Service animal documentation
How do we collect and check the forms required to travel with a service animal before the carrier's deadline, and record them on the booking?
List the forms the carrier and the destination require and chase them back from the deadline. When a traveler requests to travel with a service animal, Callvu classifies the request under the carrier's rules and the regulation (a trained service dog, the forms required, the flight length rule for the relief attestation, the destination's animal import and quarantine rules through the pet travel rules where they apply, the connecting carriers' rules), sends the traveler the forms to complete and sign on their phone (the air transportation form with the handler's attestation and the animal's details, the relief attestation for long flights, the vaccination record), reads and checks them (the completeness, the signatures, the dates, the rabies vaccination validity, the destination's requirements), chases them on a schedule counted back from the carrier's deadline, routes an incomplete or non-compliant submission to the accessibility desk in the Decision Desk, and writes the approved forms to the booking system with the special service request on the reservation.

The problem today
The handler arrived with a trained dog and the wrong form, and the gate agent had no way to accept it.
Travelling with a service animal is governed by forms with deadlines: the carrier's attestation forms under the regulation, a separate attestation for long flights, the destination's import requirements, and the connecting carriers' own rules. Handlers learn the forms from the carrier's website; the agent is not sure which apply; the forms arrive at the counter; the destination's quarantine rule is discovered on landing.
The regulation lets carriers require specific forms up to 48 hours before departure, defines a service animal narrowly, and sets what the carrier may ask; the destination's import rules add the vaccination and the health certificate with their timing. The forms are known; the deadlines are known; the handler can complete them on their phone with the animal's details, and the carrier can check them before the day.
The right forms checked before the deadline are the difference between a journey and a counter dispute.
How it runs
From the requestto the system of record.
A traveler requests to travel with a service animal at booking or afterwards. Callvu classifies the request and opens the chase.
- Handler
- Completes and signs the forms on their phone and uploads the vaccination record.
- Accessibility desk
- Decides incomplete or non-compliant submissions in the Decision Desk.
- Connecting carriers and the destination authority
- Receive the requests and the documents where the rules require.
- Callvu
- Classifies, sends the forms, reads and checks, chases, routes and writes.
Classify the requirements
The itinerary (the carriers, the flight lengths, the destination and the transit points) and the request classify the forms required: the carrier's air transportation form with the handler's attestation of the animal's training, behavior and health, the relief attestation for flights over the rule's duration, the destination's import requirements (the rabies vaccination and its timing, a health certificate, a microchip, a permit, quarantine rules), and the connecting carriers' forms where they differ; each gets its deadline counted back from departure and the carrier's 48-hour limit.
Chase and verify the forms
The handler receives the forms on their phone with the animal's details prefilled from the profile where known, completes and signs them, and uploads the vaccination record and the destination documents; each is read and checked (every field answered, the signatures and dates, the rabies vaccination within validity and before the destination's required days, the microchip number, the destination permit); an incomplete form is returned with the specifics, and the outstanding items are chased on the schedule.
Decide
Complete, compliant forms are accepted by rule; a submission that is incomplete at the deadline, an animal that does not meet the regulation's definition or the destination's rules, or a connecting carrier that refuses goes to the accessibility desk in the Decision Desk with the forms and only the allowed outcomes (accept, request a correction, offer an alternative routing, or decline with the regulation's notice).
Write back
The accepted forms and the documents are written to the booking system, the system of record, the special service request for the service animal is written to the reservation for each carrier, the destination authority's pre-notification is sent where the rules require, and the handler receives the confirmation with what to carry.
Where it ends: The handler completed the right forms on their phone before the carrier's deadline, each was checked against the regulation and the destination's rules, the exceptions were decided early, and the booking holds the forms with the request on the reservation. The Decision Trace shows the classification, the checks and any decision; the Audit Trace shows the submissions, the chases and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The booking or a later request; the handler completes the forms on their phone.
The back office
The accessibility desk decides only exceptions; the carriers receive the requests on the reservation.
The Decision Desk
- An incomplete submission at the deadline, an animal outside the definition or the destination's rules, or a refusing connecting carrier goes to the accessibility desk in the Decision Desk with the forms and only accept, request a correction, offer an alternative routing, or decline with the notice.

Questions
What buyers ask next,answered plainly.
Which forms are required?
The carrier's service animal air transportation form, the relief attestation for flights of eight hours or more, and the destination's import documents (vaccination, health certificate, permit), plus any connecting carrier's form; the classification lists them for the itinerary.
When must they be submitted?
The carrier may require them up to 48 hours before departure; the destination's documents have their own timing windows; the chase runs back from each deadline.
Are emotional support animals covered?
No. Under the current US rule a service animal is a trained dog; other animals travel under the pet travel rules.
