Dispute evidence for chargebacks

How do we build the evidence for a chargeback from the record of what the customer saw and agreed to, and submit it before the card network's deadline?

Answer the chargeback from the record, not from memory. When a chargeback arrives, Callvu classifies it (the network, the reason code, the amount, the deadline to respond, the evidence the reason code calls for), matches it to the booking or the order and the customer, assembles the evidence from the records the processes kept (the terms shown and accepted with the time and the device, the authentication result, the confirmation sent, the delivery or the travel taken, the communications, the refund policy displayed, the cancellation terms accepted), chases what the record lacks from the supplier or the customer, checks the package against the network's compelling evidence requirements for the reason code, routes a weak case or a high-value one to the disputes desk in the Decision Desk to accept or fight, submits through the processor before the deadline, and writes the dispute, the package and the outcome to the booking system.

The problem today

The chargeback was lost by default because the evidence was due on a Friday and the booking's terms screenshot was never taken.

Today, without Callvu

Chargebacks arrive with a reason code and a short window. The team must prove what the customer agreed to, that they were authenticated, that the service was delivered or the cancellation terms applied. The proof lives in five systems and an agent's memory; the response is a PDF assembled by hand; the deadline passes on cases that should have been won, and the travel company absorbs the loss and the fee.

The networks set the rules: the reason codes, the response windows (days, not weeks), and the compelling evidence each reason code requires (the acceptance of terms with the timestamp, the authentication, the proof of delivery or of the traveler's use, the matching customer details, the prior undisputed transactions). The PCI standard limits what card data the evidence may contain. A process that recorded the customer's journey has the evidence already; it only needs assembling on the clock.

A chargeback answered from the record is a chargeback the company can win, and the record exists because the processes kept it.

How it runs

From the requestto the system of record.

A chargeback or a retrieval request arrives from the processor on a booking or an order. Callvu opens the dispute with the reason code and the deadline.

Disputes desk
Decides whether to accept or fight weak or high-value cases in the Decision Desk.
Supplier
Provides proof of service (the hotel folio, the boarding record, the delivery scan) through a link where the record lacks it.
Customer
May be contacted where the policy allows, to resolve the dispute directly.
Callvu
Classifies, matches, assembles, chases, checks, routes, submits and writes.
  1. Classify and match

The network, the reason code and its category (fraud, authorization, processing error, consumer dispute), the amount, the response deadline and the evidence the reason code calls for are classified; the chargeback is matched to the booking or the order, the customer, the payment and any refund already issued, and a duplicate or an already-refunded transaction is flagged for the processor's representment rules.

  2. Chase and verify the evidence

The evidence is assembled from the records the processes kept: the terms, the fare rules and the cancellation policy as displayed and the acceptance with the time, the IP and the device, the authentication result and the address verification, the confirmation and the itinerary sent, the proof of delivery or of use (the boarding, the check-in, the car rental agreement, the delivery scan), the communications and any refund offered; what the record lacks is chased from the supplier through a link or from the customer where the policy allows; the package is checked against the network's compelling evidence requirements for the reason code and the PCI limits on card data in the evidence.

  3. Decide

A case with the evidence the reason code requires and under the desk's threshold is submitted by rule; a weak case (missing acceptance, no proof of use), a high-value or a pattern case, a first-party fraud indication or a duplicate goes to the disputes desk in the Decision Desk with the package and only the allowed outcomes (fight with the package, accept the chargeback, refund the customer directly to close it, or escalate to arbitration where the network allows).

  4. Submit and write back

The package is submitted through the processor's interface before the deadline with the confirmation retained, the outcome (won, lost, pre-arbitration) is read back when it arrives, and the dispute, the package, the submission and the outcome are written to the booking system, the system of record, against the booking, with the loss rate by reason code reported for the fraud and the policy teams.

Where it ends: The chargeback was classified, answered from the record with the evidence the reason code requires, decided where the case was weak or large, and submitted before the deadline, with the booking holding the package and the outcome. The Decision Trace shows the classification, the evidence checks and any desk decision; the Audit Trace shows the receipt, the assembly, the submission and the outcome with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The processor's chargeback feed; suppliers through their links.

The back office

The disputes desk decides only weak, large and pattern cases; the package is assembled by the process.

The Decision Desk

  • A weak case, a high-value or pattern case, a first-party fraud indication or a duplicate goes to the disputes desk in the Decision Desk with the package and only fight, accept, refund directly, or escalate to arbitration.

Questions

What buyers ask next,answered plainly.

Where does the evidence come from?

From the records the booking and order processes kept: the terms shown and accepted with the time and device, the authentication, the confirmation, the proof of use or delivery and the communications; suppliers are chased for what the record lacks.

What are the deadlines?

The network's response window from the chargeback date, commonly within 20 to 30 days depending on the network and the processor, tracked on the case with escalation before it.

When is a chargeback accepted instead of fought?

When the customer was entitled to the refund under the rules, or when the desk judges the evidence too weak; accepting or refunding directly is a decision on the record.
