Credit balance refund request
How do we refund a credit balance to a customer with the payee and the method verified and the refund issued from billing?
Verify who gets the money before deciding how much. When a customer with a credit balance asks for a refund (or the balance qualifies for one by rule), Callvu identifies the customer and prefills the account (the credit, its source such as an overpayment, a deposit return, an adjustment or a closed account, any other accounts or arrears in the customer's name, the original payment method), verifies the payee (the account holder of record, or the estate or the successor with the documents) and the method (a return to the original card or bank account where the rules require, or a verified bank account or a check to the address of record), chases what is missing, routes a refund above the authority limit, to a third party, or on an account with offsets to the billing desk in the Decision Desk, applies the tariff's rules on interest and offsets, and issues the refund from the billing system with the record.

The problem today
The refund went by check to the old address of a closed account, and the real customer called about it four months later.
Credit balances come from overpayments, returned deposits, adjustments and closed accounts, and they sit until someone asks or the unclaimed property clock runs. When a refund is requested, the risks are the classic ones for a disbursement: the wrong payee (a caller who is not the holder, a landlord on a tenant's account), the wrong method (a check to a stale address, a bank account given by voice), and the wrong amount (an offset to arrears on another account missed, or interest on a deposit forgotten).
The tariff sets when a credit must be refunded or may be applied, the interest on deposits, the offset rules across the customer's accounts, and the method and the timing; the card rules require a card refund to go back to the card; the unclaimed property law takes what is not claimed. The verification of the payee and the method is the control that matters, and the computation is the tariff's.
A refund to a verified payee by a verified method is a refund that does not come back as a complaint.
How it runs
From the requestto the system of record.
A customer asks for a refund of a credit balance in any channel, or a credit qualifies for refund by rule (a closed account, a deposit return). Callvu identifies the customer and opens the refund.
- Customer or successor
- Confirms the payee details and the method on a secure screen, with documents where a successor or an estate claims.
- Billing desk
- Decides exceptions in the Decision Desk.
- Callvu
- Prefills, verifies the payee and the method, chases, applies the rules, routes and issues.
Prefill and classify the credit
The credit balance and its source (an overpayment with the original method, a deposit with its interest, an adjustment, a final bill credit on a closed account), the customer's other accounts and any arrears on them, the address and the methods on file, and the tariff's refund rules (automatic refund thresholds, the offset rules, the interest) are prefilled; the credit is classified for its method rules (a card overpayment returns to the card under the card rules; a deposit returns by the tariff's method).
Chase and verify the payee and the method
The requester is verified as the account holder of record with step-up authentication for a disbursement; a successor, an estate or a former joint holder provides the documents through a link (a death certificate and the representative's authority, or the closed account's holder identity); the method is verified (the original card or bank account on file, a bank account verified by a micro-deposit or an instant check, or a check to the address of record confirmed on the screen); what is missing is chased with the specifics.
Decide
A refund to the verified holder by a verified method within the authority limit and with the offsets applied proceeds by rule; a refund above the limit, to a third party or a successor, on an account with arrears on another account, with a new bank account, or on a credit older than the policy's period goes to the billing desk in the Decision Desk with the record and only the allowed outcomes (refund, refund net of offsets, apply to the account, or hold with the reason).
Issue and write back
The refund with the offsets and the deposit interest computed under the tariff is issued from the billing system by the verified method, the credit is cleared on the account and the CIS, the customer receives the confirmation with the amount and the method, and a credit that cannot be refunded (an unreachable former customer) is tracked toward the unclaimed property process on its clock.
Where it ends: The credit was refunded to a verified payee by a verified method, net of the tariff's offsets and with the interest it earned, from the billing system with the record. The Decision Trace shows the classification, the verifications and any decision; the Audit Trace shows the request, the documents and the issue with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel; the customer or successor confirms the payee and the method on a secure screen, with documents through a link.
The back office
The billing desk decides only exceptions; billing issues from the verified record.
The Decision Desk
- A refund above the limit, to a third party or successor, on an account with offsets, with a new bank account or on an aged credit goes to the billing desk in the Decision Desk with the record and only refund, refund net of offsets, apply to the account, or hold with the reason.

Questions
What buyers ask next,answered plainly.
Who can receive the refund?
The account holder of record, verified with step-up authentication, or a documented successor or estate representative; a third party or a landlord on a tenant's account goes to the billing desk.
How is it paid?
Back to the original card for a card overpayment under the card rules, to a verified bank account, or by check to the address of record confirmed on the screen; never to a new account given by voice.
What about arrears on another account?
The tariff's offset rules are applied in the computation, and the refund net of offsets is decided by the billing desk.
