Collection debt dispute
How do we handle a customer's dispute of a debt in collections so the validation is sent, collection pauses until the dispute is closed, and the credit reporting is corrected where needed?
Make the dispute an event that pauses collection and starts the validation clock. When a customer disputes a debt in collections (with the carrier or through the agency, in any channel), Callvu classifies the dispute (not my debt, the amount is wrong, already paid, identity theft, the service was cancelled), prefills the account and the collection history, pauses the collection activity and the agency's communications at once, sends or causes the validation notice with the itemization the rules require, chases the evidence from the customer and the systems, routes the decision to the collections desk in the Decision Desk with only the allowed outcomes, writes the result to the billing system and the collections system, and corrects or confirms the credit reporting with the furnisher dispute handled on its clock. The problem today
The customer disputed the debt in writing, the agency kept calling, and the tradeline stayed on the credit report through the dispute.
A debt in collections is disputed by letter to the carrier, by phone to the agency, or through a credit bureau. Each path lands in a different system; the agency does not hear about the dispute the carrier received; the collection calls continue; the credit reporting is not marked as disputed; and the customer's complaint reaches the regulator with the statute attached.
The rules are clear for the agency and the furnisher: the validation notice with the debt's itemization, the pause on collection until verification is mailed when the dispute is within the period, the duty to investigate a dispute received directly or through a bureau within the period, the marking of a disputed account and the correction of inaccurate reporting. For the carrier, the dispute is also a billing dispute with the state's complaint rules. One event should trigger all of it.
A dispute that pauses collection the same hour is a dispute that stays a dispute instead of becoming a complaint.
How it runs
From the requestto the system of record.
A customer disputes a debt in collections (to the carrier, to the agency, or through a credit bureau's dispute). Callvu classifies it and opens the case on the account.
- Customer
- States the dispute and provides evidence on their phone.
- Collection agency
- Receives the pause and the outcome through its channel; sends or confirms the validation.
- Collections desk
- Decides in the Decision Desk.
- Credit bureaus
- Receive the disputed marking and the correction or confirmation.
- Callvu
- Classifies, prefills, pauses, validates, chases, routes, writes and reports.
Classify and pause
The dispute is classified (not the customer's debt, the amount is wrong, already paid or settled, identity theft which routes to the identity theft process, the service was cancelled or never provided, a fee the customer contests) and the account, the final bill, the payments, the collection placement and the reporting status are prefilled; the collection activity and the agency's communications are paused at once through the collections system, and the credit reporting is marked as disputed.
Validate, chase and verify
Where the dispute is with an agency within the validation period, the validation with the itemization the rules require (the itemization date, the amounts, the interest and fees, the payments and credits, the current balance) is sent or confirmed by the agency through its channel; the evidence the dispute type needs is chased from the customer (the cancellation confirmation, the payment proof, the identity theft report) through a link and from the systems (the usage, the order history, the final bill), read and checked.
Decide
The collections desk decides in the Decision Desk with the evidence and only the allowed outcomes: the debt is not owed (close, recall from the agency, delete the tradeline), the amount is corrected (adjust, re-validate, update the reporting), the debt is verified (resume collection with the verification sent, confirm the reporting with the dispute noted), or the identity theft process takes it; the decision carries the reason and the approver.
Write back and report
The result is written to the billing system and the collections system, the agency receives the outcome, the credit reporting is corrected, deleted or confirmed through the furnisher process within the dispute investigation period with the disputed marking updated, and the customer receives the written result with the reason and the complaint route where the state requires it.
Where it ends: The dispute paused collection and agency contact at once, the validation went with the itemization, the decision was made with evidence and a reason, and the billing system, the system of record, the agency and the credit bureaus all reflect it on the clocks the rules set. The Decision Trace shows the classification, the evidence and the decision; the Audit Trace shows the pause, the validation, the chases and the reporting with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
A letter, a call, the app, the agency's channel or a bureau's dispute; the customer provides evidence on their phone.
The back office
The collections desk decides with evidence; the agency and the bureaus act on the same record.
The Decision Desk
- Every disputed debt goes to the collections desk in the Decision Desk with the evidence and only not owed, corrected, verified, or identity theft, with the reason and the approver.
