Large item delivery and installation scheduling
How do we schedule a large item delivery and installation with the slot, the access details and the haul-away confirmed, the installer dispatched and the completion signed?
Confirm everything the crew needs before the truck leaves. After a large item purchase (an appliance, furniture, fitness equipment, a mattress), Callvu prefills the delivery from the order (the items, the services bought, the address, the contact), offers the slots the carrier or installer has for the area, captures the access details the crew needs on a secure screen (the floor and the stairs or elevator, the doorway widths, parking, pets, a gate code), confirms the haul-away of the old item and its condition, chases the pre-delivery requirements (the water or gas shut-off, the measurements, the permit where required), dispatches the crew with the details, tracks the day-of arrival window, captures the customer's signature and photos at completion, routes a failed delivery or a damage report to the delivery desk in the Decision Desk, and writes the completion to the order management system.

The problem today
The crew arrived with the refrigerator, found the old one still full and the doorway two inches too narrow, and left with both.
Large item delivery fails for reasons that were knowable before the truck was loaded: the access, the measurements, the old item, the hookup, the customer's absence. The carrier's scheduling call happens once; the installer's requirements are on a page the customer never saw; the day-of failure costs a second trip, a restocking fee dispute and a review.
The delivery is a set of confirmations with owners and dates: the slot from the installer's availability, the access details only the customer knows, the preparation the installation requires, the haul-away terms, the arrival window on the day, and the proof of completion that settles later disputes. Each is a screen the customer can complete from the order, and the crew should leave with all of them.
A delivery confirmed before dispatch is a delivery that happens once.
How it runs
From the requestto the system of record.
An order with delivery or installation services is placed, or the item arrives at the local hub. Callvu opens the scheduling from the order.
- Customer
- Picks the slot, provides the access details and the preparation confirmations, and signs the completion with photos.
- Carrier or installer
- Publishes availability, receives the dispatch details and reports arrival and completion through its link.
- Delivery desk
- Decides failed deliveries, damage reports and exceptions in the Decision Desk.
- Callvu
- Prefills, offers slots, captures access and haul-away, chases preparation, dispatches, tracks, captures completion, routes and writes.
Prefill and offer the slot
The items, the services bought (delivery to room, installation and hookup, haul-away), the address and the contact are prefilled from the order; the slots the carrier or installer has for the area and the service type are offered and the customer picks one, with the confirmation and the arrival window rules.
Chase and verify access and preparation
The access details are captured on a secure screen with guidance (the floor, stairs or elevator, doorway and hallway measurements against the item's dimensions, parking and the distance from the truck, pets, a gate or building code, a contact on the day); the haul-away is confirmed with the old item's type and condition and the disconnection responsibility; the preparation the installation requires (the water or gas shut-off, the electrical outlet, the clearances, a permit where the jurisdiction requires one for a gas or electrical hookup) is listed and the customer confirms each item, with a measurement that fails flagged before dispatch.
Dispatch and track
The crew is dispatched with the details, the customer receives the day-of arrival window and the tracking, and a change by the customer runs through the slot offer again; a failed access, a customer absence, a measurement that does not fit on the day or a damage report goes to the delivery desk in the Decision Desk with the crew's photos and only the allowed outcomes (reschedule with or without a fee under the terms, deliver to an alternative point, return with the restocking rule, or open a damage claim).
Complete and write back
At completion the crew records the installation checks and the customer signs on the crew's device or their own phone with photos of the installed item and the haul-away, the completion with the signature, the photos and the checks is written to the order management system, the system of record, and the warranty registration is offered from the delivered serial.
Where it ends: The delivery was confirmed in every detail before dispatch, the crew arrived in the window with what they needed, and the completion is on the order with the signature and the photos that settle later questions. The Decision Trace shows the preparation checks and any desk decision; the Audit Trace shows the slot, the confirmations, the dispatch and the completion with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The order confirmation and the hub arrival; the customer confirms everything from their phone.
The back office
The delivery desk decides only failures and damage; the crew works from confirmed details.
The Decision Desk
- A failed access, a customer absence, a measurement that does not fit or a damage report goes to the delivery desk in the Decision Desk with the crew's photos and only reschedule under the terms, deliver to an alternative point, return with the restocking rule, or open a damage claim.
