plan's rule (a random percentage plus targeted selections by program, originator, early payment default and other risk indicators), and each loan's checklist is derived from its characteristics.
Chase and verify the re-verifications
Re-verifications go out for each loan: employment and income to the employer through a link or the verification service, assets to the depository, the occupancy check, the credit report re-pull, and the appraisal to the desk review; responses are read and compared with the file's documents, and discrepancies are flagged.
Decide: the review
The reviewer works the checklist in the Decision Desk with the file and the re-verification results, recording each item as passed or a finding with the defect category and severity under the plan's definitions; the loan's overall rating is set.
Remediate and report
Findings go to the operations manager in the Decision Desk for a response (remediation, root cause, disagreement with evidence) within the plan's timeframe; the quality control report (sample, findings by category and severity, trends, responses) is produced from the record for management and, where required, the investor, within the reporting deadline.
Where it ends: The sample was selected by rule, every key fact was re-verified through independent sources, every finding was rated and answered, and the report came from the record inside the deadline. The Decision Trace shows the selection, each re-verification result and each finding; the Audit Trace shows the requests, the review and the responses. The Callvu moves in this process are classify, chase and verify, decide and write back. The systems named here stay the system of record; Callvu writes to them and keeps the trace.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The quality control cycle and the selection rule; third parties meet the process in re-verification links.
The back office
Quality control reviews with re-verifications already back; operations responds from the Decision Desk; management reads a report from the record.
The Decision Desk
- The reviewer rates each finding in the Decision Desk; the operations manager responds with remediation or disagreement; disputed ratings go to the quality control manager with only the allowed outcomes.
