Appraisal order and review

How do we order the appraisal through the management company, schedule access, check the report on arrival and route it for review, with independence kept?

Keep production out of the order and the review, and put the rest on a clock. After intent to proceed, Callvu places the order with the appraisal management company from the loan's data, schedules property access with the borrower or the agent through links, tracks the appraiser's delivery against the due date, reads the report on arrival (the effective date, the value, the condition, the comparables' ages and distances, the required addenda), routes it to the appraisal reviewer in the Decision Desk, delivers the copy to the borrower, and writes the accepted appraisal to the loan.

The problem today

The loan officer called the appraiser about the value, and the review was done by the same processor who ordered it.

Today, without Callvu

The appraisal is ordered by email to a management company, access is arranged by phone through the agent, the report arrives in an inbox, and the loan officer, who has a commission on the line, reads it first. Appraisal independence rules exist because of exactly this, and the agencies' guidelines require an independent review that is documented.

The order is also a clock on the loan: a late appraisal delays the Closing Disclosure, the lock and the closing. And the borrower must receive a copy promptly and before consummation under Reg B.

The appraisal process has rules for every step; most lenders enforce them with a memo.

How it runs

From the requestto the system of record.

The borrower's intent to proceed is recorded and the appraisal fee may be collected. Callvu places the order with the appraisal management company from the loan's data and opens the case with the due date.

Appraisal management company
Receives the order, assigns the appraiser and delivers the report through the case.
Appraiser
Receives access details through the management company and delivers the report.
Borrower
Provides access availability through a link and receives the copy.
Real estate agent
Provides access availability for a purchase through a link.
Underwriter
Uses the reviewed appraisal; the independent reviewer accepts it in the Decision Desk.
Callvu
Orders, schedules access, tracks, reads, routes the review, delivers the copy and writes.
  1. Prefill and order

The order to the management company is built from the loan (the property, the loan type and program, the purpose, the product's appraisal form, the purchase contract for a purchase) and placed through the management company's channel, with the due date set from the closing timeline. Loan production staff cannot place or alter the order or contact the appraiser.

  2. Chase and verify access

The borrower (and the agent for a purchase) are asked through links for access availability; the appointment is confirmed and recorded. The appraiser's delivery is tracked against the due date, with the management company nudged on delay.

  3. Read and route the review

On arrival the report is read: the effective date, the value, the form and addenda, the property condition rating, the comparables' distances and sale dates, and the required certifications. The report goes to the independent reviewer in the Decision Desk with the loan's requirements and the review checklist; the outcomes are accept, accept with conditions, or request a correction or a second appraisal where the policy allows.

  4. Decide, deliver and write back

The accepted appraisal and the review are written to the loan in the LOS, the loan-to-value is computed from the accepted value, the copy is delivered to the borrower promptly under the appraisal disclosure process, and a value or condition issue triggers the related processes (a changed circumstance, a condition for repairs).

Where it ends: The appraisal was ordered and reviewed independently of production, delivered on a tracked clock, read on arrival, accepted on the record, and sent to the borrower in time. The Decision Trace shows the order, the checks and the review; the Audit Trace shows every party's steps and the delivery.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The intent-to-proceed gate; the borrower and the agent meet the process in the access scheduling links.

The back office

The reviewer accepts in the Decision Desk from a read report; the underwriter uses the accepted value; production sees status only.

The Decision Desk

  • The independent reviewer accepts, accepts with conditions, or requests a correction or a second appraisal where the policy allows, with the checklist and only those outcomes.

Questions

What buyers ask next,answered plainly.

Can the loan officer talk to the appraiser?

No. The order goes through the management company from the loan's data, and production staff are locked out of the order and the appraiser contact.

Who reviews the appraisal?

A qualified reviewer independent of production, in the Decision Desk, with the review checklist; the review and the reviewer are on the loan.

When does the borrower get the copy?

Promptly on completion and at least three business days before consummation, through the appraisal disclosure process.
