Deposit refund or transfer
How do we refund, apply or transfer a deposit by rule after good payment history or a stop, with the interest computed and the decision written to billing?
Make the deposit review an event the tariff triggers, not a request the customer has to make. Callvu classifies each deposit event (the tariff's period of good payment reached, a stop with a final bill, a transfer to a new premise, a successor taking the account, a customer's request), checks the payment history against the tariff's criteria, computes the deposit with the interest accrued at the commission's rate, decides by rule how the deposit is handled (refunded to the customer, credited to the account, applied to the final bill with the balance refunded, or transferred to the new account), verifies the payee and the method for a refund by payment, routes a disputed history or a refund to a party other than the customer to the credit desk in the Decision Desk, and writes the refund, the credit or the transfer to the billing system with the customer told.

The problem today
The customer had paid on time for three years, and the deposit sat on the account because nobody ran the review.
Deposits are supposed to come back: after the tariff's period of good payment, at a stop against the final bill, or along with the customer to a new premise. In practice the review runs when a customer asks, the interest is calculated by hand, a refund check goes to the old address, and the commission's audit finds deposits held for years past their refund date. The customer who paid on time was never rewarded for it.
The tariff sets the refund trigger (commonly twelve months of good payment), the criteria, the interest rate and its accrual, the handling at a stop (applied to the final bill with any balance refunded within a set period) and at a transfer; the unclaimed property law sets what happens to a refund that cannot be delivered. Each is an event and a computation the billing system can run.
A deposit refunded on the day the tariff says is a customer who notices.
How it runs
From the requestto the system of record.
A deposit event occurs: the tariff's good-payment period is reached, a stop or a transfer is written, a successor takes the account, or the customer asks. Callvu classifies it and opens the review.
- Customer
- Confirms the refund method and the payee details where a refund is paid, and receives the confirmation.
- Credit desk
- Decides disputed histories and refunds to other parties in the Decision Desk.
- Callvu
- Classifies, checks the history, computes the interest, decides by rule, verifies the payee, routes and writes.
Classify the event
The event is classified: the good-payment review (the tariff's period reached, run by rule on the anniversary of the deposit), a stop (the deposit applied to the final bill), a transfer within the territory (the deposit transferred with the customer or refunded under the tariff), a successor on the account (the deposit refunded to the original customer or the estate), or a customer's request (which runs the review early with the criteria).
Check the history and compute
The payment history over the tariff's look-back is checked against the criteria (the number of late payments tolerated, no returned payments, no disconnection for non-payment, no broken arrangement) from the billing system; the deposit with the interest accrued at the commission's rate from the date paid (or the installment dates) is computed.
Decide
The handling is decided by rule from the event and the history: a refund by credit to the account or by payment at the customer's choice where the review passes, a continued hold with the next review date where it does not (with the reasons told to the customer), an application to the final bill at a stop with any excess refunded within the tariff's period, or a transfer to the new account; a disputed history, a refund to a party other than the customer of record (a successor, an estate, a landlord), or a refund that cannot be delivered goes to the credit desk in the Decision Desk with the record and only the allowed outcomes.
Write back
The refund, the credit, the application or the transfer with the interest is written to the billing system against the deposit record, a refund by payment is sent to the verified payee by the chosen method (with the payee details captured on a secure screen), the customer is told the outcome and the next review date where the deposit is held, and a refund that is undeliverable is tracked toward the unclaimed property process.
Where it ends: Every deposit was reviewed on the tariff's trigger without a request, the interest computed at the commission's rate, and the refund, credit or transfer written to billing with the customer told. The Decision Trace shows the classification, the history check, the computation and any decision; the Audit Trace shows the event, the decision and the refund with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
None needed for the scheduled review; the customer confirms the refund method and sees the outcome; a request runs the review early.
The back office
The credit desk decides only disputes and refunds to other parties; billing runs the review and the interest.
The Decision Desk
- A disputed history, a refund to a successor, an estate or a landlord, or an undeliverable refund goes to the credit desk in the Decision Desk with the record and only the allowed outcomes.

Questions
What buyers ask next,answered plainly.
When is the deposit refunded?
By rule when the tariff's period of good payment is reached, at a stop against the final bill with any excess refunded within the tariff's period, or at a transfer; the customer does not have to ask.
How is the interest computed?
At the commission's rate from the date the deposit (or each installment) was paid, written to billing with the refund or the credit.
What if the customer cannot be found?
The refund is sent to the last known address, and an undeliverable refund is tracked toward the state's unclaimed property process.
