Homeowners insurance renewal and lapse
How do we keep hazard insurance evidence current on every loan, chase renewals from the borrower or agent, and send the required notices when a policy lapses before any force-placed coverage?
Track every policy to its expiration and chase before it. Callvu holds each loan's hazard and flood policy with its expiration date, classifies the event (a renewal received, an expiration approaching, a cancellation notice from the carrier, a non-escrowed loan with no evidence), chases the renewal evidence from the borrower or their agent through a link, reads and checks the declarations page (coverage amount, mortgagee clause, dates, deductible), and on a lapse starts the Regulation X force-placed notice sequence on its clock, writing every policy and notice to servicing.

The problem today
The carrier's cancellation notice sat in a mailroom scan queue, and the force-placed policy was bound without the first notice ever going out.
A borrower's policy renews with a new carrier and the agent never sends the declarations page. A carrier cancels for non-payment and mails a notice to the servicer's lockbox. A non-escrowed loan has had no evidence of coverage for two years. In each case, the servicer discovers the gap when something else happens, and the response is force-placed coverage, often without the notices the rule requires and with premiums the borrower disputes.
Regulation X sets the sequence before force-placed insurance can be charged: a first notice at least 45 days before the charge, a reminder at least 15 days before, and no charge unless the servicer has a reasonable basis to believe the borrower has failed to maintain coverage. For an escrowed loan, the servicer must continue paying the borrower's existing policy rather than force-place, except where the policy was cancelled for reasons other than non-payment.
The chase before expiration is the cheapest step in the process, and the one most servicers skip.
How it runs
From the requestto the system of record.
A policy's expiration approaches, a renewal or a cancellation notice arrives from a carrier or an agent, or a loan is found without current evidence. Callvu classifies the event and opens the case on the loan.
- Borrower
- Provides renewal evidence through a link, or confirms their agent's details.
- Insurance agent or carrier
- Sends declarations pages, renewals and cancellation notices.
- Insurance analyst
- Decides exceptions in the Decision Desk.
- Servicing
- Holds the policy record and pays escrowed premiums.
- Callvu
- Classifies, chases, reads and checks evidence, runs the notice clock and writes.
Classify the event
The event is classified: a renewal received (check and record), an expiration within the policy's chase window (chase the borrower and the agent), a carrier cancellation notice (non-payment on an escrowed loan: pay the premium; other reasons: start the lapse path), or a loan with no evidence (chase, then the lapse path).
Chase and verify evidence
The borrower and their agent of record are asked through a link for the renewal declarations page; the document is read and checked: the insured and property match the loan, the coverage amount meets the policy's requirement (replacement cost or the loan balance by the investor's rule), the mortgagee clause names the servicer correctly, the dates are continuous, the deductible is within the limit, and flood coverage is present where the determination requires it.
Decide
Evidence that passes is recorded by rule; a deficiency (a coverage shortfall, a wrong mortgagee clause, a gap in dates) goes to the insurance analyst in the Decision Desk with the specifics and only the allowed outcomes: accept, request a correction from the agent, or start the force-placed notice sequence. A lapse starts the sequence on its clock through the force-placed process.
Write back
The policy (carrier, number, coverage, dates, mortgagee clause) and each notice are written to the servicing system; an escrowed premium is disbursed through the escrow process; the next expiration is scheduled for its chase window.
Where it ends: Every loan has current evidence or a case with a clock, deficiencies were decided with specifics, and no force-placed charge happens without the rule's notices. The Decision Trace shows the classification, the checks and the decisions; the Audit Trace shows the chases, the evidence and the notices.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The borrower and their agent meet the process in the chase link and the notices, in any channel.
The back office
The insurance analyst sees only deficiencies; servicing holds the record and pays escrowed premiums.
The Decision Desk
- A deficiency (coverage shortfall, wrong mortgagee clause, date gap, cancellation for a non-payment reason on an escrowed loan) goes to the insurance analyst in the Decision Desk with the specifics and only accept, request correction, or start the notice sequence.

Questions
What buyers ask next,answered plainly.
What is checked on a renewal?
That the insured and the property match, the coverage meets the requirement, the mortgagee clause names the servicer, the dates are continuous, the deductible is within limits, and flood coverage is present where required.
What happens when an escrowed policy is cancelled for non-payment?
The servicer pays the premium to keep the borrower's policy, advancing funds where needed; force-placement is not the answer under Regulation X.
When can force-placed insurance be charged?
Only after the first notice at least 45 days before and the reminder at least 15 days before the charge, with a reasonable basis to believe coverage lapsed, through the force-placed process.
