HR hiring, onboarding and benefits

How do we run hiring, onboarding and benefits from the offer so the employment forms, the credentials and the benefits elections are collected from the new hire and written to the HR systems?

Run the hire as a chain the new hire completes on their phone from the offer. Callvu prefills the onboarding from the offer and the applicant record, presents the employment forms the role and the jurisdiction require (the identity and work eligibility, the tax withholding, the direct deposit, the policies and acknowledgments), collects the credentials the role requires (the license, the certifications, the education, the immunization and the screening records through the employee health process, the background check consent), chases each outside item from its holder on the start-date clock, presents the benefits elections with the plan rules and the deadlines, routes a credential that fails verification or an exception to HR or the department in the Decision Desk, and writes the employee record, the credentials and the elections to the HR systems with the access provisioning started. The problem today

The nurse started on Monday without a license on file, a badge, a system login or a benefits election, and three departments had asked for her passport.

Today, without Callvu

A hospital hires continuously, and every hire is a stack: the employment forms, the licenses and certifications, the immunizations and screenings, the background check, the benefits elections with their deadlines, the policies to acknowledge, the training to complete, the access to request. Each is owned by a different office (HR, employee health, credentialing, IT, the department), each asks the new hire separately, and the first day is spent in queues instead of on the unit.

The requirements are rules by role and jurisdiction: the employment eligibility verification with its deadline, the tax forms, the licensure verification for the clinical role, the immunization and screening requirements, the background and sanctions checks, the benefits enrollment window, the mandatory training and the acknowledgments. The chain starts at the offer and the start date is the deadline. The HR systems are the record.

The new hire who finishes onboarding on their phone before the start date is the one who starts on the unit.

How it runs

From the requestto the system of record.

An offer is accepted. Callvu opens the onboarding from the offer with the role, the department, the jurisdiction and the start date.

New hire
Completes the forms, uploads the credentials, consents to the checks, elects benefits and acknowledges the policies on their phone.
HR, employee health and credentialing
Verify what the rules require and decide exceptions in the Decision Desk.
Department manager
Approves the access and the schedule and sees readiness.
Callvu
Prefills, classifies the requirements, collects, chases, verifies, routes and writes.
  1. Prefill and classify

The onboarding is prefilled from the offer and the applicant record; the role, the department, the employment type and the jurisdiction classify the requirements: the employment forms (the identity and work eligibility with its deadline, the tax withholding, the direct deposit, the emergency contact), the credentials (the license and certifications by role, the education verification, the background and sanctions check consent), the health items (through the employee health process), the mandatory training and the policy acknowledgments, and the benefits eligibility and enrollment window.

  2. Chase and verify

Each item is collected from the new hire through their link in order, with the documents read on arrival (the identity document for the work eligibility, the license image checked against the state's licensing database, the certifications against their registries), the outside items (the background check result, the education verification, the prior employer references) chased from their holders on the start-date clock, and the chain showing what is outstanding to the new hire and to HR.

  3. Elect and decide

The benefits elections are presented with the plan options, the costs and the rules (the dependents with their eligibility documents through the dependent verification, the deadlines, the default where no election is made) and captured with the signature; a credential that fails verification, a background check finding, a work eligibility document problem, or a late outside item near the start date goes to HR, employee health or the department in the Decision Desk with the record and only the allowed outcomes (clear, clear with conditions, delay the start, or withdraw).

  4. Write back

The employee record, the forms, the verified credentials with their expiry dates, the elections and the acknowledgments are written to the HR system, the payroll and the benefits systems, the license expiry tracking is set, the access provisioning process starts from the role and the manager's approval, and the readiness view shows the new hire complete before the start date.

Where it ends: The new hire completed one chain from the offer on their phone, each credential was verified against its source, the benefits were elected inside the window, and the HR systems hold the record with the access and the expiry tracking started. The Decision Trace shows the requirement classification, each verification and any decision; the Audit Trace shows each form, upload, election and chase with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The link from the offer; the new hire completes on their phone before the start date.

The back office

HR, employee health and credentialing verify and decide only failures; the department sees readiness; IT provisions from the role.

The Decision Desk

  • A credential that fails verification, a background finding, a work eligibility document problem or a late outside item near the start date goes to HR, employee health or the department in the Decision Desk with the record and only clear, clear with conditions, delay, or withdraw.
