Loan officer licensing and state checks
How do we check each loan officer's license and state eligibility before a loan in that state can move forward?
Make the license check a gate on every loan. Callvu holds each loan officer's NMLS identifier, the states where they are licensed or registered, the sponsorship and the license status from the NMLS record, re-checks the record on a schedule and at each loan's key points (application, disclosure, closing), compares the loan's property state against the officer's licensed states, and holds the loan with the reason when the officer is not licensed there or the license is pending, expired or suspended; an exception goes to the licensing manager in the Decision Desk, and the result is recorded on the loan.

The problem today
The loan officer's license in the second state was pending; the loan closed; the state fined the lender and the loan had to be disclosed to the investor.
A loan officer licensed in one state takes an application for a property in a neighboring one where their license application is pending. Nobody checks. The loan closes with the officer's name and NMLS identifier on the documents. The state's examiner finds it, the investor is told, and the loan carries a defect the lender cannot cure.
The SAFE Act and the state laws require the originator to be licensed in the state of the property (and the lender to be licensed there) before taking the application, with the officer's NMLS identifier on the application and the closing documents. The license status is a public record that changes: renewals, lapses, suspensions, a change of sponsor. The check is a comparison of two data points that the loan origination system holds and the public record confirms.
A gate that runs itself costs nothing; a fine and a defective loan cost a great deal.
How it runs
From the requestto the system of record.
A loan reaches a key point (application, disclosure, closing) with a loan officer assigned, or a scheduled re-check of the officers' NMLS records runs. Callvu runs the check.
- Loan officer
- Keeps their licenses current and is told when a loan is held for licensing.
- Licensing manager
- Decides exceptions and reassignments in the Decision Desk.
- Callvu
- Holds the licensing data, re-checks the NMLS record, compares, holds and records.
Chase and verify the officer's licensing
Each loan officer's NMLS identifier, licensed or registered states, license status and sponsorship are held and re-checked against the NMLS Consumer Access record on a schedule (and after the renewal period); a renewal, continuing education or state filing that is due is chased from the officer through a link before its deadline.
Check the loan
At application, at disclosure and before closing, the loan's property state is compared with the officer's licensed states and the status; the lender's own state license is checked the same way; a match passes by rule and the result is recorded on the loan.
Decide
A mismatch (the officer not licensed in the state, a pending, expired or suspended license, a sponsorship not in place) holds the loan with the reason; the licensing manager decides in the Decision Desk with the data and only the allowed outcomes: release on a verified correction (a license that was renewed), reassign the loan to a licensed officer with the documents re-issued, or hold until cured.
Record
The check's result at each point, any hold and its resolution, and the officer's NMLS identifier as it appears on the documents are recorded on the loan in the loan origination system, and the officer's licensing record is updated with the re-check.
Where it ends: No loan moved past a key point with an unlicensed originator for its state, every check and hold is on the loan, and the officers' licensing is kept current by chases before deadlines. The Decision Trace shows the comparison and any decision; the Audit Trace shows the re-checks and the holds with their times. The systems named here stay the system of record; Callvu writes to them and keeps the trace.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
None for the borrower; the loan officer meets the process in the renewal chases and the hold notices.
The back office
The licensing manager decides exceptions; the loan origination system holds the gate's result.
The Decision Desk
- A mismatch goes to the licensing manager in the Decision Desk with the data and only release on a verified correction, reassign with documents re-issued, or hold until cured.
