Lien release after payoff
How do we get the lien release prepared, recorded and sent to the borrower within the state's deadline after every payoff?
Start the release the day the payoff posts. Callvu opens the release case from the paid-in-full event, classifies the state's deadline and recording requirements, prepares the satisfaction or reconveyance from the loan's recorded security instrument data, collects the original note and any trustee documents the state requires, routes it for authorized signature and notarization, sends it for recording (electronically where the county accepts), chases the recorded instrument back, and sends the borrower the recorded release with the paid-in-full letter, all inside the state's clock and written to servicing.

The problem today
The loan was paid off in March; the borrower discovered the lien was still of record when they sold the house in September.
A borrower pays off a mortgage. Servicing posts the payoff and closes the loan. The release of the lien is a separate task for a separate team, fed by a report nobody runs on time. Months later the borrower's title company finds the lien still recorded, the sale is delayed, and the state's penalty for a late release applies.
Every state sets a deadline for the lienholder to release a paid mortgage (typically 30 to 90 days), with statutory damages for failure, and its own form (a satisfaction, a reconveyance by the trustee, a discharge) and signing requirements. The county's recording rules and fees vary. The borrower is entitled to the recorded release and a paid-in-full statement.
The payoff is the event; the release is the obligation that follows it.
How it runs
From the requestto the system of record.
The loan is paid in full in the servicing system. Callvu opens the release case from the event with the loan, the property and the state.
- Borrower
- Receives the recorded release and the paid-in-full letter.
- Servicing lien release team
- Signs the instrument with authority and resolves exceptions.
- Trustee or title company
- Executes the reconveyance where the state's deed of trust form requires it; records the instrument.
- County recorder
- Records the instrument and returns it.
- Callvu
- Classifies, prepares, chases signatures and documents, submits for recording, tracks, sends and writes back.
Classify the state's requirements
The property state and the security instrument type (mortgage or deed of trust) classify the release form, the signer (the lender or the trustee), the notarization, the deadline from payoff, and the county's recording method and fee.
Prepare and chase
The satisfaction or reconveyance is prepared from the recorded instrument's data (the recording reference, the legal description, the parties); the original note, the request for reconveyance to the trustee, and any assignment chain gaps are chased from the custodian, the prior servicer or the trustee with the clock visible.
Sign and record
An authorized signer executes the instrument with notarization on the process's screens or with a notary where required; the instrument is submitted for electronic recording where the county accepts it, or mailed with the fee; the submission and the recording reference are tracked until the recorded instrument returns.
Send and write back
The recorded release and the paid-in-full letter are sent to the borrower, the release is written to the servicing system with the recording data, and a release that misses the deadline is escalated before the clock expires, not after.
Where it ends: Every paid loan has a recorded release inside the state's deadline, the borrower holds it, and servicing records the recording. The Decision Trace shows the state's requirements and the signer; the Audit Trace shows the preparation, the signature, the submission and the return. The Callvu moves in this process are chase and verify and write back.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
None needed; the borrower receives the release. A borrower or title company asking about a release sees the case's status.
The back office
The lien release team signs and resolves exceptions from a prepared instrument with the clock in view; recording is tracked, not remembered.
The Decision Desk
- An exception (a lost note affidavit, an assignment chain gap, a rejected recording) goes to the lien release lead with the state's deadline and only the allowed resolutions.
