Contract and agency staff onboarding
How do we onboard contract and agency staff with the credentials, competencies and access requests collected and checked before the first shift?
Run the booking as a gate the agency and the worker clear before the shift. When agency staff are booked, Callvu classifies the role and its requirements (the license and certifications, the competencies and orientation the setting requires, the health records, the background check, the identity and the agency's attestation), chases the documents from the agency through its link and the worker's own items through theirs, reads and checks each at the source where it publishes a status, routes a gap or a question to the staffing office or the department manager in the Decision Desk with only the allowed outcomes, requests the system access for the role with the approvals, and writes the cleared worker with the shift dates to the HR system and the scheduling system so the badge and the access are ready on arrival and withdrawn at the end.

The problem today
The agency nurse arrived for the night shift with a license verification from another state and no access to the medication system.
Agency and contract staff fill the gaps in every schedule, and they arrive with a packet the agency assembled: a license, a certification card, a competency checklist, a health form. The charge nurse checks what she can at the start of the shift; the access request goes in the next morning; the worker documents on paper until it is granted. The surveyor later finds the agency's attestation did not match the hospital's requirement, and the hospital owns the finding.
The accreditation standards hold the organization to the same verification for contract staff as for employees: current licensure verified at the primary source, competencies assessed for the setting, orientation to the unit, health requirements met, and the agency's contract defining who does what. The access must follow the role and be provisioned before the shift and withdrawn after. The booking is the trigger, and the shift is the deadline.
A worker cleared before the shift, with the badge and the access ready, is a worker the unit can use from the first hour.
How it runs
From the requestto the system of record.
The staffing office books an agency worker or a contractor for a role, a unit and dates. Callvu opens the onboarding with the first shift as the deadline.
- Agency
- Supplies the worker's credentials, competencies, health records and attestations through its link.
- Worker
- Confirms identity, completes the organization's orientation and attestations, and signs through their own link.
- Staffing office
- Owns the booking and decides gaps in the Decision Desk.
- Department manager
- Confirms unit competencies and orientation, and decides exceptions for the unit.
- Callvu
- Classifies, chases both parties, checks at the source, routes, requests access and writes.
Classify the requirements
The role, the unit, the shift dates and the contract classify the requirements: the license and the certifications for the role and the state, the unit competencies and the organization's orientation modules, the health requirements (immunizations, tuberculosis screening, fit test), the background check and the exclusion list screening, the identity verification, and the agency's attestation of what it has verified under the contract; each has an owner (the agency or the worker) and the first shift as its deadline.
Chase and verify
The agency uploads the credentials, the competency assessments, the health records and its attestation through its link; the worker confirms identity, completes the orientation modules and the attestations, and signs the confidentiality and policy acknowledgments through their own link; each item is read and checked: the license at the state board's public record for status and scope, the certifications at the certifying body, the exclusion lists, the health records against the requirements, the competencies against the unit's list; what is missing or does not match is chased from the right party with the days to the shift visible.
Decide gaps and request access
A worker with every requirement met is cleared by rule; a gap at the escalation point (a license pending in another state, a competency the unit needs that the agency did not assess, a health record missing) goes to the staffing office or the department manager in the Decision Desk with the specifics and only the allowed outcomes (clear with a unit-supervised competency on the first shift, delay the start, or decline the worker); the system access for the role is requested through the access process with the approvals, for the shift dates only.
Write back and ready the arrival
The cleared worker with the verified items, the shift dates, the unit and the access granted is written to the HR system (as a contingent worker record) and the scheduling system, the badge is prepared, the unit is told the worker is cleared, and at the end of the booking the access is withdrawn and the record closed by rule, with the agency's performance recorded.
Where it ends: The agency worker arrived cleared, with the credentials verified at the source, the competencies and orientation done, the access ready and limited to the booking, and the HR system holds a record the surveyor can read. The Decision Trace shows the requirements, each check and any decision; the Audit Trace shows the chases to each party, the verifications, the access request and the write with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The agency through its link and the worker through their own; the staffing office sees the booking's status.
The back office
The staffing office and the manager decide only gaps; the unit receives a cleared worker with access.
The Decision Desk
- A gap at the escalation point goes to the staffing office or the department manager in the Decision Desk with the specifics and only clear with a supervised competency, delay the start, or decline the worker.

Questions
What buyers ask next,answered plainly.
What is verified before an agency worker starts?
The license at the state board, the certifications at the certifying body, the exclusion lists, the health records, the unit competencies and the orientation, with the agency's attestation checked against the organization's requirements.
What if something is missing the day before the shift?
The staffing office or the department manager decides with the specifics: clear with a supervised competency on the first shift, delay the start, or decline the worker.
How is system access handled?
Requested for the role and the shift dates with the approvals, ready before the first shift, and withdrawn at the end of the booking by rule.
