Broker annual recertification

How do we recertify every broker and correspondent each year, re-collect and check their licenses and documents, and suspend a relationship when an item expires until it is cured?

Run recertification as a cycle with suspension by rule. Callvu opens each counterparty's recertification before its anniversary, classifies what must be re-collected (the renewed NMLS licenses after the annual renewal period, the current insurance certificates, the updated financials, the quality control results, the ownership changes, the regulatory history), re-runs the public record checks, chases each item through the counterparty's link with the deadline visible, suspends submissions for an expired license or lapsed coverage by rule until cured, routes the recertification decision to the third-party originator manager in the Decision Desk with the counterparty's performance (the quality, the early payment defaults, the repurchases), and writes the renewed approval or the suspension to the loan origination system.

The problem today

The recertification spreadsheet showed the broker as current; their errors and omissions coverage had lapsed eight months earlier.

Today, without Callvu

Recertification is an annual task on a spreadsheet: send a request, log what comes back, follow up when there is time. Items that never arrive are not suspended because the account executive protests, and items that arrive are not checked. The lender's exposure accumulates quietly: lapsed coverage, a branch license not renewed, an owner with a new regulatory action.

The state licenses renew annually through NMLS with a renewal period at year end; coverage expires on the policy date; financials are annual; the investors expect the lender to monitor its third-party originators and act on expired items and poor performance. The requirements are dated, and so should the process be.

Suspension by rule is what makes the cycle real.

How it runs

From the requestto the system of record.

A counterparty's recertification date approaches (or an item's expiration is reached, or a regulatory action appears on monitoring). Callvu opens the cycle on the counterparty.

Broker or correspondent
Provides the renewed and updated items through a link.
Account executive
Sees the status and the suspension risk.
Third-party originator manager
Decides the recertification in the Decision Desk.
Callvu
Classifies, chases, checks, suspends by rule, routes and writes.
  1. Classify the cycle

The counterparty's type, states, products and prior approval set what is re-collected: the renewed company, branch and originator licenses (after the NMLS renewal period), the current errors and omissions and fidelity certificates, the updated financials and the tests, the quality control reports, any ownership or principal changes, and the regulatory history; the performance data (the pull-through, the quality findings, the early payment defaults, the repurchases) is prefilled from the loan origination system.

  2. Chase and verify

Each item is requested through the link with its deadline, read and checked: the licenses against the NMLS record, the coverage limits and dates, the financials against the tests, the owners against the lists; the public record and sanctions checks re-run; what is outstanding is chased on the schedule.

  3. Suspend by rule and decide

An expired license in a state, lapsed coverage or a failed financial test suspends submissions in the affected scope on the loan origination system by rule, with the counterparty and the account executive told what cures it; the third-party originator manager decides the recertification in the Decision Desk with the checks and the performance and only the allowed outcomes: renew, renew with a reduced scope or conditions, or terminate with reasons.

  4. Write back

The renewed approval with its scope and the next recertification date, the suspension and its cure, or the termination are written to the loan origination system and the counterparty record; a cured item lifts the suspension by rule.

Where it ends: Every counterparty was recertified on re-collected and checked items with its performance in view, expired items suspended the affected scope until cured, and the loan origination system reflects the current approval. The Decision Trace shows each check and the decision; the Audit Trace shows the chases, the suspensions and the writes. The systems named here stay the system of record; Callvu writes to them and keeps the trace.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The counterparty through its link, with the deadlines and the suspension risk visible.

The back office

The manager decides with checks and performance; the loan origination system enforces suspensions.

The Decision Desk

  • The recertification goes to the third-party originator manager in the Decision Desk with the checks and the performance, and only renew, renew with reduced scope or conditions, or terminate with reasons.

Questions

What buyers ask next,answered plainly.

What is re-collected each year?

The renewed licenses, the current insurance certificates, the updated financials, the quality control reports, ownership changes and the regulatory history, through the counterparty's link.

What happens when an item expires?

The affected scope (a state, or all submissions for lapsed coverage) is suspended on the loan origination system by rule until the item is cured; the cure lifts it.

Is performance considered?

Yes; the pull-through, quality findings, early payment defaults and repurchases are prefilled for the manager's decision.
