Death of borrower notification
How do we handle a death notice on a mortgage so the account is protected, the family is asked once for the documents, and the loan is routed to a specialist team?
Open one case from the first report. When a death is reported, Callvu captures the report with the reporter's identity and relationship, applies the account protections the policy sets (contact rules, collection pauses where the rules require, a flag on the loan), lists the documents the situation needs (the death certificate, the estate or successor documents, the authorization for the person handling the estate), requests them once through a link, routes the loan to the bereavement specialist team with the case, and records every step so the successor-in-interest and any assumption or loss mitigation processes start from it.

The problem today
The daughter sent the death certificate three times, and collections kept calling the house.
A family member calls to say the borrower has died. The agent notes it. The loan continues in its queue; collections calls the home number; the daughter is asked for the death certificate by three different people. Whether she can be told anything, whether she is a successor, whether the estate will keep the house: nobody owns the questions.
The servicing rules require the servicer to have policies to identify and communicate with successors, to respond to their requests, and to apply the loss mitigation protections; the bank's own policy protects the account and the family from contact that is wrong in the circumstances; the estate's representative has a right to information under its authority. The case needs an owner from the first call.
The family's experience of the servicer in the weeks after a death is what they remember, and it is mostly whether they were asked once.
How it runs
From the requestto the system of record.
A death is reported by a family member, an executor, an attorney, or a notice from a government source, in any channel. Callvu opens the bereavement case with the report.
- Family member
- Reports the death, provides the documents once, and is told what happens next and who to talk to.
- Servicing
- The bereavement specialist team owns the case from routing.
- Legal
- Reviews estate documents the policy reserves.
- Callvu
- Captures, protects, lists and requests documents, routes, and starts the follow-on processes.
Capture and protect
The report is captured with the reporter's identity, relationship and contact, and the date of death where known; the policy's protections are applied: the loan is flagged, collection calls to the home are paused where the rules require, automatic notices are reviewed for tone and recipient, and the contact rules for the situation are set.
Classify and list the documents
The situation (a sole borrower, a co-borrower surviving, a known will or estate, a possible successor in interest) classifies the documents needed: the death certificate, the estate representative's letters or a small estate affidavit, the successor's documents under the successor process, and an authorization for the person handling matters. The list is sent once with the acknowledgment.
Chase and verify
The documents are uploaded through a link, read and checked (the decedent against the borrower, the court and date on letters, the relationship), and the case shows what is outstanding; the family is asked for nothing twice.
Route and write back
The case goes to the bereavement specialist team in the Decision Desk with the documents and the options (successor confirmation, assumption, loss mitigation, payoff by the estate, a short sale), the loan is updated in servicing with the flag and the authorized contacts, and the follow-on processes start from the case.
Where it ends: The death was handled from one case: the account protected, the family asked once, a specialist owning the loan, and the successor, assumption or loss mitigation processes started from the record. The Decision Trace shows the protections and the classification; the Audit Trace shows the report, the documents and the routing.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel; the family meets the process in the acknowledgment, the document link and the specialist's contact.
The back office
The bereavement specialist team owns the loan with the documents in hand; collections and the dialer respect the flag.
The Decision Desk
- The specialist decides the path (successor confirmation, assumption, loss mitigation, estate payoff, short sale) in the Decision Desk with the documents; estate documents the policy reserves go to legal.
