Loss mitigation application
How do we acknowledge a loss mitigation application within five business days, chase every missing item to completion, and evaluate it on the Regulation X clock?
Treat the first contact as the application. Callvu opens the application on the first request for assistance in any channel, classifies what the investor's evaluation needs (the hardship, income, assets and expenses, the occupancy, the authorization), sends the written acknowledgment with the specific missing items within five business days, chases each item through a link with reading and checks, runs the completeness test, evaluates the complete application within 30 days for all options the investor offers, routes the decision to the loss mitigation underwriter in the Decision Desk with the written determination and the appeal rights, and writes the status and the outcome to servicing with the foreclosure protections applied.

The problem today
The application was complete on the ninth call, and the foreclosure sale had already been scheduled.
A borrower in trouble calls and asks for help. The agent sends a package. The borrower returns it incomplete; a different agent requests two more items; the borrower sends one; a letter asks for the other and a new one. Every contact restarts the conversation, the file is never complete, and in the meantime the loan is referred to foreclosure because nobody could see that an application was pending.
Regulation X treats a loss mitigation application as a process with deadlines: an acknowledgment within five business days listing the missing documents, reasonable diligence in completing the application, an evaluation within 30 days of a complete application for all available options, a written notice of the determination with the reasons and the appeal right, and protections against foreclosure referral and sale while a complete application is pending (the 120-day rule, the 37-day rule before a sale).
The application's completeness is a state the servicer must know at every moment, because the protections hang on it.
How it runs
From the requestto the system of record.
A borrower requests assistance in any channel (a call, a message, a form, a letter). Callvu opens the application on the loan with the date.
- Borrower
- Describes the hardship, provides the documents through a link, and receives the acknowledgment, the determination and the appeal right.
- Loss mitigation underwriter
- Evaluates the complete application and decides in the Decision Desk.
- Servicing
- Holds the status and applies the foreclosure protections.
- Callvu
- Classifies the requirements, acknowledges, chases, checks completeness, routes the evaluation and writes.
Classify the requirements and acknowledge
The loan's investor and program classify the documents the evaluation needs: the hardship statement, income documentation by source, the assets and expenses, the occupancy, the tax authorization, any co-borrower consent; the written acknowledgment lists the specific missing items and the date to return them, sent within five business days of the request, with a link to provide each.
Chase and verify
Each document is uploaded through the link, read and checked (the pay stub's period and employer, the bank statement's months, the hardship letter's content, the signatures); what is missing or stale is requested with the specifics; the completeness test runs on every receipt, and the application is marked complete the day it passes, with the date recorded.
Evaluate and decide
The complete application is evaluated for all loss mitigation options the investor makes available (a repayment plan, forbearance, a modification, a short sale, a deed in lieu), in the investor's order; the loss mitigation underwriter decides in the Decision Desk with the evaluation and only the allowed outcomes, and the written determination states the options offered or the reasons for denial and the appeal right where it applies, within 30 days of the complete application.
Write back and protect
The application status (received, complete with date, evaluated, offered, accepted or appealed) is written to the servicing system; the foreclosure protections are applied from the status (no referral before day 120 of delinquency, no referral or sale while a complete application is pending within the rule's windows); the accepted option starts its own process.
Where it ends: Every request for assistance became an application with a known completeness date, the borrower was asked once per item, the evaluation ran on the clock, and servicing holds the status that the foreclosure process reads. The Decision Trace shows the requirements, the completeness test and the decision; the Audit Trace shows the acknowledgment, each chase and upload, and the determination with their times.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel; the borrower meets the process in the acknowledgment and the document link.
The back office
The underwriter evaluates a complete file; foreclosure reads the status; nobody re-asks.
The Decision Desk
- The complete application goes to the loss mitigation underwriter in the Decision Desk with the evaluation of every option and only the allowed outcomes, with the written determination and the appeal right generated from the decision.

Questions
What buyers ask next,answered plainly.
When is the acknowledgment due?
Within five business days of the application, in writing, stating whether it is complete and listing the specific missing documents with a date to return them.
What counts as an application?
A request for assistance in any channel with some information about the borrower's situation; the process opens it from the first contact and tracks completeness from there.
How does this protect against foreclosure?
The servicing status carries the application's completeness date, and the foreclosure referral process reads it before any referral or sale, applying the 120-day and pending-application rules.
