Trailing documents

How do we chase the recorded mortgage, the final title policy and the other trailing documents from the title company and the county until they are received and filed?

Give each trailing document a clock and an owner, from the day of closing. Callvu lists the trailing documents the loan requires (the recorded security instrument with its recording data, the final title policy, the recorded assignment where applicable, the flood policy, the survey), requests each from the title company or the county through links, reads each on arrival (the recording stamp, the policy's amount and exceptions, the endorsements), chases on a schedule tied to the investor's deadline, and files the received documents to the loan and the custodian.

The problem today

The final title policy arrived nine months after closing, and the investor charged the trailing document fee every month.

Today, without Callvu

After closing, the security instrument goes to the county for recording and the title company issues the final policy when it comes back. Both take weeks or months. The lender's post-closer keeps a list and emails the title company periodically. The investor's deadline for trailing documents passes, the fees accrue, and the loan's file is incomplete for the custodian.

The investors set deadlines for trailing documents and charge for late ones; the custodian needs the recorded instrument and the final policy to certify the file; and the lender's lien position is only as good as the recording. Each document is a known item with a known source and a known deadline.

It is the most mechanical chase in lending, and the one most often done by hand.

How it runs

From the requestto the system of record.

The loan funds and the security instrument goes for recording. Callvu lists the trailing documents and opens a request for each with its deadline.

Title company
Provides the recorded instrument and the final policy through a link when they are available.
County recorder
Records the instrument; the recording data is retrieved where the county provides access.
Post-closer
Sees the aging against the deadlines and reviews only documents the checks flagged.
Callvu
Lists, requests, reads on arrival, chases to deadline, files.
  1. Classify the trailing documents

The loan's program, state and investor set the list: the recorded security instrument and riders with the recording data, the final title policy with the required endorsements, a recorded assignment where the loan is assigned, the flood policy where a binder was accepted at closing, and any state-specific items; each has a source and a deadline.

  2. Chase and verify on arrival

Requests go to the title company (and the county where access exists) through links; each document is read on arrival: the recording stamp and data against the instrument, the final policy's insured amount, the effective date, the exceptions against the commitment and the endorsements; a defective document is sent back with the issue.

  3. Chase to the deadline

Reminders run on a schedule tied to each document's deadline; the post-closer sees the aging; a document approaching the investor's deadline escalates to the post-closing manager.

  4. Write back

Each received document is filed to the loan in the LOS and the document system, the custodian and investor delivery processes are updated, and the trailing document status is reported from the record.

Where it ends: Every trailing document was requested on the day of closing, read and checked on arrival, chased to its deadline and filed, with the status visible from the record. The Decision Trace shows the list and each check; the Audit Trace shows each request, reminder and filing.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The funding and the recording submission; the title company and the county meet the process in links and access.

The back office

The post-closer sees aging against deadlines and reviews only flagged documents; the custodian receives files from the record.

The Decision Desk

  • A document approaching the investor's deadline that the title company cannot produce, or a defective final policy, goes to the post-closing manager in the Decision Desk with the options and only the allowed outcomes.
