Insurance department inquiry response
How do we answer an insurance department inquiry with the file, the facts and the response assembled from the record and sent by the regulator's deadline?
Build the response from the record on the regulator's clock. Callvu captures the inquiry (the department's letter or portal case, the consumer, the policy or claim, the questions asked and the deadline), prefills the policy, the claim, the communications and the prior complaint history, chases the facts and documents the questions need from the claims, underwriting or service owners through tasks with the deadline visible, assembles the response with the file exhibits, routes it to compliance in the Decision Desk for review and sign-off, sends it through the department's channel, and writes the inquiry, the response and the outcome to the complaint register.

The problem today
The department's letter was dated the third; compliance saw it on the twelfth; the response was due on the eighteenth.
A consumer complains to the state insurance department, and the department sends the carrier a letter asking for its side with a deadline. The letter goes to the registered address, is scanned, and reaches compliance days later. Compliance emails claims for the file, claims emails back a summary, compliance writes the response from the summary, and the deadline passes or the response misses a question the department asked.
State response deadlines for department inquiries are short (ten to twenty days from the department's letter in most states, fifteen in some) and extensions must be requested; the response must address each question with the facts and the documents; and the department tracks the carrier's timeliness and the complaint's outcome in the complaint database used for the carrier's complaint ratio. The inquiry's deadline runs from the department's date, not from the day compliance opens it.
The department measures the carrier by this response, and the file already contains the answer.
How it runs
From the requestto the system of record.
A state insurance department inquiry arrives by letter, email or the department's portal. Callvu captures it the day it arrives and opens the response case with the deadline.
- State insurance department
- Sends the inquiry and the deadline, and receives the response through its channel.
- Function owners (claims, underwriting, service)
- Provide the facts and documents the questions need through tasks.
- Compliance
- Reviews and signs off the response in the Decision Desk and owns the relationship with the department.
- Callvu
- Captures, prefills, chases, assembles, routes, sends and writes to the register.
Capture the inquiry and the deadline
The department's letter or portal case is read on arrival: the department and its case number, the consumer and their representative, the policy or claim, each question asked, the documents requested and the response date; the deadline is computed from the department's date and the state's rule, and the case opens with it visible.
Prefill and chase the facts
The policy, the claim file, the communications log, the prior complaints and any related litigation are prefilled; each question is assigned to the function owner as a task with the documents it needs (the adjuster's notes, the underwriting file, the call recordings, the letters), chased through reminders against the internal due date set ahead of the department's deadline, and the answers are captured on structured screens, not in email.
Assemble and decide
The response is assembled question by question from the owners' answers with the exhibits attached from the record, and goes to compliance in the Decision Desk for review with only the allowed outcomes: approve and send, return a question to its owner with what is missing, or request an extension from the department with the reason; an inquiry that reveals an error starts the remedy in the claims or service process.
Send and write back
The response is sent through the department's channel (the portal, email or letter as the department requires) with the proof of sending and the date, and the inquiry, the response, the exhibits, the dates and the outcome are written to the complaint register with the NAIC coding; the department's closure or follow-up is captured on the same case.
Where it ends: The department's questions were each answered from the record with the exhibits, reviewed by compliance, and sent inside the deadline computed from the department's date, with the inquiry and the outcome in the register. The Decision Trace shows the questions, the owners' answers and compliance's decision; the Audit Trace shows the arrival, the chases, the sending and the write with their times. The Callvu moves in this process are chase and verify, decide and write back.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The department's letter, email or portal; the consumer meets the process only through the department.
The back office
Owners answer their questions with the exhibits; compliance reviews one assembled response with the clock in view.
The Decision Desk
- The assembled response goes to compliance in the Decision Desk with every question's answer and exhibits, and only approve and send, return a question with what is missing, or request an extension with the reason.

Questions
What buyers ask next,answered plainly.
When does the deadline start?
From the department's date on its letter or portal case, computed the day the inquiry arrives, not from the day compliance reads it.
Who writes the response?
Each function owner answers their questions on a structured screen with the exhibits from the record; the response is assembled from those answers and compliance reviews it in the Decision Desk.
What if the carrier cannot meet the deadline?
Compliance requests an extension from the department before the deadline with the reason, from the same case, and the request is recorded.
